The Volunteer Operations Analyst ensures that this contribution is organised, visible and aligned with the organisation’s mission, safeguarding responsibilities and growth.

You will play a key role in connecting people, systems and structure—ensuring that volunteer engagement is consistent, well-managed and sustainable as the C.I.C grows.

This is not a purely administrative role. It is insight-driven, systems-focused and central to how the organisation operates effectively behind the scenes.

Role Summary

The Operations Analyst is responsible for measuring, analyzing, and optimizing the organization’s
internal operations to improve efficiency, accountability, and overall performance. This role focuses on operational systems development, process evaluation, workflow optimization, and organizational effectiveness, enabling leadership to make informed decisions and ensuring that the organization’s activities are structured, scalable, and effective.

While analytical skills are essential, this is not a traditional Data Analyst role. The emphasis is on understanding how systems, teams, and workflows function, and using insight to design and improve operational structures, not just analyze datasets.

The Operations Analyst does not execute or enforce tasks, but plays a critical role in diagnosing
operational challenges and recommending actionable, system-level solutions.

REQUIRED SKILLS AND COMPETENCIES:
Technical Skills
Strong proficiency in:

• Google Sheets / Microsoft Excel
• Data tracking and reporting tools
• Ability to organize and interpret large sets of data

Analytical Skills

• Strong problem-solving and critical thinking ability

PREFERRED QUALIFICATIONS (NOT MANDATORY):

• Background in Operations, Business Administration, or related fields
• Previous experience in Operations analysis, project tracking, or process improvement roles
• (Experience working in remote or volunteer-based organizations is an advantage)

CORE OBJECTIVES:

• Provide clear visibility into operational performance and system effectiveness
• Identify inefficiencies, bottlenecks, and structural gaps in workflows and processes
• Recommend practical, system-level improvements (not just data observations)

KEY RESPONSIBILITIES:

1. Data Tracking & Performance Monitoring

• Develop and maintain centralized tracking systems (e.g., Google Sheets, Airtable) to support operational visibility
• Monitor key operational metrics across departments, including:
  • Volunteer recruitment and onboarding timelines
  • Task completion rates across teams
  • Program and project delivery timelines
• Ensure data is accurate, relevant, and structured to inform operational decisions (not just reporting)

2. Reporting & Operational Insights

• Prepare weekly or bi-weekly operational reports for leadership
• Go beyond reporting by clearly highlighting:
  • Root causes of inefficiencies
  • System and workflow gaps
  • Operational risks
• Translate data and observations into clear, actionable, system-focused recommendations

3. Process Analysis & Workflow Design

• Document and map existing workflows across functions (HR, Programs, Operations, etc.)
• Analyze how work actually flows across teams—not just what is recorded in data
• Identify bottlenecks

● Lead efforts in operational systems improvement, including:
○ Workflow restructuring
○ Standardization of processes and templates
○ Introduction of more efficient tracking and coordination systems
● Continuously evaluate how systems function in practice and recommend refinements

6. Cross-Functional Collaboration
● Work closely with:
○ HR Team (for recruitment and onboarding systems)
○ Team Leads (for workflow and delivery structures)
○ Operations Coordinators / Executive Assistants (for execution visibility)
● Bridge the gap between how work is designed and how it is executed

SCOPE AND BOUNDARIES FOR THE ROLE:
To ensure clarity and proper role alignment:

• Analyze workflows, systems, and operational performance
• Design and recommend process and system improvements
• Provide structured insights that inform operational decisions
• Function as a Data Analyst focused solely on datasets and reporting
• Be limited to producing reports without contributing to process improvement and system design
• Manage or supervise team members
• Enforce task completion or handle administrative coordination

WORKING RELATIONSHIP:
The Operations Analyst will:

• Report directly to the Director of Central Operations & Executive Coordination
• Support decision-making but will not replace leadership authority
• Work collaboratively across all teams while maintaining objectivity and independence

KEY PERFORMANCE INDICATORS (KPIs)
Success in this role will be measured by:

• Quality and impact of operational insights and recommendations
• Measurable improvements in workflow efficiency and system effectiveness
• Reduction in process bottlenecks and delays
• Clarity and usability of operational tracking systems
• Contribution to scalable and well-structured operational processes

What Success Looks Like in This Role:
Within the first 60–90 days, the Operations Analyst should:

• Establish a functional and structured operations tracking system
• Deliver insight-driven reports that highlight system-level issues (not just data summaries)
• Identify and recommend improvements to at least 2–3 key operational workflows
• Provide leadership with clear visibility into how operations actually function and where improvements are needed

• This is a strategic operations role, not a purely analytical or reporting position

Important to be clear:

• This is a volunteer role during the CIC’s build phase
• It carries real responsibility for data integrity and donor relations

All volunteering will take place Monday to Friday between 09:00 and 17:00.  You will need to be over 18 years old and be living in the UK. Please note that there is no opportunity to volunteer at weekends or in the evening.

Relevant Person’s Representative (RPR) Support Volunteer

People in care homes should have a voice to communicate their needs wishes and wants. Some people need support with this, but don’t have friends and family available to assist them.  This means they’re entitled to have support from an RPR and volunteer, who are there to make sure they get the care they deserve.  Your role as an RPR Support Volunteer is to collaborate with the VoiceAbility RPR to make sure a person’s views are listened to when decisions are made about their care. 

As an RPR Support Volunteer you might: 

• Visit people in their care home, to make sure they’re getting the right care and support
• Talk with them about their feelings, thoughts and wishes
• Raise concerns
• Keep detailed notes and records
• Make a real difference to someone’s life

Role Responsibilities

You can choose the areas that best suit your skills and interests. The role is flexible, and volunteers may opt to support one area or several.

1. Stock & Donations Management

• Sort donated items to ensure they are appropriate for sale or event use.
• Organise and manage stock ahead of upcoming events.
• Monitor stock levels and identify when outreach or additional donations are needed.

2. Event Support

• Attend fundraising events, engaging confidently with the public and sharing information about our work.
• Assist with setting up equipment and displays and help with packing away after events.
• Ensure stalls are well presented, welcoming, and visually engaging.
• Support sales of merchandise and the running of games/activities.
• Take photographs throughout the event for promotional use and reporting.
• Observe and record visitor numbers, engagement levels, and which stall features attract attention.
• (Optional) Act as a Stall Leader, taking the lead on the day to coordinate volunteers and ensure a smooth event.

3. Transport & Logistics

• Transport equipment, displays, and stock to and from event venues (using your own vehicle if appropriate).
• Help with stall setup upon arrival at the venue.

4. Admin Coordination

This is a key support role that helps keep the fundraising function organised and running smoothly.

• Booking events and completing relevant forms.
• Maintain a current contact list of volunteers.
• Manage and update volunteer availability rotas.
• Keep the fundraising project spreadsheet accurate and up to date.
• Update the “cat book” or event information pack ahead of each event.

What We’re Looking For

Role Purpose

The Head of Department (Legal) oversees a team of dedicated legal professionals and graduates who operate in a capacity similar to paralegals. You will bridge the gap between Directors and the legal team, turning high-level objectives into actionable legal support plans while ensuring the highest standards of professional conduct and social justice advocacy.

Key Responsibilities

• Strategic Oversight: Developing and managing the legal department’s roadmap to support Quilombo UK’s social justice initiatives.

• Team Supervision: Overseeing the work of legal graduates, many of whom are working towards their LLM (Master of Laws), ensuring their contributions are technically sound and ethically grounded.

• Departmental Leadership: Coaching the legal team to maintain 100% project visibility and ensuring all work meets the rigorous standards required for future SRA accreditation.

• Social Justice Advocacy: Managing caseloads and research projects that tackle systemic inequalities and discrimination within the community.

• Operational Control: Maintaining 100% visibility of all legal tasks via project management tools and providing weekly reports to Directors on risks, progress, and Work in Progress (WIP).

We work with people who need support with their mental health across London and the South East. Our support ranges from registered accommodation services for people with severe mental health conditions to drop-in community and crisis services.

In the last year, 9,499 adults accessed Hestia’s mental health support.

We help people to feel safe, develop hope for a better future, and achieve their personal goals. These goals may include rebuilding relationships with family members and friends or connecting more with their local community.

What you will be doing

• Coordinate and facilitate weekly walks in local parks to the service alongside other volunteers
• Meet with the walking group weekly
• Hold conversations with people attending the group, checking in on their wellbeing and providing a listening ear/friendly face
• Keep a record of attendees, provide feedback, and report any concerns to the staff team
• Ability to provide a supportive, and inclusive atmosphere that encourages participation

The difference you will make to cats and people

Without the passionate and committed teams of volunteers across Cats Protection we wouldn’t be able to help the thousands of cats and kittens each year that rely on us for help. The purpose of this role is to support the organisation with communications and administration at a local level. You’ll play an active part in the branch committee and support the branch with record keeping and planning, thus enabling more cats to be helped.

What we need from you

You’ll be:

• Disseminating relevant organisation-wide information and updates to the branch volunteers
• Supporting engagement and communication between the branch and wider organisation
• Drafting committee meeting agendas and taking and sharing meeting minutes
• Supporting the efficient running of the branch by ensuring administration processes are carried out effectively
• Supporting the administration and update of the branch annual plan 
• Sign-posting queries from members of the public
• Keeping branch records and information up to date and secure, using Cats Protection systems – training will be provided

Time expectation

Our support volunteers usually spend 2-5 hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.

Plateful Café works to relieve poverty and isolation amongst refugees, asylum seekers and ethnic minorities in Lewisham. Our commitment is to reach the most vulnerable people in our community and open a pathway to employment for people who have asylum here. Refugees will benefit from workshops, training skills and knowledge relevant for the catering industry. What will the role involve?

• Looking for partnership opportunities with the private sector.
• Assisting with the development and ongoing work of Businesses Fundraising Action Group.
• Assisting in planning fundraising strategies with local businesses.
• Reporting on businesses partnerships and recent developments at Plateful Café.
• Working in partnership with the Plateful Café fundraising team.

Essential:

• Excellent communication skills.
• Experience of working with corporates.
• Expertise in new project creation and developing business links.

Desirable:

• Previous experience in fundraising and/or marketing.

• Helping to establish a new Business support group and a sustainable long-term funding structure.
• Developing and maintaining a funding mix, not relying on only one stream of funding.
• Helping local refugees find employment and enter the workforce much sooner than they otherwise might.
