We are looking for a part-time Operations Manager to support our Executive Director and wider team by taking an operational lead, keeping a birds eye view over all of our activities and our infrastructure - and ensuring the principles and processes we’ve collectively agreed to are working optimally. 

You will provide essential operational, administrative, financial and IT support. Lead in the day to day operations of the organisation, including office tasks, diary management and systemic thinking for our internal communications.

TERMS AND BENEFITS

• Fixed term contract for 12 months (with the possibility of extension depending on future grants), £38,000 pro rata (equivalent to £22,800 per year), with a September or October 2026 start.

• 25 days of paid annual leave pro rata, plus bank holidays. In addition, the MDP office closes for two paid weeks over Christmas and New Year.

• Office & Team Support: managing the MDP office, keeping it stocked, ensuring the compliance of the office environment and support the Executive Director with diary and meetings.

• Project Management: support the team with resources, templates and systems for them to do their work effectively, implementing and managing MDP's project management platform and ensure the team are supported through their work.

• Security of the team and community: staying up to date with best practice on digital and physical security and ensure the wider community that interacts with MDP is safeguarded. 

• People Management and recruitment: maintaining records of staff leave, expenses and training needs, support the Executive Director with recruitment processes and ensure the team has access to the processes allowing them to grow and flourish.

• Online systems: manage MDP's Google Workspace, internal communications and staff shared drives, accounts and onboarding.

• Finance Support: pay small invoices and process staff expense forms, submitting relevant invoices and manage MDP's expense card system.

• At least three years of experience in an administrative, operations, or office management role, ideally within a small NGO or human rights organisation.

• Ability to manage multiple tasks and prioritise effectively to meet deadlines.

• Excellent organisation skills, with extensive experience in project and program management, a proven ability to plan, organise, and lead the implementation of plans and processes.

• Excellent digital skills including on platforms such as Excel, Airtable, Google Workspace, or general software.

• Good knowledge of policies relevant to the operations of an organisation.

• Experience using Xero, Soldo or similar software for processing invoices and expenses.

• Experience maintaining accurate records and systems, with excellent attention to detail.

• Experience supporting recruitment, onboarding or volunteer coordination.

• Understanding of data protection principles (e.g. GDPR), general policy compliance, and experience handling confidential information.

• Experience in diary management.

• Excellent knowledge using Google Suite.

The West Yorkshire Programme Manager will be responsible for the strategic and effective organisation of tutoring programmes delivered in primary, secondary and post-16 settings within West Yorkshire. You will be responsible for ensuring that our tuition programmes operate effectively and efficiently on a day-to-day basis. The West Yorkshire Programme Manager will lead a team and will share with schools, local authorities and multi-academic trusts the full range of Tutor Trust services, to further promote our work.

Job Responsibilities:

Strategic Partnerships & Stakeholder Engagement

• Act as the primary point of contact for senior leaders in schools, MATs, and the wider education sector across West Yorkshire.
• Secure and deliver presentations to school and college leaders to expand Tutor Trust’s network of partner institutions.
• Collaborate with the Strategic Operations Manager to develop and implement regional strategies for partnership growth.

 Programme Leadership & Delivery

About the role

At the RSPCA Finchley Branch, we are seeking a practical and organised Branch Manager to support the delivery and development of our local animal welfare services and the oversight of our retail operations through the line management of Shop Managers.

This is a strategic role with a hands-on focus on operational delivery, responsible for overseeing day-to-day operations across animal welfare, retail operations through the line management of Shop Managers and volunteer activity. Working closely with Trustees, the postholder will help ensure that services are delivered effectively, safely and in line with our charitable objectives, with a clear focus on achieving positive outcomes for animals and the community.

The role is hybrid, combining remote working with regular travel across the branch area, including visits to our charity shops in East Finchley and North Finchley, as well as occasional in-person meetings and operational activity where needed to deliver the Branch outcomes in line with the agreed objectives and priorities.

In this role, you will

You will be responsible for the effective delivery of animal welfare outcomes across the branch, ensuring animals are safely supported from intake through to rehoming, while also supporting the RSPCA Inspectorate. Alongside this, you will oversee day-to-day branch operations, including managing a small team of staff and volunteers, overseeing the performance of the branch’s retail activity through the line management of Shop Managers to contribute to sustainable income.

Working with the Chair and the relevant Trustee portfolio lead, including the Treasurer, to ensure financial oversight, governance and compliance and to deliver the agreed objectives, and working with veterinary partners, staff and volunteers, other RSPCA branches as well as other charities, you will ensure that services are delivered consistently, responsibly and in line with the branch’s priorities.

We’re a small charity with a global reach and an important purpose: to reduce the burden of pulmonary vascular disease (PVD) with a particular focus on pulmonary hypertension (PH) - a serious condition that can lead to heart damage and trigger symptoms like breathlessness, chest pain, fatigue, poor growth, fainting, and light-headedness. PH can reduce both quality of life and length of life, but it isn’t widely recognised or well-understood.

We are seeking a Marketing & Events Officer to help the charity achieve its mission by growing its international profile, driving membership, increasing engagement and income through delivering great marketing, webinars and event communications.

PVRI's events are delivered collaboratively across the charity, and this role acts as the key coordination point for event communications, delegate engagement and webinar delivery. No two days are the same. One day, you might be writing content for our website, emails, newsletters, or social media channels, and the next, you might be welcoming respected speakers and attendees to one of our international scientific webinars.

A key part of the role is supporting marketing and comms for our face-to-face events and working with the team to provide on-site support. These include our annual global scientific congress (often held towards the end of January in a different city around the world) and our biennial symposia (which usually take place in June, usually in the USA or Europe).

Our staff team are not scientists or medical experts – but we are skilled at warmly facilitating and uniting the global scientific and medical expert community. This will require new business development and excellent ongoing relationship management. You will identify which jobs are most sought after by our typical candidates and which are more specialist or occasional opportunities. Equally, you will gravitate towards employers who demonstrate agility and responsiveness in their hiring processes. Your client contacts are more likely to be business owners, divisional managers and site supervisors than social value or EDI teams.

You will:

• Proactively approach local employers who are advertising paid jobs that could suit current candidates on our books, for example through online searching using keywords for skills and industry sectors, sending over candidate details with the goal of obtaining recruitment instructions and securing interviews.
• Speculatively approach organisations that are not currently recruiting but are likely to have suitable vacancies in the future that match the typical skillsets of our candidates.
• Maintain a follow-up database of active and prospective clients and take ownership of industry sectors or geographical areas, in consultation with colleagues, to avoid duplication and maximise reach.
• Visit employers to explain our services, answer questions around protocols for interviewing or hiring ex-offenders and gain a clear understanding of the workplace environment, travel routes and employer requirements.
• Select and submit candidates who you consider suitable for vacancies, advocating for each individual based on your knowledge of them, their references, and the positive changes and efforts you have witnessed.

2. Job Finder Support

Interviewing ex-offenders, offering one-to-one job coaching to help them into work and providing ongoing mentoring during their first 12 months of employment.

Ours is a face-to-face, holistic and wraparound service that culminates in our candidates finding good jobs that last, with a wide array of socially inclusive employers. Our job finder support can begin in custody and continue through the gate into the community, or start within the community. Typically, we work with an individual for between one and three months to establish work readiness and continue supporting them for up to a year after they secure employment. Many people remain in touch and return to us for subsequent jobs over a period of years, and we consider our door to always be open.

You will:

• Conduct one-to-one assessments with job-seeking candidates and, using your professional judgement, either accept them directly into our paid-work search services or refer them to partner organisations for pre-employability support where barriers such as substance misuse or homelessness remain significant.
• Work with candidates over several weeks and months as a job mentor, meeting regularly to support all aspects of their job search.
• Help craft effective CVs and disclosure letters, ensuring candidates understand the facts and disclosure obligations relating to their spent and unspent convictions.
• Check that candidates have the correct Right to Work documentation and arrange replacement birth certificates and National Insurance letters where required.
• Book candidates onto relevant third-party training courses, including CSCS cards, HGV driver training and renewable energy qualifications.
• Encourage candidates’ own job search activity, including teaching them how to use online job boards and supporting them to complete online application forms.
• Submit candidates for opportunities available through our network of inclusive employers and proactively seek additional vacancies on their behalf.
• Organise interviews, ensuring candidates have the means to travel and appropriate interview clothing, providing support where required.
• Follow up after interviews, helping candidates manage expectations, process outcomes and rebuild confidence where applications have been unsuccessful.
• Confirm job starts with both candidate and employer, ensuring candidates have access to any required workwear and support with travel-to-work costs.
• Provide practical support where needed, including food parcels, hygiene packs, pre-loaded SIM cards, clothing and utility top-ups.

In-Work Support

After employment begins, there can often be unforeseen challenges facing newly employed candidates, particularly recent prison leavers. These may be practical, emotional or lifestyle-related. The strongest opportunity to advocate for a candidate and help sustain employment comes from having built trusted relationships with both the individual and their employer.

You will:

• Advise employers on successfully onboarding new employees during their first few weeks and months in work.
• Help employers understand and accommodate any additional support needs, such as housing transitions, medical requirements or probation appointments.
• Be aware of and navigate any negative Google or media reporting about a candidate’s previous offending, including advising on measures to protect privacy and reputation where appropriate.
• Remain in regular contact with candidates during their first 12 months in employment through check-in calls and meetings.
• Record all candidate and employer interactions and outcome reporting on the Itris recruitment CRM database.

3. Management of the Preston Team (Within Six Months)

You will:

• Line manage and develop the Preston office’s Recruitment Consultants, Trainee Recruitment Consultants and Resourcer, leading by example across business development and candidate support activities.
• Run the Preston office efficiently and effectively, ensuring the charity can carry out its work and, alongside the Operations Director, help develop, agree and implement business, operational and annual plans.
• Identify appropriate methods for monitoring office performance and report regularly to the Operations Director on performance against business, operational and annual plans and budget expectations.
• Ensure the office is aware of best practice and consistently works to achieve this within the constraints set by the Trustees and available resources.
• Facilitate regular group clinical supervision sessions for yourself and all team members.

4. External and Internal Relations

You will:

• Maintain and extend a network of referral partners who can direct candidates to us for job finder support, including charities, Jobcentres, probation services and police teams.
• Cultivate these relationships through regular visits, communication and updates.

Guts UK are looking for a new Fundraising Assistant to join the team. The fundraising assistant is the first point of contact for many of our supporters and donors. They record all of our donations in our fundraising database; they make sure all of our donor data is up to date; and they are often part of the early stewardship journey for our supporters.

The role holder is responsible for the accuracy and completeness of all donor information in our fundraising database including consent and marketing preferences. They are also responsible for capturing all fundraising donations in that database with the appropriate coding to help us understand where the donation came from. The role works closely with the finance team to make sure physical donations are treated properly but also to make sure the fundraising systems and finance systems always match.

The role holder will be the first point of contact for many of our supporters and the role is critical in ensuring those supporters have a smooth, professional and friendly experience. This role holder will make sure all donors get the recognition and thanks they deserve by delivering exemplary stewardship.

You will manage and successfully deliver key events including the London Marathon, Great North Run and London Landmarks Half Marathon, as well as third party and DIY challenge fundraising. Working closely with the Director of Finance and Operations, you will coordinate operational priorities, anticipate issues before they arise, and ensure the organisation runs smoothly, enabling senior leaders to remain focused on strategic work.

No two days will be the same. You might be coordinating a new starter's first day, overseeing office operations, preparing papers for senior meetings, implementing a new operational process, coordinating organisational compliance activities, supporting grant administration, or resolving an operational issue before it becomes a problem.

This is a role for someone who enjoys making things work well. You will be trusted to take ownership, build strong relationships across the organisation and continuously improve how we operate. You'll need to be equally comfortable supporting senior leaders, coordinating projects, solving practical problems and paying close attention to detail.

This role sits at the centre of Purposeful Ventures. You will work with colleagues across the organisation, gaining a broad understanding of how we operate while taking ownership of the systems, processes and coordination that help enhance how the organisation works. Job Description

Purpose

The Operations Executive Assistant plays a central role in the efficient running of Purposeful Ventures by providing operational management, executive support and administration across the organisation.

The role is varied and post holders are expected to have, and will be supported to continue to develop, expertise across a broad range of operational activities.

Responsibilities and duties

Executive support

Working closely with the Director of Finance and Operations and Management Team:

• Monitoring operational priorities and proactively following up actions on behalf of the Director of Finance and Operations.
• Preparing briefing notes, reports and background information to support decision-making.
• Coordinating cross-organisational activity on behalf of the Directors, ensuring actions are progressed and deadlines met.
• Providing proactive executive and administrative support to members of the Management Team.
• Managing diaries, scheduling meetings and coordinating logistics where required.
• Providing holiday and absence cover for the Executive Assistant to the CEO, ensuring continuity of support.
• Preparing agendas, coordinating papers and tracking actions from meetings.
• Organising meetings, workshops and events.
• Anticipating administrative requirements and proactively resolving issues to enable senior leaders to focus on strategic priorities.
• Coordinating operational issues across the organisation, using judgement to resolve matters independently and escalating where appropriate.
• Handling confidential information with professionalism and discretion.

Operations and Business Administration

• Working closely with colleagues across operations, communications, philanthropy, finance and project teams:
• Being a first point of contact for enquiries, correspondence and shared mailboxes, ensuring a consistently high level of customer service.
• Managing calendars, room bookings, registering and greeting visitors, organising meetings and organisation wide events.
• Ensuring the effective management of organisational documents, templates and operational systems.
• Maintaining CRM records and contributing to operational reporting.
• Coordinating document administration including agreements and approvals.
• Driving continuous improvement of organisational systems and processes, for example:
  • Leading small operational improvement projects.
  • Coordinating the implementation of new systems and operational processes.
  • Support organisational change initiatives.
• Acting as first point of contact for our external IT provider (Penelope), managing internal IT operations
• Coordinating our operational compliance calendar, ensuring key activities are completed on time, including:
  • Supporting the implementation and review of organisational policies and operational procedures.
  • Coordinating annual policy reviews and maintain version control.
  • Monitoring mandatory organisational compliance activities and escalating any risks.
• Maintaining relationships with operational suppliers; coordinating contract renewals; monitoring service delivery and escalating issues.
• Coordinating office health and safety arrangements, working closely with the building management company. Coordinating workplace risk assessments, maintaining accident records and coordinating fire marshal/first aid arrangements. Acting as Fire Marshal following appropriate training

People operations and onboarding

Working closely with the People Coordinator and colleagues to deliver an outstanding onboarding experience by:

• Carrying out Right to Work and DBS identity verification processes through our Due Diligence Checking platform, including video identity checks where required.
• Managing IT onboarding requests, including Penelope onboarding forms.
• Coordinating system access including EdCity passes and user set up.
• Preparing first-day arrangements including laptops and merchandise; welcoming new starters including building orientation, team introductions, and IT set up.
• Scheduling induction meetings, one-to-one introductions and team coffees.
• Setting colleagues up on the compliance learning system and assigning mandatory training. Monitoring new starter and refresher training to ensure completion and compliance.
• Maintaining organisation charts and onboarding documentation.

Office and Facilities

Ensuring that Purposeful Ventures provides a welcoming, productive and well-organised working environment by:

• Coordinating the day-to-day running of our fully serviced office at EdCity.
• Welcoming visitors and supporting colleagues in the office.
• Managing office supplies and equipment.
• Liaising with building management and external suppliers.
• Coordinating office IT equipment and ensuring new and existing colleagues have the equipment they need.
• Supporting the organisation of internal events and team activities.

Supporting Incubating Organisations and New Projects

Working with organisations that Purposeful Ventures is incubating by:

• Providing ad hoc administrative support to them and new projects.
• Assist with processes, communications, and administration.
• Support teams with coordination and project delivery activities.

Key requirements

The successful candidate will have:

• A strong understanding of office, operations and business administration, with an appreciation of how effective operational processes enable organisations to deliver meaningful outcomes and impact.
• Knowledge of executive support and the principles of providing proactive, high-quality support to senior leaders and management teams.
• An understanding of employee onboarding, colleague experience and the importance of creating a welcoming, well-organised and inclusive environment for new starters.
• Working knowledge of Microsoft 365 and confidence using and administering a range of digital systems, with the curiosity and agility to learn new technologies quickly.
• An understanding of organisational policies and procedures, and the importance of maintaining compliance, consistency and good governance within a charity.
• An understanding of the role of the Charity Commission and Companies House, and an appreciation of the governance and compliance responsibilities of charitable organisations.
• An understanding of information governance, confidentiality and UK data protection legislation (including GDPR), and the importance of handling sensitive information with integrity and professionalism.

The successful candidate will have demonstrable experience of:

• Managing office operations or business administration within a busy, collaborative and fast-paced environment.
• Coordinating multiple operational priorities while exercising sound judgement and working with a high degree of autonomy.
• Delivering a positive onboarding experience through coordinating new starter administration, systems, induction activities and colleague support.
• Taking ownership of operational processes and continuously identifying opportunities to improve systems, simplify ways of working and enhance the experience of colleagues.
