Job Summary
We are seeking a dedicated and detail-oriented Business / Operations Manager to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative support. This position requires strong organisational skills and the ability to manage multiple tasks efficiently while maintaining a high level of professionalism.

The Operations Manager is responsible for overseeing the business functions of the charity, ensuring efficient and compliant operations. This role covers finance, HR, IT, premises management, recruitment, health and safety, and GDPR/data protection. The successful candidate will work closely with the CEO, leadership team, and external specialists to support the charity’s mission and maintain operational excellence.

Responsibilities

Human Resources & Recruitment:

· Oversee HR processes, from recruitment to staff development, ensuring compliance with best practices.

· Manage employee relations and support performance management initiatives.

· Maintains training records and ensure all necessary training is booked for staff and volunteers.

IT & Data Management:

· Ensure the smooth running of IT services and systems.

· Oversee GDPR and data protection compliance, working with IT teams and external consultants if necessary, fulfilling the role of DPO for the charity.

Financial Oversight:

· Liaise with external accountants in relation to;

o Processing the monthly payroll

o Processing purchasing invoices ensuring all goods and services have been authorized

o Preparing and processing payments of invoices, expenses etc

· Monitor budgets, financial reporting, and ensure fiscal responsibility.

Premises Management:

· Manage the charity’s physical assets and premises, including vendor contracts and maintenance.

Health and Safety:

· Implement and monitor health and safety policies to provide a secure working environment.

Compliance & Risk Management:

· Maintain up-to-date knowledge of relevant regulations (e.g., data protection, health and safety) and ensure the charity adheres to them.

Strategic Project Management:

· Support the Head of Service in the oversight of operational projects, evaluate their success, and recommend improvements to processes.

· Any other duties from time to time as directed by the CEO or the Board of Trustees in the CEO’s absence

Management responsibilities

· Ensure that health and safety at work procedures are adhered to.

· Ensure all operating systems relating to service delivery are updated and reports generated for monitoring and evaluation, identifying and sharing any opportunities for learning.

· Prepare reports for Head of Service / CEO using DAVSS databases and co-ordinate information for funding/monitoring reports, liaise with the Fundraising team and outsourced finance team as needed in connection with external funding.

Person Specification

Essential:

· Proven experience in an operations or business management role.

· Strong financial acumen with experience in budget management.

· Excellent organisational and communication skills.

· Sound understanding of HR practices, IT management, and regulatory compliance.

Beneficial:

· A degree or at least 2 years’ operational experience in Business Management, Finance, or a related discipline.

· Relevant certifications such as CIPD (for HR), NEBOSH (for Health & Safety), AAT/CIMA (for financial management), ITIL (for IT services), or Prince2 (for project management).

· Experience or training in GDPR and data protection.

· An understanding of Domestic Abuse or the willingness to learn.

Your main role is to be a senior member of the PIRC team, holding responsibility for overseeing PIRC’s strategic direction and vision, and leading on organisational and operational development to ensure the financial health of the organisation.

Title: Head of Operations

Contract: Permanent

Location: Hybrid - based at PIRC offices in Machynlleth, as well as your home address, with travel when necessary.

Salary: £42-45,000 (£25-27,000 pro rata). This is the base rate for our socially-just pay policy, which can provide additional salary based on personal need.

Hours: 24 hours over 3 days, usually between Monday to Thursday, with 1:1  toil system (hours or days earned for working beyond your set hours)

Holiday: 28 days (17 days pro rata, including bank holidays)

The Role:

Strategic Leadership

• With the Head of Programmes, co-lead, as part of a collaborative process with the full staff team, the development and review of the operational strategy and budget
• Plan and facilitate Core Team Meetings

About the Role

In this new role, you will contribute to enhancing the finance function within a growing and dynamic international charitable foundation. The role will enable you to work and continue your professional development across many aspects of the finance function.

Roles and Responsibilities

Accounting (40%)

• Oversee day-to-day transactions, including accounts payable and receivable, for both the UK charity and the newly created US charity
• Ensure that accurate and comprehensive records of accounting evidence for all transactions are maintained
• Monitor cashflow
• Support the HoFO in the month-end process
• Oversee and control monthly payroll with external payroll provider
• Oversee and control VAT returns with external accountants
• Check monthly Balance Sheet reconciliations
• Develop the purchase order system

Financial Planning & Analysis (35%)

• Support the HoFO in the preparation of the monthly management accounts
• Control all accounts payable in dialogue with budget holders

• Control and account for the use of restricted funds, in alignment with donor requirements and with the Impact team

Statutory accounts and audit (10%)

Operations (15%)

Skills and experience

Essential

• Newly qualified or part qualified, working towards a chartered accountant qualification (ACA, ACCA, CIMA)

The Head of Program reports to and works closely with the Country Director to provide strategic program direction for DRC’s ALT (Algeria, Libya and Tunisia) response in a manner that is accountable to the communities we work with. The HoP is expected to contribute to the quality assurance of program implementation across the project development and implementation cycle. The position ensures that DRC’s projects significantly contribute to meeting immediate humanitarian needs, transitioning from relief to longer-term rebuilding and recovery. The HoP is a key senior position in the DRC country set up, responsible for cross-cutting programmatic information management, sound design of and overseeing assessments, monitoring and evaluation, and ensuring that information collected is reflected upon, used to improve ongoing projects, and is incorporated into consistently high-quality grant proposals and reports. S/he plays a crucial role in strategy development and adherence and ensuring that policies, systems, and people are continuously and accurately working in a coordinated manner to ensure that a coherent and comprehensive program is designed and implemented. ​ Programming Strategy & Development

• Constant in-depth analysis of humanitarian context, trends, gaps, challenges and opportunities
• Participate in country level strategic planning, lead the annual review process and contribute to the sustainable management of program with a continual eye to new program development that addresses displacements and meets the needs of beneficiaries

Program Implementation & Coordination

• Provide oversight, guidance and leadership to all aspects of program development and implementation, including ensuring timely reporting, compliance and quality utilizing routine monitoring and feedback into program implementation
• Ensure effective and transparent budget follow up, planning and use of financial resources in compliance with DRC and donor policies and priorities

Fundraising, Grant proposals writing & reporting processes

• Ensure up to date donor mapping and pursue funding opportunities in all DRC competence areas, and coordinate the capacities of the program managers and SMT to identify and materialize opportunities

Program staff Management and Capacity Building

• Effectively manage the program team in the coordination office in Tunis: Project Development and Quality Manager, Protection Manager, Humanitarian Mine Action Operation, ECREC Manager, Partnership Coordinator and the Program Trainee
• Ongoing development of team composition and structure to ensure that is fit for purpose, develop Job descriptions/Terms of Reference, follow up program staff related recruitment processes and orientation of staff. Proactively seek to increase the numbers of national staff members in the Programs team.
• When needed, draft and/or review scopes of work to hire and manage technical consultants, including review for technical efficacy and contract budget
• Development of overall staff competence through leadership, training and coaching of technical and management key program staff
• Conduct annual staff performance reviews

Donor liaison, Partnerships and Representation

• Represent DRC’s program to funders and potential donors
• Cultivate key relationships that enhance DRC’s visibility, credibility in ALT
• Frequent travel for direct support to field sites, representation and identification of opportunities for organizational growth in the competence areas profit, independent, rights-based refugee organization.
• Review and oversee implementation of the CSO partnership strategy and promote localization agenda within DRC.
• Identify local NGOs/partners and develop partnership with relevant and complementary partners.

Other

• In close collaboration with the broader Senior Management Team, lead by example to ensure continual progress towards DRC’s Age, Gender, and Diversity policy and AGD programmatic minimum standards, and promote compliance with DRC’s commitment to zero-tolerance to Sexual Exploitation and Abuse policy.

About you

To be successful in this role we expect you to at least 5 years' experience in relevant field. Moreover, we also expect the following:

Required

• Minimum 7-8 years of progressively responsible experience in program management, leadership, and design in countries of conflict or post-conflict, including working on protection and mine action programmes.
• Minimum 4 years of experience working in managing emergency operations, including 2 years at senior management level and at least 2 years in the Middle East/North Africa.
• Demonstrated experience and skill in proposal development, budget development, program implementation, monitoring and evaluation.
• Master’s degree in International Development and/or Humanitarian Assistance, Project Management, or any other related field 
• Demonstrated experience in managing migration programmes and cross-border programming.
• Proven experience in effectively coordinating with National Governments, International and National NGO partners and a variety of working with and coordinating with a variety of donors including SDC, ECHO, DANIDA, UN agencies, EU FPI and DG.
• Demonstrated commitment to apply an age, gender and diversity (AGD) and Conflict Sensitive approach to programming.  
• Proven experience in managing integrated programs as well as capacity building.
• Fluent in English

About Slough Foodbank

Slough Foodbank is a charity whose object is the prevention or relief of poverty in the United Kingdom, mainly in Slough and the surrounding area, in particular but not exclusively by providing emergency food supplies to individuals in need, as motivated by the principles of the Christian Faith.

Slough Foodbank believes that no one in the community should have to face going hungry. That’s why we provide three days’ worth of nutritionally balanced, emergency food and support to local people who are referred to us in crisis. In 2024, we gave out 12,147 food parcels.  Sadly, this is almost double the number in given out in 2020.  In addition to providing food and basic toiletries, we try to understand the situation of the people referred to us so that we can signpost them to other organisations where appropriate, in order to give a helping hand through a crisis.

· Primary contact for our parent organisation, Trussell

· Accountable to the Trustees, who have ultimate accountability for the Foodbank

· Volunteer and employee management

· Ensuring there are sufficient donations of food, toiletries, etc, and also financial donations

· Meeting clients’ needs through managing distribution of food parcels including oversight of the warehouse, distribution centres & signposting

· Recruiting and developing volunteers (and any approved employees)

· Building key external relationships with key referral agencies, local forums and networks

The Data Operations Team sits within the wider Supporter Experience and Operations team, within the Mass Engagement Department at WaterAid. About the role 

As our Data Operations Manager, you will ensure the accuracy and efficient management of data imports and core income processes such as the Direct Debit and Gift Aid claims. You will work closely with key stakeholders in Performance and Insight, Finance and Mass Engagement to drive sustainable change.

In this role, you will: 

• Manage the day-to-day data operations (including data imports, Direct Debit submissions, submitting Gift Aid claims to HMRC)
• Line Manage two Data Operations Officers, providing support, coaching and mentoring

Summary of the role:

The Supporter Relations Engagement Team is involved in the planning and development of programmes and projects that puts supporter engagement at the heart of everything do we do. They play a pivotal role in making Muslim Aid more data and insight driven in the way we fundraise and communicate with supporters. We’re aiming to improve our data use, integration and analytics to increase engagement, maximise impact and drive forward our strategic goals. Our Data Operations Managers sit within Product and Systems Management team.

Our Data Operations Managers have a key role in ensuring our end to end processes are working through our central CRM system. These processes include the processing of our income through the system such as Gift Aid, regular giving and special events, Direct Debits.

This role also ensures our end to end data flows are fit for purpose and that data within it are clean, accessible and available.

This role is responsible for:

• Custodian of our CRM data and responsible for major data import/export into the system including data validation, de-duplication, cleansing and fixing of data throughout the multiple data systems.
• Responsible for the curation and management of import and export routines of key fundraising data using appropriate tools.
• Responsible for forming and managing how the functions work within the Organisation to build key relationships with key data users to ensure data is correctly ingested
• Responsible for defining and setting standards and principles of data use in the system and fully enforcing these principles across the Organisation and to suppliers.
• Maintenance of legacy systems and processes where necessary

For this role we’re looking for:

• SQL (SSIS, SSRS) knowledge
• Knowledge of Dynamics CRM 365 and associated technology
• Working knowledge of KingswaySoft
• Knowledge of deduplication techniques
• Proven data management skills and experience

Sex Education Forum was founded in 1987 and became an independent charity in 2021. We convene over 70 Partner organisations, working together to make sure that the relationships and sex education (RSE) young people get is right for them. We influence national policy, are a respected voice in the media and contribute to ground-breaking research on RSE. By working in partnership with young people and training educators who work with some of the most marginalized young people, we know what changes are needed to make RSE the best it can be. We will soon be launching a new three-year strategy and have secured multi-year funding to further embed youth inclusion in our work. The Communications Manager will be a new role, working closely with the CEO and staff team, enabling us to realise the ambitions of our strategy.
