Areas of Work and Responsibility
Executive support to the CEO
· Provide administrative support to the Gestalt Centre CEO, ensuring effective diary management, scheduling, and administration of commitments.
· Organise and coordinate meetings, including supporting the drafting of agendas, collating papers and ensuring all necessary information is available in advance.
Leadership and governance coordination and support
· Coordinate Leadership Team, Board and sub-committee meetings, ensuring smooth end-to-end administration.
· Prepare, collate and circulate papers, working with the CEO and Leadership Team to ensure accuracy and timeliness and maintain good records.
Workstreams and projects coordination
· Coordinate and support projects and workstreams led by the CEO, including the short courses programme, marketing campaigns, organisational policies, business development and fundraising activities.
· Act as a central point of contact for cross-team activities and support priority initiatives by coordinating meetings, actions and follow-ups.

· Educated to degree level or equivalent, with good numeracy and literacy skills.

We are seeking a talented Director of Programme Delivery and Operations (maternity cover), fully committed to our widening participation cause, to join the Senior Leadership Team in a pivotal role for a growing and ambitious charity.

About the role
As our Global Accounts Receivable Assistant, you’ll be part of our Finance team, helping to maintain timely and accurate recording of supporter income across our global entities. This is a key role supporting the financial processes that underpin our fundraising activity and wider mission to end factory farming.
As our Global Accounts Receivable Assistant, you’ll be responsible for:
- Recording global donations accurately - Downloading and posting accounts receivable income received for all entity bank accounts, ensuring clear audit trails are maintained.
- Supporting accurate financial coding - Amending postings to reflect accurate campaign codes and responding to reconciliation queries around donation recording.
- Flagging issues and queries appropriately - Escalating refunds, disputes, discrepancies and inaccuracies to the right manager or senior colleague for review.
- Supporting improvements to procedures and systems - Helping to test system and procedural updates, query discrepancies in existing processes and provide constructive feedback where needed.
- Working collaboratively across teams - Building effective working relationships with colleagues across Finance, Marketing and Fundraising, and directing donation queries to the correct point of contact.
About you
To succeed as our Global Accounts Receivable Assistant, you’ll be organised, accurate and proactive, with a positive approach to routine administrative work and a genuine interest in supporting a purpose-led Finance function.
Skills and experience you’ll need to bring:
- Good IT skills, including Microsoft Office applications, internet use and confidence using basic Excel formulas.
- Strong attention to detail, with the ability to set high standards for your own work and maintain accurate records.
- Sound judgement and the confidence to make timely decisions at the appropriate level, including knowing when to escalate to a manager or Financial Controller.
- Good time management skills, with the ability to plan and organise your workload and manage busy periods effectively.
- A collaborative and respectful approach, recognising the perspectives and values of others and communicating positively with colleagues across the organisation.

Role Summary
This is a genuine opportunity to contribute first-hand to the strategic running of a national charity, with close visibility of how the organisation is led and governed. You will be trusted with sensitive information, exposed to strategic decision-making, and given the chance to shape how the CEO's office and the wider senior leadership team (SLT) operate day to day.
Beyond the traditional diary, travel and correspondence duties, you will play an active part in the mechanics of governance and decision-making- supporting board meetings, tracking actions to completion, and ensuring that what lands on the CEO's desk is accurate, well-presented and ready to act on. You will also work closely with the newly appointed Project Management Office (PMO) Lead, helping ensure that updates on risks, issues and KPI tracking reach the CEO promptly and in a digestible form, so that the CEO's time and attention are focused where they are needed most. It is an ideal role for an experienced EA or Personal Assistant who wants more ownership, more variety, and closer involvement in the strategic life of an organisation than a traditional support role typically offers.
This role offers direct exposure to the strategic and governance rhythm of the organisation- from board papers to senior stakeholder meetings- for someone who wants their EA experience to build towards broader organisational and governance expertise.
Key Duties / Responsibilities
Supporting the CEO:
- Proactively manage the CEO's diary, resolving clashes and prioritising competing demands on their time in line with organisational priorities.
- Act as a first point of contact for the CEO, screening and triaging correspondence, calls and requests, and responding or redirecting where appropriate.
- Build strong working relationships with the CEO's key internal and external contacts, acting as a trusted and professional representative of their office.
Diary, Travel & Logistics:
- Coordinate complex diaries across multiple stakeholders, both internal and external, including scheduling and rearranging meetings at short notice.
- Book and manage travel, accommodation and venues, including researching options, managing costs, and having contingency plans in place.
- Prepare itineraries and briefing packs ahead of trips, meetings and events, ensuring the CEO is fully prepared.
- Process expenses and invoices relating to the CEO's activity in line with company policy.
Meetings, Minutes & Action Tracking:
- Attend meetings chaired by or involving the CEO to take accurate, concise minutes and notes, distinguishing decisions from discussion.
- Maintain a live action log across meetings, proactively chasing owners and reporting progress back to the CEO so nothing is missed.
- Organise logistics for meetings and away days, including rooms, catering, materials and technology.
- Work closely with the Project Management Office (PMO) Lead to ensure that risk, issue and KPI updates are routed to the CEO promptly and in a clear, digestible format, helping the CEO focus attention where it is most needed.
- Liaise with the PMO Lead on scheduling and papers for any meetings that bring project or programme updates to the CEO, ensuring consistency with the wider action and decision tracking maintained for the CEO's office.
Board & Governance Support:
- Support the coordination of board and committee meetings, including scheduling, collating and distributing papers to agreed deadlines.
- Take and produce minutes for board and committee meetings, working closely with the CEO (and Chair/Company Secretary, where applicable) on accuracy and follow-up.
- Maintain a board actions and decisions tracker, and support the CEO in preparing for board cycles.
- Maintain confidentiality and good document control over board papers, minutes and related governance records.
Document & Presentation Production:
- Produce first drafts of documents, reports, briefings and PowerPoint presentations for the CEO to review, amend and finalise.
- Format and polish documents and slide decks to a professional, consistent, on-brand standard.
- Review documents and correspondence prepared by others before they reach the CEO, checking for accuracy, clarity, tone and fitness for purpose, and flagging any concerns.
Support to the Senior Leadership Team:
- Provide reasonable and proportionate admin support to other members of the SLT, prioritised in agreement with the CEO.
- Minute meetings with senior internal and external stakeholders on behalf of SLT members, as required.
- Assist with occasional diary, travel or document support for the SLT where this does not conflict with the needs of the CEO.
Office & General:
- Maintain efficient filing, contact and information systems for the CEO's office.
- Handle sensitive and confidential information with discretion and sound judgement at all times.
- Undertake other duties reasonably commensurate with the role, as required by the CEO.
Skills / Experience / Knowledge:
Essential:
- Significant experience as an EA, PA or senior administrator supporting a CEO, director or other senior executive.
- Experience taking minutes and tracking actions for senior-level or board/committee meetings.
- Excellent written English, with the ability to draft clear, well-structured documents, correspondence and presentations.
- Expert in using common business software/ applications such as Microsoft Office Word, PowerPoint, Excel and Outlook.
- Strong organisational skills and the ability to manage multiple, competing priorities under time pressure.
- Sound judgement and discretion when handling confidential or sensitive information.
- A proactive, solutions-focused approach, comfortable using initiative rather than waiting to be asked.

- A relevant qualification (e.g. in business administration or executive PA practice), though experience will be weighted more heavily than formal qualification.
- Confident and effective use of AI tools (e.g. Microsoft Copilot, ChatGPT, Claude) to support drafting, summarising and formatting work- for example, producing first-draft documents, presentations or minutes for review, while applying good judgement on accuracy, confidentiality and when human review and rewriting is needed.
- Experience providing ad hoc support across a wider senior team, not just a single executive.

The role
Reporting to the Director of Operations, you will lead a substantial portfolio of complex commissioned services and senior operational managers.
You will lead nine services with nine direct reports, spanning criminal justice and housing/homelessness provision. You will have clear accountability for ensuring services are safe, effective and well-led, with strong contractual performance, financial sustainability and positive outcomes for the people and communities we support.
You will provide operational grip and evidence-based assurance, strengthen safeguarding and management accountability, build effective relationships with commissioners and partners, and ensure risks and underperformance are identified, escalated and addressed early.
You will also work collectively with fellow senior operational leaders to embed a One Cranstoun approach, strengthening common standards, sharing learning, developing leadership capability and improving quality and resilience across our services.
What you will be accountable for
As an Assistant Director, you will take senior operational accountability for:
- Safe, effective and well-led services – ensuring strong safeguarding, quality, operational risk management and service user outcomes.
- Contractual performance – ensuring services deliver against contractual requirements and KPIs, with strong commissioner relationships and timely action to address underperformance.

You will understand the complexity of working across criminal justice, housing, local government and other statutory systems and be experienced in building effective relationships with commissioners and partners while maintaining strong operational and contractual oversight.
This is a 12-month fixed-term appointment at an important stage in Cranstoun’s transformation, offering the opportunity to lead a significant portfolio, strengthen operational performance and help shape the future development of our operating model.

Hours of Work
40 hours plus On Call duties.
Work will be on site and across the whole 24/7 rota, depending on where cover is needed.
For the first two to three months, the majority of your time is likely to be spent on hostel cover shifts to give you a strong practical understanding of our core work.
The On Call provision is in place at all times, including weekends, nights and Bank Holidays, and is covered on a rota basis with three or four individuals.
We are able to take a reasonable number of other committments into consideration when planning the On Call rota, with each person doing an equal share of Bank Holidays, weekends and everyday cover.
Main Responsibilities
- To cover frontline duties, including accommodation duty cover, attending reliably and on time in order to ensure continuous cover.
- To act as a Duty Manager, including dealing with any staffing or other issues arising during periods of duty in accordance with set procedures.
- To provide an out-of-hours On Call service on a rota basis with two or three others, responding effectively to concerns. This will include finding cover in the case of sickness or other absence, or covering a shift at very short notice when no other cover is available.
- To take on appropriate administrative, leadership, reviewing or project duties including during periods of illness, leave and vacancies.
- To take on delegated responsibilities for young people who need additional practical help to start and sustain their residence at the YMCA. This is likely to include focussed work on benefits, budgets, housekeeping and similar.
- To administer and oversee applications for accommodation, including obtaining supporting information from other agencies, assessing support and other needs and interviewing applicants.
- To oversee rent calculation, arrears procedures and benefit claims.
- To collate and report on other performance measures and statistics as required.
- To keep financial and other records as required.
- To contribute to the selection and induction of new staff and volunteers.
- To oversee minor and / or occasional staffing issues as required, and to take responsibility for particular staff and volunteers over longer periods.
- To contribute positively to relationships with other organisations.
- To take an active approach to the role and to be able to work on own initiative within set procedures.
- To develop and maintain appropriately professional relationships with members, users and with other staff, and to maintain confidentiality at all times.

Person Specification
- Experience in a similar or related role.
- Able to attend shifts reliably and on time in order to ensure continuous cover.
- Able to demonstrate resilience and adaptability across roles, responsibilities and work patterns needing cover in immediate or long term situations, showing a positive ‘can do’ attitude and setting the tone for other staff during times of particular pressure.
- A commitment to the wellbeing and development of young people, including those with a range of personal and social vulnerabilities.
- Experience of taking responsibility for people, resources or buildings.
- Able to demonstrate sufficient presence, confidence and professionalism for undertaking a management role.
- Able to cover On Call duty, to remain within receiving range of the mobile phone at all times, and to be on site within two hours in the event of an emergency situation.
- Computer literate, able to use Microsoft Word and Excel to a high standard, and able to use technology in devising and using procedures, gathering information and using a range of online software.
- Excellence in written communication and a strong command of grammar.
- Comfortable working with financial transactions and calculations, and with keeping financial records.
- Able to manage a complex and varied workload effectively and accurately and an ability to prioritise appropriately without supervision.
- Able to carry out monitoring patrols across indoor and outdoor areas including four floors and two stairways, and to deal with any issues arising.
- Able to react appropriately in challenging situations, using set procedures to support decision-making.

About the role
We’re looking for a proactive and highly organised Executive Assistant with experience of providing administrative, PA, team or executive support in a busy environment to join our CEO Office.
You’ll provide high-quality support to allocated Directors, helping them stay organised, focused and able to deliver their priorities. You’ll manage complex diaries, coordinate meetings and travel, prepare documents and meeting materials, support recruitment activity and maintain clear action records. You’ll also contribute to agreed CEO Office projects and provide light, occasional support for Trustees and governance meetings.
Working closely with the Executive Assistant to the CEO and Chair of Trustees and the wider EA team, you’ll help create calm, clarity and momentum in a busy senior leadership environment. You’ll be proactive, collaborative and confident managing competing priorities, with excellent attention to detail and the judgement to handle sensitive information appropriately. This role does not have line management responsibility.
What will I be doing?

- Proactively manage complex diaries, anticipate requirements and resolve competing priorities.
- Coordinate meetings, recruitment activity, workshops and away days, including papers, logistics, accessibility requirements, decisions, actions and follow-up.
- Organise clear, timely and cost-conscious travel arrangements for allocated Directors.
- Create and maintain accurate, accessible and well-organised documents, records, templates and shared resources.
- Maintain action records, monitor deadlines, follow up with action owners and escalate emerging issues or delays appropriately.
- Provide administrative and coordination support for agreed CEO Office and directorate projects and activities.
- Provide light, occasional support for Trustees and governance meetings, including logistics, minutes, actions, travel and expenses.
