CPAG is seeking an AI Coordinator for a two-year fixed term to support our work in the responsible use of AI. In this role, you will lead on planning, delivering, and monitoring AI projects in collaboration with our partner organisations. This work involves the ongoing protection of CPAG's intellectual property and reputation as a sector leader. You’ll carry out regular evaluation of each project and regularly update stakeholders with performance metrics, user feedback, and impact assessments.
This new role also involves developing training materials and delivering sessions to upskill CPAG staff in AI technologies, with tailored materials for the needs of different teams. You will ‘own’ and maintain the relevant internal policy documents and processes for AI use and will oversee the use and optimisation of AI tools across the organisation. Alongside colleagues, you’ll manage risk and compliance (including legal and ethical standards) to ensure responsible AI adoption that is fully compatible with CPAG’s mission. You’ll monitor developments in AI, assessing new products for risk and opportunity, and share lessons learned across the charity.
We’re looking for someone with strong project coordination skills, experience of managing multiple stakeholders, and a keen interest in and experience of AI and emerging technologies.

The Job

ABOUT THE ROLE
Support the Finance team in delivering accurate and timely financial processing and reporting. Where allocated, this role focuses on income and expenditure transactions, financial controls, reconciliations, and customer and supplier support, while providing cross-functional support across the Finance department to ensure continuity and compliance.
Some, or all of, the tasks below will be allocated to this role, assisted by the Senior Finance Assistants and supervised by the Financial Controller.
Daily monitoring of income and payments inboxes and related correspondences, support the end-to-end process, record and amend income and payments information in financial and other databases, and provide support on related banking queries.
Work alongside income teams in invoicing, receipting payments, issuing statements, allocating income, approving refunds and onwards union fee disbursements. Support query resolution, and monitor unallocated cash and union fees.
Process and record supplier BACS and other payments efficiently and accurately, and in accordance with accounting procedures. Record payment transactions in the finance database, including cash allocation and currency conversions. Support internal teams and meetings in relation to delegate prepaid cards, including processing transactions, issuing new cards and stopping or cancelling cards as required. Support the prepaid card platform, ensuring all records are kept up-to-date and centrally located to assist colleagues.
Assist in processing expense claims in line with policy. Process transactions for employee cash claims and corporate credit card purchases, issue new cards and stop or cancel cards as required.
Support month and year-end close processes, reporting, reconciliations and audit.
Ensure compliance with internal financial procedures and controls, and support the design and implementation of new systems, policies, and processes within the Finance team responsibilities

ABOUT THE ROLE
Responsible for the day to day running of the Financial Control department, and line managing two Senior Finance Assistants and two Finance Assistants.
Responsible for group reporting requirements for branches and subsidiaries, including assisting with their opening and closing.
Support the stewardship of the finances of ITF Group, including fixed assets, investments and banking. This includes processing and recognising transactions, maintaining schedules, reporting requirements, forecasting cash requirements and liaising with advisors.
Facilitate receipts, payments and expense claims, including checking of expense claims, and checking and recording regional office transactions in ITF Group accounts. Collaborate with and support teams responsible for different income streams, and process transactions on credit cards and prepaid cards, including issuing and closing of cards.
Responsible for employee and employer tax matters for benefits-in-kind that are identified in invoices or expense claims, including preparing the PAYE Settlement Agreement.
Responsible for statutory and regulatory calculations, reports and filing, including Certification Office, Companies House, corporation tax, VAT, gift aid and other taxes, levies, charges and duties.
Prepare for and assist the external audit, and year-end and monthly accounts, and complete allocated balance sheet reconciliations.
Establish and provide appropriate policies and processes to ensure compliance and to meet defined deadlines.
