Summary

We are seeking a hardworking, ambitious, and dynamic Executive Assistant to the Executive Principal, who will also act as the HR Lead, to join Harris Academy Clapham at an exciting stage in our development.

This pivotal role will be based across Harris Academy Clapham Secondary and Harris Clapham Sixth Form, providing high-level administrative, organisational, and professional support to the Executive Principal. In addition, the postholder will lead on HR administration and coordination, acting as the main point of contact for staff HR matters and supporting the effective implementation of people processes across both sites.

The successful candidate will play a key role in ensuring the smooth day-to-day operation of executive leadership and HR functions, whilst also benefiting from excellent opportunities to engage with wider Harris Federation academy improvement initiatives and to participate in ongoing professional development, supporting both personal growth and career progression.

This role is term time only, and the actual salary will be £45,092.19 - £46,895.95 (39 weeks per year, 37.5 hours per week).

Main Areas of Responsibility

The key duties of this role will cover:

• Managing the Executive Principal's diary, including identifying and arranging meetings and dessiminating briefings and documents, adding any necessary deadlines
• Communications and administration, including proofreading correspondence, communicating with key stakeholders, dealing with complex enquiries, and maintaining files and contact lists
• Managing meetings
• Being the Clerk to Governors
• HR support, including managing resignations, absence leave, risk assessments and sickness records

Qualifications & Experience

We would like to hear from you if you have:

• An appropriate degree or equivalent level of education
• Training in the use of a variety of ICT packages
• Knowledge of personal assistant roles and responsibilities
• Training in typing and formatting of a variety of documents including spreadsheets
• At least two years' experience working in school or other educational establishment
• Experience of managing staff in relation to the PA role
• Some experience of human resources e.g. recruitment and/or monitoring attendance
• Experience of working to targets and deadlines
• Experience of managing meetings including preparation and circulation of papers, minutes and ensuring information is circulated as required
• Experience of managing diaries at a high level, including communication with a range of audiences
• Experience of managing high profile events
• Experience of developing policies, processes and procedures

The Department

The Hurlingham Club Foundation was established in 2021 and its mission is to harness the collective strength of the Club to create spaces and opportunities that improve the health, well-being and social connection of people living in underserved areas of our borough.

We aim to achieve this impact this in three main ways through:

· Direct programmes hosted at the Club (including sports, social and wellbeing activities).

· Funding for local charities delivering aligned community initiatives.

· Volunteering and in-kind support opportunities for members and stakeholders.

To deliver all this activity, money is largely raised through member donations at Foundation events and money is also raised through grants and corporate sponsorship.

The Role

As the Foundation Assistant, you will be a vital part of this small, friendly team to ensure that we manage all our events and programmes to raise the most amount of money and deliver maximum impact for people in need in our community.

You will work part time; ideally 20 hours over four days from Monday to Thursday.

The successful candidate will provide administrative support to the Hurlingham Club Foundation in a variety of ways.

Typical duties will include:

Event Coordination

· Supporting the planning and delivery of Foundation events.

· Managing logistics including room bookings, catering, AV, guestlists, security passes and event materials.

· Ensuring events run smoothly from setup through to delivery.

Administration & Finance

· Maintaining accurate records and financial administration.

· Supporting the processing of purchase orders, income and invoices.

Data & CRM Management

· Maintain donor, volunteer and programme databases.

· Support monitoring and reporting of Foundation activity and impact.

Communications & Marketing Support

· Assisting with the website updated and digital content.

· Supporting with and creating presentations and marketing materials.

We are seeking a Fundraising Officer to join our team who can support our Fundraising Manager to secure charitable income essential to the delivery of our services.

The Role:

As our Fundraising Officer, you will work closely with the Fundraising Manager to deliver our fundraising strategy. You will help deliver annual fundraising events; bid to corporate supporters, trusts and foundations; and build strong relationships with community organisations and individual donors. You will be part of a fantastic team, dedicated to making a real difference in defeating homelessness.

We are looking for a passionate and adaptable individual, who can support the Fundraising Manager across all voluntary income streams, from formal bids to fun community events.

Purpose of the post:

As part of our Business Directorate, this role will lead a first-class comprehensive support function that underpins all areas of the charity:

·The post holder will be someone who is organised, efficient and adaptable who can manage time effectively in a very busy role, juggling multiple responsibilities and keeping large volumes of information at their fingertips, who prioritises the needs of The Reading Agency at all times, appreciates an informal but professional work environment and enjoys supporting a busy team working in an agile environment.

·You will be a core member of the Business Directorate supporting the Head of Finance and Operations to ensure that the organisation functions efficiently, effectively and sustainably.

Key responsibilities:

·Co-ordinate support across the organisation, working with the leadership team, core business and programme teams to coordinate meetings, create visual content and resources, design artwork, support day-to-day communications.

·To manage logistics and delivery of in-person events in liaison with Marcomms and programme teams (e.g. World Book Night, Summer Reading Challenge launches), and coordinating internal events (e.g. Staff days, Board meetings). 

·Managing The Reading Agency online shop processes and being a key point of contact for print and design suppliers, and ensuring high quality customer service for partners and customers in contact with the charity.

·Line management of the Business Support Administrator.

·Managing the office facilities and equipment, and homeworking requirements to ensure staff can carry out their work effectively, and act as the key day-to-day liaison between The Reading Agency and Society of Authors, working with the Head of Finance and Operations.

We are looking for a collaborative, proactive problem solver to step into the newly created role of Finance & Executive Support Officer.

This is a varied and crucial role which supports the organisation to work as effectively as possible. Working closely with the Finance Manager, SLT, Board and across the organisation at all levels, it provides a fantastic opportunity for the postholder to develop a broad range of skills and gain a deep understanding of how the organisation works. 

The postholder will spend about 3 days/week focussed on financial tasks including payment processing, month end, income processing and supporting the setup and rollout of new features in our finance system, and the rest of their time on governance, executive support & administration tasks to support the charity to operate effectively.

We are looking for a great communicator with experience of key finance processes, who thrives in a busy role and is able to balance and prioritise competing demands on their time (with support to do this).

The Hampstead Garden Suburb Trust protects, maintains and enhances the unique character of Hampstead Garden Suburb - an internationally important example of early 20th-century town planning and architecture.

The Architectural Support Officer plays a central role in this work. You will support the day-to-day operation of the Trust’s consent process, helping applicants and their advisers with applications, maintaining accurate records, and ensuring decisions are communicated clearly, professionally and with authority.

This is a varied role combining administration, public-facing work and exposure to architecture and conservation. It would suit someone with an interest in the built environment and heritage who enjoys detailed work and engaging with the public.

The role supports a high volume of applications across the Suburb and is central to the Trust’s day-to-day operation.

MAIN RESPONSIBILITIES

Architectural and technical support

• Support the architectural team in reviewing applications, including preparing summaries and assisting with research and policy.
• Maintain a strong working understanding of the Trust’s Design Guidance and relevant policies.
• Assist applicants in understanding how proposals align with the Trust’s requirements while being clear about the Trust’s role and the limits of advice that can be provided.
• Attend occasional site visits with colleagues to view properties and proposals.
• There will be opportunities to contribute to talks and events, depending on interests and experience.

Application and consent process

• Manage the administration of applications for Trust consent, ensuring they are registered, validated and processed efficiently.
• Act as a first point of contact for applicants and their advisers, providing clear guidance on process and requirements.
• Calculate and process application fees; raise invoices and maintain accurate financial records.
• Notify neighbours and manage consultation processes in line with Trust procedures.

Shine supports a community of over 15,000 members living with spina bifida and/or hydrocephalus, including 5,000 children and young people (0–25).

You will be delivering high-quality support and creating opportunities for children and young people living with spina bifida and/or hydrocephalus and their families/carers. Supporting Shine members to lead healthy, independent, and fulfilling lives by improving condition management and fostering connections within the Shine community. 

This role will focus on children and young people (0–25), you will be primarily working within the Children, Young People and Families team. However, there will be occasions when you will work across age groups to ensure the best outcomes for our members. 

The role is home-based but you will be required to attend regular clinics in London including GOSH (Great Ormond Street Hospital). Other travel across Southern England including Bristol, Devon and Hampshire may be required. There will be occasional travel required across wider areas and nationally including attendance at events, conferences and meetings at our head office in Peterborough.
