About the Role
Humanists International has another separate entity based in the US. This role will be a part of the UK operations team but will collaborate with the US finance team occasionally when it’s required, for example, during the audit period. Both UK and US finance teams are managed by the same Director of Finance and Operations who is based in London.
We are looking for a highly motivated individual who can provide excellent finance and administrative support to the small, predominantly home-based team. We’re seeking someone who is personable, highly organised, has attention to detail and is keen to take initiative and learn new skills. Onboarding training will be provided, but we would like you to demonstrate transferable skills.
You will work on a wide variety of tasks which will include bookkeeping and bank reconciliations, being the first point of contact for the organisation, as well as providing general administrative support to the team. You will be comfortable working both independently and collaboratively across a diverse international team.
This is a full-time or part-time with a minimum of 4 days/week (0.8 FTE), permanent position, which is predominantly home-based but does require the attendance of in-person events such as the General Assembly and Team Building. You will also be expected to attend a number of board-level meetings held on weekends to take meeting minutes - further details are listed in the Key Responsibilities section.

Key Responsibilities

Taking charge of the day-to-day financial activities and office administration of the organisation.

Ensuring high-accuracy bookkeeping and bank reconciliation are completed to deadlines.

Ensuring adequate financial documents are filed on Drive to comply with the audit requirements.

Preparing invoices and receipts to stakeholders as required.

Generating month-end Budget vs. Actual Report from accounting software on time, for the Director of Finance and Operations to review.

Preparing financial data for quarterly Finance Report in tables for the Director of Finance and Operations to conduct quarterly financial analysis.

Assisting the Director of Finance and Operations with the preparation of financial data, tables and files for the annual budgeting and UK audit.

Reviewing and processing expense claims. And ensuring the Expenses Policy is being followed.

Preparing and attaching expense receipts to the CEO’s monthly credit card statements.

Being the first point of contact of the organisation. Managing office inbox, answering office calls and sorting out the letters.

Attending online board meetings (four times a year on Saturdays) and investment committee meetings (twice a year on weekdays between 5-7pm) to take meeting minutes. Board meetings normally take 3 hours and investment committee meetings take 45 minutes. These meetings are usually planned 6-8 months in advance. TOILs will be provided when the meeting is held outside your normal working hours.

Arranging flights and accommodations for the CEO and board members to attend in-person meetings when required.

Essential Skills

Accounting, finance, or economics qualification.

A minimum of two years’ experience in bookkeeping and administration roles.

Experience using financial software. e.g. Quickbooks, Xero, Sage or equivalent.

Understanding of the chart of accounts structure, cash/accrual accounting basis.

Experience preparing the budget. (Not necessarily the whole organisation’s budget, but specific section(s), for example, travel costs and fixed-costs related budget lines would be essential.)

SPANA - The Society for the Protection of Animals Abroad is the global charity for working animals in low-income countries. Since 1923, we have supported the welfare of working animals, including donkeys, horses, camels and elephants, in communities that depend on working animals for water, transport, agriculture and their very survival. Today, we support working animals across 26 countries, through a series of global projects and partnerships.
This role will be a part of the Global Programmes team, working alongside colleagues responsible for Education & Social Behaviour Change Communication, and Programme Quality and Delivery. The succesful candidate will liaise with colleagues in the Global Resources, Global Fundraising, Marketing, and Communication departments, and in support of our colleagues across the majority world. The role will report to the Director of Global Programmes, and directly oversee three Technical Animal Health & Welfare Advisors.
You will be responsible for delivering SPANA’s technical animal health and welfare work, relatedly, against the 2023-2027 SPANA strategy and its key performance indicators. Your work will be supported by a nascent external animal health and welfare advisory panel, as well as that of your direct reports. You will be responsible for representing the organisation in relevant fora, amongst other responsibilities as required.
While we classify this role as hybrid, it's worth noting that the vast majority of your work can be done from the comfort of your own home. Occasional in-person visits to our London office (located in Borough High Street), and all-staff gatherings will be necessary. Our full time hours are 34.5 hours per week and we offer core working hours between 10am and 4pm.
Key responsibilities
Strategy
- You will have responsibility for developing and delivering the organisation's technical animal health and welfare strategy, plans and policies, with a primary focus on best practice and quality;
- You will lead the development of a global technical audit tool to ensure best practice is consistent across all partners & programmes supported by SPANA.
Leadership
- Promote the development of your immediate team, and the technical capacity and development of animal health workers across the SPANA network. Provide mentoring and targeted training and support succession planning and growth.

One Health

Advocacy, Policy and Representation
- Collaborating with coalitions, external working groups and stakeholders, advising on and coordinating SPANA’s contribution to these groups, chairing where relevant and reporting back to relevant teams in SPANA.
- Collaborate across teams to ensure technical input is included in all external advocacy work as and where needed;
- At a global level, build effective relationships with key stakeholders in the animal welfare sectors, such as WOAH, AUiBAR, and FAO etc;
- Represent our work to supporters, influencers, key stakeholders and partners.
About You
Training and Qualifications
Essential
- Qualified Veterinarian MRCVS a minimum of 12 years of veterinary experience.
- Clinical experience in mixed or large animal practice.
Desirable
- Further qualifications in the areas of animal welfare, herd health, surveillance, preventive medicine, epidemiology or One Health is highly desirable
- Further qualifications or proven experience in project management and/or leadership.
Experience
- Experience of working or living in low-income countries
- Experience working in the animal welfare, humanitarian and/or development NGO sector.
- Experience of developing, monitoring and/or auditing technical standards in veterinary medicine is highly desirable.

MAIN PURPOSE OF THE JOB
The role leads on the delivery of Bond’s corporate and CEO level events. This role is managed by the Head of Communications but also works with the corporate and marketing team, the Director of Membership and Communications and CEO.
The primary focus of this role is to manage and deliver high-quality events for Bond’s corporate partners to help them reach their target audiences, and to deliver high level events for CEOs and senior leaders across our network to help provide senior leaders with the support and skills needed to provide effective and supportive leadership.
MAIN RESPONSIBILITIES
1) Corporate events:
• Manage and deliver a range of events to fulfil contractual commitments with corporate partners.
• Ensure the successful execution of events, including hybrid and face-to-face components, across various locations including potential European venues.
• Collaborate with internal teams and external partners to deliver high-quality events that meet partner expectations and contribute to revenue generation.
2) CEO engagement events:
• Develop and implement a comprehensive program of events targeting CEOs and senior leaders within our network.
• Coordinate logistics, including speaker liaison, venue sourcing, and event planning for CEO events throughout the year.
• Work closely with senior management to align events with organisational goals and strategies outlined in Bond’s membership strategy.
3) Special projects:
• Coordinate special one-off projects and events as required by members or donors, ensuring alignment with organisational objectives.
4) General
• Ensure the successful delivery of Bond corporate and CEO events both online and in person, where appropriate.
• Ensure events logistics, including working with any contractors and with any external booking systems are successfully delivered.
• Develop and maintain the Bond corporate and CEO events schedule and ensure that project timelines are adhered to.
• Liaise with speakers and ensure that speakers are successfully briefed
• Support all digital content of uploading and editing sessions and speakers on the Bond website.
• Liaise and work with external event platforms for any major events.
• Scope and research venues and platforms and tools for in-person, online and hybrid events.
• Assist in-person and hybrid event providing support as and when required.
• Working with the Marketing and Membership Manager and Business Development Adviser, ensure that all events communications are delivered in a timely manner and that delegate queries are answered.
• Ensure the successful delivery, when required, of any post-event communications, including blogs and video, and ensure that each event is evaluated.
• Working with the corporate partnerships team, advise and support on the successful delivery of webinars.
• Identify and mitigate risks associated with event delivery, including changes in corporate needs or unexpected challenges.
• Ensure compliance with budgetary constraints and explore opportunities to optimise event-related expenditures.
• Maintain a portfolio of venues (both free and paid-for) that Bond can use when an in-person event is required.
• Ensure that all events meet insurance, legal, and health and safety obligations.
PERSON SPECIFICATION
The ideal candidate would:
• Have at least 2 years experience of events organisation and management in a similar or comparable setting
• Possess strong communication and interpersonal skills to build relationships with sponsors, event partners and participants.
• Be able to engage effectively with senior stakeholders and manage relationships with Bond’s network of members.
• Have a good understanding of how events can generate income
• Be entrepreneurial and flexible, with the ability to identify potential opportunities and partners.
• Be highly organised – able to plan, prioritise and deliver to tight timescales and to manage both strategic and reactive projects effectively.

Role and Responsibilities
Reporting directly to the Director of Finance and working closely with the Senior Programme Finance Officer, the primary objective of the role is to manage the monthly and annual accounts, prepare for and lead the end-to-end statutory audit and support the wider organisation with financial insight and guidance.
- Monthly accounts: maintain financial records and produce monthly management reports. Prepare financial reports for quarterly board meetings.
- Annual accounts: prepare the annual financial accounts, including the Trustees’ Annual Report.
- Lead the audit process: manage the audit process and be the key contact for the auditor during the audit fieldwork and follow up.
- Organisational budget: support the Director of Finance with development of the annual organisational budget. Liaise with budget holders across the organisation (fundraising, programmes, communications, office management and CEO) on a regular basis to manage spend against the annual organisational budget.

• To assist in securing event funding and ensuring monitoring and evaluation of all events is conducted on a regular basis.

We prepare and equip medical teams, both in the UK and worldwide, so they are ready to respond when epidemics, conflict and natural disasters hit. When Ebola struck West Africa in 2014 we recruited and trained UK doctors and nurses who helped local medical teams and other NGOs to bring the outbreak under control. We are core partners, providing the clinical component and key support structures of the UK Emergency Medical Team (UK EMT) in line with WHO standards.
We are recruiting a Head of Security to ensure effective safety and security arrangements are in place for the UK EMT. Our new Head of Security will lead on strategic and operational management of safety and security for the UK EMT. You will design, draft and disseminate overarching safety and security plans and crisis management plans and attendant structures, and will advise Team Leaders in the field including deploying with large responses as required. It is a standalone role and you will be responsible for all areas of security management.
Our ideal candidate will bring significant security expertise developed through significant experience working in the humanitarian sector (expected to be at least 5 years) including in insecure environments, and who is willing to spend up to 40% of their time on deployment as part of our responses.

About the Role

Responsibilities include:
- Research and make recommendations of funding opportunities (new funders) and the best fit with EJF’s current and planned programmes. Draft initial enquiries (LoI or call) or funding applications. Ensure timely, appropriate follow-up is conducted and that we collect and learn from feedback.
- As directed, manage relationships with funders, ensuring timely reporting that meets their needs. This will include drafting the funder newsletter (bi-monthly) and providing new materials, such as reports, films, audits, etc.
- Draft funding proposals and monitor all deadlines for reporting, planning for the timebound and efficient delivery, and working with team members to ensure the highest quality reports are drafted in good time.
- Organise a monthly meeting with the directors and COO to present opportunities and actions and agree on priorities and approaches to donors.
- Take the lead in preparing government grant applications, liaising with colleagues for information and finessing draft texts.
- Maintain the grant database and ensure it is regularly checked and updated and that leads are followed up.
- Maintain the grants calendar, ensuring you are aware of reporting deadlines and other priority needs well in advance and ensuring no deadlines are missed. The role will take a proactive lead and coordinate as required.
- Assist in delivering events to update existing and attract new funders and ensure appropriate follow-up.
- Assist in crafting presentations to funders and, as required, work with the comms team to develop films or other materials.
