Office & Administration Assistant – Key Responsibilities 

Office management and administration 

• Maintain a welcoming, safe and efficient office environment that enables staff, volunteers and visitors to work effectively, in line with the ‘Groundswellian Way’, our coproduced principles for a safe, positive work culture.

• Manage the day-to-day running of the office, including , refreshments, office supplies, IT equipment, room bookings and reception duties.

• Coordinate incoming and outgoing post, telephone calls and enquiries through the central inbox, ensuring messages and requests are directed promptly to the appropriate member of staff. 

• Build positive working relationships with Workspace, office contractors and suppliers, including cleaners, maintenance providers and other building services. 

• Support Groundswell's commitment to environmental sustainability by promoting recycling, reducing waste and encouraging environmentally responsible office practices. 

• Ensure office administration is appropriately covered during periods of annual leave and support the wider administration team to provide consistent organisational support. 

• Recruit, support, supervise and train office volunteers where appropriate. 

Facilities, health and safety 

• Act as the day-to-day office lead for health and safety administration, supporting compliance with Groundswell's Health & Safety Policy. 

• Ensure all staff and volunteers receive relevant health and safety information during induction, including access to the health & Safety training video, awareness of fire procedures, emergency evacuation routes and workplace safety responsibilities. 

• Coordinate annual fire risk assessments, workplace risk assessments and PAT testing, ensuring appropriate records are maintained and actions completed. 

• Support the development and maintenance of Personal Emergency Evacuation Plans (PEEPs) where required. 

• Liaise with Workspace to ensure landlord responsibilities relating to health and safety are fulfilled, including fire safety systems, signage and equipment maintenance. 

• Maintain records of accidents, incidents and near misses, ensuring statutory reporting requirements are met where appropriate. 

• Coordinate the maintenance and servicing of Groundswell's office equipment, facilities and assets, ensuring they remain safe, functional and fit for purpose. 

• Work closely with the Director of Finance & Fundraising and our external systems and finance support on matters around onsite assets and finances.

IT and Systems

• Oversee the day-to-day management of organisational assets, ensuring equipment is maintained, used appropriately and complies with organisational policies and cyber security requirements. 

• Complete IT trouble shooting on behalf of staff and volunteers, with external support. 

• Order IT equipment as needed with external support. 

• Complete basic set – up tasks on staff and volunteer devices with external support.

• Support staff and volunteers to upskill and improve their technological skills through the digital inclusion group. 

Organisational administration 

• Provide administrative support for organisational meetings, events and activities, including venue bookings, catering, logistics and preparation of materials. 

• Support the Chief Executive in implementing GDPR and data management processes, ensuring good administrative practice and compliance across the organisation. 

• Provide governance administration, including scheduling Board and Committee meetings, preparing meeting logistics, taking accurate minutes and maintaining action logs. 

• Provide administrative support to the Chief Executive, Trustees and Senior Leadership Team, including diary coordination, meeting arrangements and room bookings. 

• Support the recruitment and induction of Trustees as required by the Nominations Working Group.

• Support the People Manager with the onboarding and off-boarding of staff. 

General 

• Maintain accurate administrative systems, records and filing, ensuring information is organised, confidential and GDPR compliant. 

• Identify opportunities to improve office systems, administrative processes and ways of working to increase efficiency and effectiveness. 

• Work with the People Manager and Director of Fundraising & Finance to ensure policies and processes are accessible, in plain English and simple to follow; using step by step guides and images where appropriate.

• Build positive relationships across the organisation, providing responsive, friendly and professional support to colleagues, volunteers and external stakeholders. 

• Undertake any other reasonable duties consistent with the nature and level of the role.

Essential 

• Experience working in a busy office or administrative role.

The Inland Waterways Association (IWA) is the only independent, national charity supporting and regenerating Britain’s rivers and canals for leisure, living and business. This is a varied, hands-on role covering day-to-day administration, communications, finance and governance support, and IT coordination. Job Purpose

Sequence ME & Long Covid is one of the most ambitious whole-genome sequencing studies ever undertaken into ME and Long Covid, co-led by Action for ME. Building on the success of DecodeME, this proposed £20 million study will use large-scale, long-read whole-genome sequencing to analyse the entire genetic code of 9,000 people with ME and 9,000 people with Long Covid - making it the world's largest 'long-read' whole-genome sequencing study of any disease.

Current funding supports project mobilisation, partnership development, and the development of the Long Covid arm of the study, including agreeing case definitions and gathering expressions of interest from people with Long Covid. Phase 2 has recently been confirmed, backed by £4.75m from the UK government and a further £174,414 from the WE&ME Foundation, and will focus on sequencing 6,000 ME/CFS samples previously collected through DecodeME using Oxford Nanopore's long-read sequencing technology, running alongside Phase 1.

You will play a pivotal role supporting the Sequence ME & Long Covid project in several different ways. Working closely with the project's management team and other team members, you will help ensure the smooth day-to-day running of this landmark study, providing administrative support to the various people and partners involved in delivering it.

As a self-starter, you will manage a range of tasks including meeting scheduling, taking meeting minutes, preparing governance documents, event administration, and broader project support - no two days will be the same.

You will need to maintain a high level of confidentiality at all times, particularly when supporting governance meetings and handling sensitive project documentation.

As a team player, you will provide comprehensive, confidential and organised administrative support, developing a deep understanding of the project and building strong, effective working relationships with colleagues, researchers and external partners.

Remote working at home can be challenging for some and works incredibly well for others. You will need to be able to work independently, use your own initiative, and remain proactive in maintaining good levels of communication with colleagues.

Key Duties

• Help monitor inboxes and respond to routine project enquiries in a timely and sensitive manner, escalating more complex matters as appropriate
• Assist the project's management team and other team members with meeting scheduling and diary coordination

Mind in the City, Hackney and Waltham Forest, working in partnership with Turning Point and Antidote, provide the City and Hackney Integrated Recovery Service (Substance Use).  The service is based in each of City and Hackney’s neighbourhoods in order to be accessible, local and inclusive.  A full integrated service will contribute to recovery, social inclusion and improving the quality of life of all our service users in the City of London and Hackney borough. A full integrated service, shaped by the community needs and voices of service users, carers, families, communities, all staff and volunteers will contribute to recovery, social inclusion and improving the quality of life of all our service users in the City of London and Hackney borough.

The service has three elements: Out There, Everywhere- specialist outreach, in reach and engagement, Building Blocks- low, medium and hi intensity support pathways, and Get Connected- building on our local, individual, and shared assets to provide recovery capital and peer support.

This role will connect the staff teams and service users to wellbeing opportunities within the local community. The role will promote the City & Hackney Recovery Service within the local community through events, social media and local community engagement. They will identify the needs of the client group and provide adequate support.

This role will lead on management of subcontractors, coordinate quarterly contract monitoring and build partnerships including commissioners, GPs, politicians, and other stakeholders to increase collaborative and effective service in City and Hackney’s neighbourhoods. The role will also lead to support MindCHWF’s policies and delivery in the blended service in order to provide efficient and high-quality service.

Job Role:

 

1. Nurture external partnerships across specific areas and being responsible for overseeing and ensuring all appropriate pathways are in place and reviewed

2. Maintain and enhance appropriate key relationships with statutory and VCS partners who co-locate/joint work with or refer into the service

3. Lead on expanding the partnership network on an ongoing basis by identifying opportunities to streamline delivery and maximise joint working

There are two roles available.

The Role

In this role, you’ll

· Deliver training to shop teams and managers, supporting new initiatives (including eBay Live) and building capability through structured programmes.

· Provide onboarding for new managers and ongoing support for colleagues stepping into new or evolving roles, particularly during periods of change.

· Lead national commercial initiatives and use data-driven insights to improve shop performance through targeted support

· Plan and deliver focused interventions in priority shops, addressing challenges and embedding sustainable improvements.

· Support recruitment activity, including first-round interviews, where required.

· Collaborate closely with Area Managers and Retail Support teams, planning activity at a national level to maximise impact, and sharing best practice across shops.

About you

· Strong understanding of charity retail operations, with the ability to improve commercial performance using data, KPIs and targeted actions.

· Experienced in designing and delivering engaging training, both face-to-face and digital, simplifying complex information into practical learning.

· Skilled in coaching and supporting managers and teams to build confidence, embed new ways of working and sustain performance improvements.

· Proven ability to work across multiple locations, managing priorities effectively and adapting approaches to different teams and environments.

· Excellent relationship-building skills, with the ability to influence and work collaboratively with a wide range of stakeholders.

· Highly organised, with strong planning and prioritisation skills to manage multiple initiatives and deliver results.

· Confident using digital tools and supporting others to adopt new systems and ways of working.

Shop Hours

Scope shops are open every day.

Full-time: 35 hours per week, five days out of seven

Part-time: Weekly hours on a seven-day rota
