About the Department/ Team 

RUSI’s Proliferation and Nuclear Policy (PNP) programme addresses issues raised by the development and spread of nuclear, chemical and biological weapons, and related technologies, through innovative research, dialogue and partnership with national and international bodies.

Main purpose of post  

The PONI Project Manager will be responsible for delivery and development of the United Kingdom Project on Nuclear Issues (UK PONI), a flagship project for the PNP programme. Since 2009, UK PONI has helped to address the nuclear policy and technology challenges of tomorrow by developing and sustaining emerging nuclear specialists from industry, academia, government, and the military, and by connecting them with established experts. Its goal is to build a vibrant and diverse community of well-informed, well-connected and capable nuclear specialists in the UK. 

To do this, it seeks to connect across boundaries, be they technical-policy, senior-junior, government and non-government, military-civilian, pro- and anti-nuclear, and internationally; it looks at ways it can help members of the nuclear community develop their knowledge and skills, including by promoting diversity of inclusion and representation; and it provides a platform for emerging talent, principally through its Annual Conference and through the UK PONI blog, Nuclear Reactions. UK PONI has great growth potential, and RUSI’s goal for the PM is to realise this by taking responsibility for driving the project forward, expanding funding and its membership, while maintaining the high standards of the existing programme and our established relationships.

Key tasks  

The Project Manager will: 

• Oversee and implement the UK PONI strategy, ensuring effective delivery and alignment with the wider Proliferation and Nuclear Policy (PNP) programme. 

• Develop and implement communications and engagement strategies for the UK PONI community and funders, including managing newsletters, social media channels, and marketing activity to enhance reach, visibility, and impact. 

• Build and strengthen the UK PONI community both online and offline, fostering collaborations with PONI partners and other organisations and networks across the UK with an interest in nuclear issues. 

• Lead on the production and publication of UK PONI’s quarterly newsletter FUSION and the Nuclear Reactions series. 

• Plan, organise, and deliver UK PONI events, workshops, and conferences in the UK and abroad, providing full logistical and administrative support. 

• Prepare materials for meetings of the UK PONI Board of Advisors and support fundraising, business development, and ongoing liaison with funders. 

• Facilitate business planning and contribute to the development of annual work plans and strategic objectives. 

• Manage bids, grants, and financial reporting, including the creation and monitoring of budgets and submission of reports to funders. 

• Monitor project schedules, track team tasks, and collate programme-wide project management information to support effective delivery and coordination. 

• Deliver internal and external outreach and engagement activities to promote UK PONI’s work and strengthen stakeholder relationships. 

• Ensure that diversity and inclusion are embedded across all UK PONI activities, working with partners such as the Gender Champions in Nuclear Policy network, Women in International Security UK, Women of Colour Advancing Peace and Security UK, and Women in Nuclear UK.

• Familiarity with the UK and broader nuclear community and key debates in the nuclear field 

• Experience in project/ programme management ideally gained in research setting

• Working knowledge and application of project management methodologies and frameworks 

• Advanced working knowledge and management of budgets including reporting and audit management

• Excellent IT Skills (MS Office + Database + Web Based App) 

• Excellent organisation skills 

• Proven experience in organising large scale events 

• Excellent communication skills (communicate with stakeholders) 

• Highly digital literate and familiar with use of social media for maximum exposure 

• Excellent communication and interpersonal skills including the ability to communicate effectively with a wide range of stakeholders and ability to present complex information and demonstrating strong literacy skills.

The Role

To undertake all aspects of warehouse duties, ensuring effective, safe and efficient distribution of food each day. You will have responsibility for coordination of our food stock, from goods-in to picking, dispatch and stock rotation and will be expected to drive vans, and Forklift Trucks.

As the Community Food Member champion you will be responsible for liaising with our community food members. This will include duties such as managing collection schedules and liaising with the member services team to resolve any day-to-day queries.

Working closely with the wider team and volunteers, you will also support the monitoring and utilisation of warehouse space, stock, deliveries and collections to ensure food reaches its destination amongst our members safely, on time and in full.

Key Responsibilities

1.  Operations 

• Undertake all warehouse duties, ensuring effective, safe and efficient coordination and distribution and of food
• Work closely with the member services team to ensure all lines of communication to CFMs are recorded and day to day issues are resolved in a timely manner.
• To work to performance indicators so that stock is accurate, and delivery routes are efficient to allow the organisation to grow
• To ensure that all work areas – both inside and outside the warehouse - are clean, organised and safe to work in
• Follow all H&S and Food Safety standards set out in the FareShare policies and procedures to ensure the safety of all our colleagues & visitors, and the safe receipt of food by all our members.
• Undertake van/Forklift Truck driving duties to ensure effective, efficient timely and safe delivery & collection of food, in line with compliance standards
• Ensuring great customer service in delivery
• Loading and unloading, sorting for, and following deliveries, ensuring safe lifting, and carrying
• Refer van “issues”, in a timely manner to Transport Department to ensure minimum disruption to service delivery
• Undertake all checks and procedures from pre-delivery to post-delivery

2.   Volunteer Communication & Co-ordination  

• Work closely with the volunteer teams a diverse group ranging from regular and long-term, volunteers, placements (e.g. Job Centre) to business people having just a 1-day volunteering experience – to ensure that all shift duties are covered, and teams work effectively
• Provide leadership and guidance to volunteers, ensuring they follow all policies and procedures, high standards of accuracy are maintained and their volunteer experience with FSM is a satisfying one.
• Work closely with the Warehouse Manager, Volunteer Manager & wider staff team with the recruitment, training and development of volunteers in the context of our commitment to Equal Opportunities

• Ensure compliance with relevant Health & Safety, Food Hygiene and other standards applicable to the building, vehicles, refrigeration equipment, our staff and volunteers. carrying out risk assessments as required

4.   Administration

• Ensure that food movements are accurately logged on the electronic stock management system
• Carry out depot administration, including running reports, correspondence with member groups, updating volunteer records
• Ensure that relevant administrative matters are dealt with in a timely way, for instance food safety traces & customer complaints.

Business and Administration Coordinator

Coordinate the administrative function of the Southwark Catholic Youth Service, ensuring the smooth planning, and evaluation of youth events, training programmes, pilgrimages, and Mission Team administration. The post-holder acts as the central operational hub for planning, finance, admin, communications and volunteer coordination, ensuring systems and logistics run efficiently and on time so the Director and mission staff can focus on strategy and operational delivery. This is a hands-on coordination role for a natural organiser who makes things work seamlessly behind the scenes.

Key Responsibilities

1) Strategic Administration & Planning

a) Maintain the master events calendar, ensuring all youth service activities are scheduled, planned and tracked.

b) Maintain simple project boards (e.g., Asana/Trello) with owners, deadlines and status.

c) Support the Director with all aspects of administration and planning, including timelines, progress monitoring, and post-event evaluation.

d) Keep planning documents, checklists, and contact databases accurate and up to date.

e) Take initiative in identifying and implementing improvements to administrative systems, ensuring the Service runs efficiently and professionally.

2) Event & Programme Administration

a) Oversee administrative logistics for all events, including venue bookings, contractor & volunteer scheduling, catering orders, AV requests, travel, accommodation, risk assessments, and consent forms.

b) Prepare briefing packs, participant communications, and evaluation forms.

c) Maintain an event management workflow (including deadlines and task assignments) to ensure all activities run on time and within budget.

3) Pilgrimage Planning (World Youth Day & Lourdes)

a) Lead administrative planning for pilgrimages: itineraries, travel bookings, accommodation, insurance, payments, and safeguarding documentation.

b) Act as the primary contact for pilgrims, managing participant information and correspondence.

c) Organise pre-departure briefings, resource packs, and follow-up processes.

d) Support fundraising and publicity logistics for pilgrimages, ensuring precise and timely communications to participants and parishes.

4) Volunteer Administration

a) Work with other team members to maintain accurate volunteer records.

b) Track and circulate volunteer rotas, ensuring completeness.

c) Manage booking, coordination and administration of the Mission Team.

d) Oversee the onboarding and offboarding of volunteers, ensuring role descriptions, safeguarding checks, and agreements are completed.

5) Communications Liaison

a) Maintain and update the youth service website with event details, news, and resources.

b) Produce and distribute the youth service e-newsletter (via Mailchimp), ensuring mailing lists are accurate and GDPR compliant.

c) Assist with social media to share updates, provide event content, and ensure consistent messaging.

d) Commission printed and digital publicity materials.

6) Safeguarding & Compliance

a) Liaise with the Director of Safeguarding to embed safeguarding procedures in all events and pilgrimages: risk assessments, consent forms, medical records, and emergency contacts.

b) Act as the Safeguarding Representative to manage DBS applications, safeguarding training records, role descriptions, and volunteer agreements.

c) Maintain accurate, digital safeguarding and compliance files and ensure all event leaders are briefed on their responsibilities.

7) Finance & Resource Management

a) Process invoices, expense claims, and participant payments.

b) Monitor budget, reconcile accounts and prepare budget reports for the Director.

c) Reconcile bank and credit card statements with receipts.

d) Order resources, equipment, and printed materials for events and programmes, maintaining a stocklist.

e) Support the Director in financial forecasting and annual budget preparation, ensuring accurate and timely data.

8) General Office Administration

a) Arrange meetings, prepare agendas, and take minutes when required.

b) Maintain and update digital and paper filing systems.

c) Act as the first point of contact for youth service administrative enquiries, managing the youth service inbox.

d) Keep stock of branded materials, stationery, and event equipment.

e) Ensure the office environment and digital systems are well organised and professional, promoting a culture of excellence and accountability.

f) Basic facilities liaison (H&S checks, equipment log).

· Lead on the strategic planning and implementation of income generation activities to help build sustainability of The Carers’ Centre and its services for 19,600 unpaid carers across Bath and North East Somerset.

· Develop and implement a stewardship programme for donors and funders building support and securing new income for The Carers’ Centre.

Income generation

· Design and deliver a diverse income generation plan to support philanthropy and fundraising in line with The Carers’ Centre Strategic Plan.

Like many UK charities, Opportunity International has faced a challenging few years. Shifts in government funding, the impact of the Covid-19 pandemic, and periods of leadership transition have all affected our income since 2018. Yet, out of this challenge comes great opportunity. We are now entering an exciting phase of renewal — revitalising our brand, re-energising our supporter base, and reimagining how we engage with donors.

Historically, our private income has been driven by generous major donors, and while this will continue to be a core pillar, our strategy is focused on diversification and long-term sustainability. In the short term, we’re deepening our relationships with trusts and foundations and growing our individual giving, particularly through digital channels. Looking ahead, we plan to strengthen our legacy programme and build meaningful corporate partnerships.
