Role Purpose

This is an exciting opportunity to join a small, but dynamic team at Access – The Foundations for Social Investment. The Assistant Management Accountant will play an important role in ensuring the accuracy and integrity of Access's financial records. The role will work closely with colleagues across the organisation and provide support to the Senior Finance and Operations Manager and Director of Finance and Operations.

Main responsibilities include:

FINANCIAL MANAGEMENT (guide c.85%)

• Keeping the accounting system up to date, ready for review by the Senior Finance and Operations Manager, this includes but not limited to weekly bank uploads, posting weekly and monthly journals and reconciling Access's bank accounts and balance sheet.
• Assisting the Senior Finance and Operations Manager with preparation of monthly management accounts, annual budgets and Access's year end audit. 
• Supporting treasury management by maintaining cashflow records and assisting with forecasting future cash requirements.
• Managing the accounts payable and receivable functions
• Maintaining organised financial files to support monthly reporting and the year-end audit
• Work with the Finance team to ensure that appropriate financial controls are in place and are being followed in order to comply with financial regulations and internal policies
• Carry out such other duties as may reasonably be required from time to time, consistent with the nature, level and responsibilities of the role

OPERATIONS, PEOPLE AND GOVERNANCE (guide c.15%) – scope dependent on number of hours worked

• Support the Senior Finance and Operations Manager with the delivery of the finance and operations team’s objectives
• Support the implementation of new systems and processes to improve operational workflows, with a dedication to continuous improvement
• Understand the programmatic work via the building of strong relationships across Access to be able to provide support to other areas of the business.

About the Role

Working within the Finance department, the post holder will play a pivotal role in supporting the Finance department with managing the administration of the Finance function.  The post holder is responsible for acting as the first point of contact for suppliers, departments and members through the Finance helpdesk and associated systems.  They are responsible for overseeing the timely response to queries, allocation of queries to others in the finance team and supporting with the administrative maintenance of the systems in Finance. Office & Administration Assistant – Key Responsibilities 

Office management and administration 

• Maintain a welcoming, safe and efficient office environment that enables staff, volunteers and visitors to work effectively, in line with the ‘Groundswellian Way’, our coproduced principles for a safe, positive work culture.

• Manage the day-to-day running of the office, including , refreshments, office supplies, IT equipment, room bookings and reception duties.

• Coordinate incoming and outgoing post, telephone calls and enquiries through the central inbox, ensuring messages and requests are directed promptly to the appropriate member of staff. 

• Build positive working relationships with Workspace, office contractors and suppliers, including cleaners, maintenance providers and other building services.

Facilities, health and safety 

• Act as the day-to-day office lead for health and safety administration, supporting compliance with Groundswell's Health & Safety Policy. 

• Ensure all staff and volunteers receive relevant health and safety information during induction, including access to the health & Safety training video, awareness of fire procedures, emergency evacuation routes and workplace safety responsibilities. 

• Coordinate annual fire risk assessments, workplace risk assessments and PAT testing, ensuring appropriate records are maintained and actions completed. 

• Support the development and maintenance of Personal Emergency Evacuation Plans (PEEPs) where required. 

• Liaise with Workspace to ensure landlord responsibilities relating to health and safety are fulfilled, including fire safety systems, signage and equipment maintenance.

IT and Systems

• Provide administrative support for organisational meetings, events and activities, including venue bookings, catering, logistics and preparation of materials. 

• Support the Chief Executive in implementing GDPR and data management processes, ensuring good administrative practice and compliance across the organisation. 

• Provide governance administration, including scheduling Board and Committee meetings, preparing meeting logistics, taking accurate minutes and maintaining action logs. 

• Provide administrative support to the Chief Executive, Trustees and Senior Leadership Team, including diary coordination, meeting arrangements and room bookings. 

• Support the recruitment and induction of Trustees as required by the Nominations Working Group.

About the Role

As a Service Delivery Assistant, you will provide high quality administrative support to the service. You will act as a first point of contact for enquiries into the service and support the wider team with administrative duties. As a part of your role, you may be asked to attend offices around Hampshire & Isle of Wight to support the team with associated expenses paid.

Job Title: Finance Administrator

Location: Homeworking with a requirement to occasionally work at Head Office (Vauxhall, London). Fully remote will be considered due to the short-term nature of the role

We are looking for a motivated and experienced Senior Administrator to oversee the day to day functions of the Kent and Medway administration team within Victim Support. This role is full time and based at our multi agency shared space called Compass House in Ashford Kent.

About the Role

As a Senior Administrator you will manage a team of five administrators known locally as 'Service Delivery Assistants' to oversee the support to the Kent and Medway Victim Support Operational Teams including the Triage and Early Intervention team, the Multi Crime Service Case Workers and the Specialist Services Case Workers (Stalking, Hate Crime and Child and Young Persons)

You will manage performance and staff motivation, ensuring that the administration function operates effectively and efficiently carrying out tasks as directed by the Operations Manager. The post holder will need to be flexible and prepared to meet conflicting work demands, prioritise workloads and ensure timeframes are met whilst ensuring attention to detail.

As the role involves providing support to administrators and actively working to improve performance, you will need experience of managing people and working in a statutory, voluntary or community work setting. You will also have an understanding and knowledge of confidentiality and safe working.

Key Responsibilities

• Coordinate and participate in all administrative functions to ensure the smooth and effective running of the service, monitoring quality standards for the team through auditing and reporting where required.
• Provide effective line management of staff to ensure performance targets and agreed outcomes are met by the service.
• Act as first point of contact for key stakeholders, ensuring administration is dealt with efficiently and meets quality standards and lead by example on good working practices
• Ensuring all confidential and sensitive data is stored securely in accordance with VS Data Protection Policy and compliance with GDPR.

About You

You will need:

• Experience of working in an administrative position ideally within the criminal justice field.
• Previous experience of managing and supervising people
• Experience working with local communities, statutory and voluntary sector organisations and an understanding of how agencies work to protect victims of crime.
• Experience of performance reporting and training delivery.
• To be proactive, self‑motivated, confident working independently and able to use you own initiative
• Good IT skills, proficient in data management and Microsoft Office (Word, Excel, Outlook, SharePoint)
• Strong time management and organisational skills including the ability to meet tight deadlines.

We're looking for an organised and detail-focused Finance Assistant to join our friendly Finance Team. This role is part-time, working 25 hours per week (5 hours per day) based in our office in central Milton Keynes. 

This is a fantastic opportunity for someone who enjoys working with numbers, solving problems and ensuring financial information is accurate. You'll play an important role in processing resident income, maintaining financial records and supporting the smooth running of our finance function.

No two days are quite the same. One day you'll be reconciling accounts and allocating payments, the next you'll be raising invoices, supporting credit control or helping improve our finance processes.

About the Role

Reporting to the Finance Controller, you'll be responsible for ensuring resident income is processed accurately across our finance and housing systems. You'll work closely with colleagues across Finance, Housing and Support to resolve queries and ensure our records remain accurate.

Key responsibilities include:

• Processing resident rent and service charge payments
• Allocating and reconciling income across finance systems
• Investigating and resolving payment discrepancies
• Raising sales invoices for conferencing and other income
• Supporting credit control activities
• Managing invoice workflows and finance inbox queries
• Completing cash reconciliations
• Supporting annual audit preparation
• Maintaining accurate financial records
• Identifying opportunities to improve finance processes

About You

You'll be someone who enjoys working accurately and methodically, takes ownership of your work and is comfortable managing a varied workload.

You'll ideally have:

• Experience processing high-volume financial transactions
• Experience of reconciliations and cash allocation
• Experience using accounting software
• Good Excel skills
• Excellent attention to detail

• Experience using Xero

We are looking to appoint an enthusiastic and highly organised individual in a supporting role to the People team. The role will assist with day-to-day operational tasks, providing managers and staff with effective administrative support in all aspects of Human Resources.

You will provide People generalist support for the full employee lifecycle, as well as support with the end-to-end recruitment cycle in line with The Churches Conservation Trust’s policies and procedures, best practice and legal requirements.

To be successful in this role, you must be able to work as part of a small team, whilst also independently and proactively completing tasks. Excellent communication and IT skills, accuracy and attention to detail are essential requirements.
