The Operations Officer is a pivotal member of the team who will support the organisation to run its activities efficiently and effectively. - First Step Resource Management Programmes focus on a whole system approach to divert waste from landfill supporting community behaviour change, basic infrastructure, collector group training and end market development.

WasteAid currently implements programmes in The Gambia, India, South Africa and Uganda.

Purpose of Role

The Operations Officer is a varied role that helps keep the charity’s different functions running smoothly. Working closely with a small team a typical day can be a combination of regular tasks involving prompt and careful handling of incoming communications by email, post and telephone call, responding to invoices or payment requests and preparation of letters, contracts or reports. Other tasks such as recruitment support, staff onboarding, events and travel planning are less routine but may be part of your day as and when they occur.

Team co-ordinating

· Manage calendars and appointments, scheduling team meetings, appointments and events.

· Co-ordinate travel plans including booking transport, accommodation and supporting visa application processes.

· Attend quarterly Board meetings, taking minutes.

· Assist in the preparation and distribution of Board materials.

· Track charity assets and equipment, liaising with outsourced IT support as necessary.

HR Support

· Lead on fulfilment of recruitment campaigns, organising the recruitment pack, placing job adverts, handling applications, arranging interviews and tests.

· Issue contracts, contract variations, ensure signed records and references are filed.

· Prepare the induction of new joiners including introductory meetings and issuing equipment.

· Storing safeguarding records.

· Administer the charity’s HR filing system on SharePoint and the online HR management system.

· Keeping the charity organogram and staff profiles up to date.

· Logistic support for leavers, arranging collection of equipment.

Fundraising

· Work with fundraising colleagues to ensure that incoming communication is routed appropriately or responded to.

· Update records in the charity’s CRM system.

· Print and post written appeal letters.

· Logistics support for fundraising events, charity attendance at conferences, award ceremonies and trade fares.

Finance

· Handle incoming invoices and payment requests, obtaining authorisation from budget holders.

· Manage staff prepayment cards, topping up funds, issuing new cards and cancelling leavers’ cards.

· Prepare a bi-weekly payment run for international payments.

· Support the SMT with expense claims.

· Update the charity’s finance systems and file financial documents in SharePoint.

· Prepare Gift Aid claims, including utilising the charity’s CRM function.

Administration

· Manage personal and shared email accounts.

· Monitor and route incoming post.

· Answer incoming telephone calls, arranging a rota basis with colleagues.

· Preparing and issuing contracts, letters, reports or similar for signatures, including by Docusign.

· Keep all information confidential and comply with data protection and ethics legislation, including being up to date with GDPR requirements.

Other

· Ad-hoc procurement of goods or services as and when required.

· Comply with the charity’s policies and procedures.

· Occasional travel to charity meetings or events is required. Travel outside of the UK is unlikely.

We are seeking an experienced and visionary Director to help lead a multi-award-winning charity into its next phase of growth and impact.

The charity supports people serving prison sentences through creative music and peer-led employment programmes. Key Responsibilities 

Policy Analysis & Communication

1. Horizon Scanning: Monitor government departments (e.g., DSIT, DfE), funding and regulatory bodies (UKRI, Research England, OfS, Innovate UK), and other stakeholders for policy updates, funding calls, and consultation launches in relation to Research and Innovation policy.

2. Briefings: Produce concise policy briefings, data summaries, and position papers for GuildHE members and leadership on key Research and Innovation issues (e.g., REF, knowledge exchange, KEF, commercialisation, research culture, open research). Develop high-quality external reports, consultations, blogs and other materials articulating member challenges and opportunities.

3. Consultation Drafts: Assist senior policy colleagues in gathering evidence, analysing member feedback, collaborating with sector stakeholders, and drafting compelling arguments that articulate the unique perspectives of GuildHE institutions.

4. Share Best Practice: Identify case studies across the GHE membership to share best practice internally and externally and drive national conversations about new ways of working and operating in the sector.

5. Policy issues: Maintain up-to-date knowledge of national and institutional research and innovation policies indicated by the Head of Research Policy or Policy Manager (Research, Innovation, International).

Member Support & Consortium Coordination

1. Member Engagement: Maintain regular, positive communication with research and innovation leads across member institutions, fostering a collaborative network.  Support relevant GuildHE member networks, including the Knowledge Exchange, Innovation and Place network, promoting communication, collaboration, and best practice exchange to inform evidence-based policy development.

2. Member development: Provide support for timely implementation of good practice guidelines and associated resources, within agreed budgets. This includes assisting with members' business development initiatives, such as Research Degree Awarding Powers.

3. Event Delivery: Develop and deliver content for events including the GuildHE Research Consortium meetings, the Research and Knowledge Exchange Symposium, PGR Doctoral Festival, the PGR Network for global majority students and sandpits/match events, workshops and roundtables. 

4. Shared Services: Collaborate with other GHE teammates to maintain and deliver our shared services (i.e. research outputs repository, shared postgraduate online training, research impact tracking and researcher development tools) and explore new services in response to members’ needs

5. PGR Students: Develop and deliver initiatives for postgraduate students and early career researchers (e.g., our PGR Support Programme and associated student networks), working closely with the Policy Manager (Student Experience) to ensure postgraduate students are reflected in broader student support policies.

Founded in 2023 by Simon Singh MBE and Dr Junaid Mubeen, our online Parallel Academy supports highly capable students to excel in maths, by providing them with structured programmes that develop their reasoning and problem-solving skills beyond the curriculum.  We currently support more than 10,000 students through the Academy, around 1000 of whom receive highly targeted support through weekly, small-group online tutorials.

We are at an exciting phase in our journey, with plans to expand tutoring to 5000 students over the next four years. Our students are motivated and ambitious. Our maths programme takes place outside of school hours, yet students have an average attendance above 95%. All of our work takes place online and is subject to safeguarding and data protection policies that are reviewed periodically to reflect up-to-date best practice.

Parallel has built a reputation for excellence, both in terms of the expectations we set for students, and the quality of service they receive from us. Our work is underpinned by an inclusive ethos; every student who applies for the Academy is guaranteed a place on one of our programmes. 

We work flexibly to both launch new initiatives and adapt our existing offerings. We pride ourselves on a creative approach to programme design and now face a familiar challenge of maintaining our quality and highly personalised approach as we scale up.

The purpose of this role
 

We are seeking an experienced Head of Operations to join and help lead our committed and energetic team. This role is pivotal to achieving Parallel’s growth ambitions while maintaining the quality of service we are renowned for. As a senior leader, you will be a lynch pin of our core team and will make a real difference to the life prospects of thousands of young students. 

On a practical level, you will coordinate and drive our core programmes, with oversight and accountability for their smooth, day-to-day delivery. You will also line-manage two full-time administrators (this may increase as the team expands), overseeing and supporting their work across communications, data and operational delivery.

We have established several processes and tools for delivering our programme effectively and the ideal candidate will have a sharp eye for process improvement and opportunity. You will need to understand and consolidate our current best practices, but also identify ones that need to be adapted or enhanced as we look to scale up. 

This role is offered initially as a fixed-term contract for 12 months, though we have every intention to extend the position longer term should the appointment prove successful. 

A note on working hours
 

This is a fully-remote role. As part of your contracted hours you will be required to regularly do some work during evenings and weekends (approx 5-8 hours a week). You may occasionally need to step in at short notice, outside of standard working hours, to support and resolve urgent operational issues.

There will also be periods when there is a higher workload (e.g., during student admissions cycles), so you may be required to offer some flexibility in working longer  - and then shorter - hours week to week. Time off in-lieu is provided for additional hours worked. 

In general, you will have significant autonomy in how you structure your working week, provided you ensure that our core operational needs are covered within the whole team.

Key responsibilities

Working for Parallel is challenging and rewarding in equal parts. On a typical day you will be fielding queries from parents, managing the logistics of 200+ tutorials a week and ensuring tutors are fully supported. We are a dynamic team that readily adapts to new situations and relishes the challenge of working through problems together. 

As part of your key responsibilities you will:
 

• Oversee the smooth day-to-day running of our Tutorial and Webinar Programmes, ensuring that sessions proceed as planned, and that any issues - from tutor cover needs to student absence requests - are swiftly and effectively addressed.

• Coordinate key aspects of our start and end-of-term administration, including payments, parent and student communications, website setup, spreadsheets and logistics.

• Oversee the admin team’s responsiveness to our high-volume shared inboxes, responding to the most sensitive student and parent queries and acting as a point of escalation where needed.

• Manage a small but growing admin team, providing regular guidance, support, and feedback.

• Play a key role in overseeing our student admissions cycles, from planning to testing, setup, delivery and communication of decisions.

• Make everyday operational decisions independently, exercising good judgement in when to bring issues to senior management.

• Work effectively with data (e.g. student learning data) - as managed through our central directories - and use it to guide decision-making and to support the effective running of our programmes. 

• Review our policies on an ongoing basis, ensuring that we are complying with our safeguarding and data protection obligations at all times and that our policies are built for scale.

• Support with schools outreach initiatives.

• Develop and document key administrative procedures (an ever-evolving ‘Operations Handbook’) to ensure that we have reliability and stability across all programmes.

• Help to shape and build on our ethos of high expectations, which translates into concrete policies regarding attendance, homework, participation and criteria for both admitting and removing students from our Tutorial Programme.

Role requirements
 

While there is no fixed template for working with Parallel, we consider the following requirements essential for this role:

• Proven leadership qualities, with the ability to act independently and decisively when the situation demands it. 

• Experience managing small teams, including multiple direct reports.

• Managed operations at large scale - you have executed product/service delivery to thousands of end users.

• Excellent project management skills, with the ability to delegate tasks and to track processes and outcomes.

• Exceptional written and verbal communication skills, with the ability to connect effectively with a diverse set of internal and external stakeholders.

• Proficiency in working with digital tools and software such as Google Sheets, Docs, Forms, Zoom and Trello (and able to learn new tools quickly and independently).

• Excellent with spreadsheets and data - you know your vlookups from your pivot tables.

• Nimble problem-solver who can think on your feet and approach complex situations with a flexible mindset.

• A ‘can-do’ attitude and strong team ethic - you are known as a supportive presence for your colleagues who will go above and beyond to make their lives easier.

• Demonstrable ability to work productively in a fully remote setup.

• A strong commitment to safeguarding, and the ability to maintain confidentiality and integrity related to all aspects of information disseminated within the organisation.
   

It is also desirable (though not essential) for you to have relevant experience in an education setting.

We are looking for a motivated individual to join us as Team and Office Administrator, effectively supporting the small but busy RSTMH Team by providing proactive and comprehensive support across our key areas of work.

The role will require someone who preferably has some experience of providing support and administration to a busy team and office, preferably within the charity/not-for-profit sector, who is flexible, has excellent time management and prioritisation skills, and is able work on their own initiative. The successful candidate will be working across various RSTMH activities, including membership, journals, events, grants, and communications; therefore, they will need to be efficient and organised, with strong computer skills and a professional outlook.

The Role:

As Administrative Assistant RSTMH, your duties will include:

• Developing and maintaining effective working relationships across RSTMH
• Ensuring that all general, email, telephone and written enquiries are dealt with efficiently and promptly
• Supporting with the management of the RSTMH office and office processes, ensuring the space is kept clean and presentable, monitoring stock levels and assisting the team with office maintenance tasks
• Undertaking electronic and paper filing, and maintain filing systems appropriately
• Assisting with the management and promotion of the RSTMH meeting room
• Supporting with general administration across all RSTMH areas of work
• Supporting on the website by uploading and editing content through the CMS
