This is an exciting opportunity for a new Chief Executive Officer to lead our well-respected rare disease patient organisation through the next phase of growth and impact, in particular focussing on financial sustainability and influencing health policy for these rare diseases.These sit alongside the other grass-roots duties of a small charity CEO, including working with our Medical Advisory Team to develop new and maintain existing patient education resources, and overseeing our support services including volunteers and a professional psychological counselling service. Reporting to and working with the Board of Trustees, the CEO will be responsible for delivering our 2027-2030 Strategic Plan, ensuring robust governance, and driving forward our mission to improve the lives of people affected by rare diseases.The CEO manages the part-time Executive Administrator and works with up to 30 current volunteers (patients, carers, and health professionals) to deliver services with impact.This role includes occasional weekend work, as well as approximately 15 days travel (national and international) per year to represent and advocate for the charities’ beneficiaries. 

The Role

The Finance and Operations Assistant will play an important role in ensuring the efficient day-to-day operation of the organisation. Working alongside the Chief Operating Officer, the successful candidate will provide administrative support across finance, governance, human resources, procurement, facilities and organisational operations.

Your duties will include, but are not limited to:

Finance

• Process purchase invoices, supplier payments and expenses.
• Raise sales invoices and monitor outstanding payments.
• Assist with bank reconciliations and maintain accurate financial records.
• Support monthly management accounts preparation.
• Maintain finance spreadsheets, bookkeeping, cashflow and accounting systems.
• Assist with budget monitoring and expenditure reporting.
• Support the preparation of year-end accounts and external audits.
• Maintain financial filing systems and supporting documentation.
• Process corporate credit card reconciliations.
• Liaise with suppliers regarding invoices and payment queries.
• Support grant and project financial reporting where required.

• Support the Director of Development with essential administration tasks. 

Operations

• Be the lead on all HJS physical and online events – working closely with the (but ultimately having responsibility for) Research and Communications Departments to ensure smooth and successful delivery of the events.
• Support the day-to-day running of the office, including overseeing facilities and office supplies.
• Support the COO with overseeing and maintaining the research pipeline working closely with the Director of Communications and Director of Research.
• Work with the COO to maintain organisational policies, procedures and operational documentation.
• Support health and safety compliance and office risk assessments.
• Help organise internal meetings, events and board meetings.
• Maintain organisational records and filing systems.
• Support business continuity planning and operational resilience.

Governance and Compliance

• Assist with Board and Committee administration.
• Maintain governance records and statutory filings.
• Support GDPR compliance and records management.
• Assist with organisational policy reviews.
• Support compliance with Charity Commission and Companies House requirements (where applicable).

Other responsibilities 

• Support the COO to monitor KPIs, introducing clear metrics for monitoring output and impact month on month.

This role forms part of the Exeter Crisis & Resilience Fund partnership, delivered by Navigate, Churches Housing Action Team (CHAT) and Encompass Southwest – the collaboration is known as Wis£rmoney. Together, we provide a seamless service that supports residents from immediate financial crisis through to long-term resilience. Our partnership combines specialist money and debt advice, welfare benefits advice, housing support, homelessness prevention, trauma-informed practice and financial education to provide holistic support for people experiencing financial hardship. Rather than asking people to navigate multiple services, we work together to ensure they receive the right support at the right time, through a coordinated 'No Wrong Door' approach. 

The Crisis & Resilience Fund Team Leader will lead the delivery of the Exeter Crisis & Resilience Service, providing operational leadership to a multidisciplinary team delivering high-quality, person-centred support to residents experiencing financial hardship, crisis and multiple disadvantage. The postholder will line manage Navigate's Client Liaison Officers and the Money Advice Caseworkers employed by partners Churches Housing Action Team (CHAT) and Encompass Southwest to ensure a seamless, coordinated service that supports individuals from immediate financial crisis through to long term resilience. As Navigate's operational lead for the contract, the Team Leader will foster strong partnership working, maintain effective communication across organisations and ensure clients experience a consistent 'No Wrong Door' approach. Alongside leadership responsibilities, the postholder will manage a small caseload of complex clients, delivering FCA-regulated debt advice, welfare benefits advice, advocacy and holistic financial resilience support. They will provide guidance and oversight for complex casework, ensuring clients receive timely, flexible interventions tailored to their individual circumstances.

The Team Leader will champion Wis£rmoney’s relationship-based, trauma-informed approach, recognising that financial hardship rarely exists in isolation. By supporting staff to build trusted relationships with clients, remove barriers to engagement and address the wider issues affecting financial wellbeing, the role will help residents achieve sustainable financial stability, independence and resilience. The postholder will also be responsible for ensuring the service meets all contractual, regulatory and quality requirements, monitoring performance, driving continuous improvement and embedding innovative ways of working that enhance client outcomes while maintaining the personalised support that is central to the service model.

Key Responsibilities

Leadership and Service Management

• Lead Wis£rmoney's delivery of the Exeter Crisis & Resilience Fund service, ensuring a high-quality, person-centred service that reflects the partnership's shared values and objectives.
• Line manage and support Client Liaison Officers (2) and Money Advice Caseworkers (2), providing regular supervision, reflective practice, coaching and annual appraisals.
• Promote a positive, supportive team culture that prioritises staff wellbeing, continuous learning and high-quality client outcomes.
• Provide guidance and support on complex casework, safeguarding concerns and risk management.
• Lead by example, demonstrating relationship-based, trauma-informed approach to supporting people experiencing financial hardship.

Specialist Casework

• Manage a small caseload of clients with complex financial circumstances requiring specialist intervention.
• Deliver FCA-regulated debt advice, welfare benefits advice, budgeting support, income maximisation and advocacy.
• Develop personalised support plans that address both immediate financial crisis and longer-term resilience.
• Negotiate with creditors, landlords, utility providers and statutory agencies to achieve the best possible outcomes for clients.
• Support clients to access appropriate debt solutions, including Debt Relief Orders and bankruptcy where appropriate. 

Quality Assurance and Compliance

• Ensure all advice delivered by Wis£rmoney meets FCA requirements, Advice Quality Standard expectations and organisational policies.
• Carry out regular case reviews, file audits and quality assurance checks to maintain consistently high standards.
• Ensure accurate and timely recording of casework using AdvicePro and associated digital systems.
• Promote excellent information governance, GDPR compliance and safeguarding practice throughout the service.
• Support preparation for contract monitoring, audits and quality inspections.

Partnership Working

• Act as Navigate's operational lead within the Exeter Crisis & Resilience Fund partnership.
• Work collaboratively with Churches Housing Action Team, Encompass Southwest, Exeter City Council and other partner organisations to deliver a coordinated 'No Wrong Door' service.
• Build strong relationships with local agencies to improve referral pathways and client outcomes.
• Represent Wis£rmoney at partnership meetings, operational groups and multi-agency forums.
• Support collaborative problem-solving and contribute to the ongoing development of the partnership.

Service Delivery and Performance

• Ensure timely allocation of referrals according to client need, complexity and risk.
• Maintain oversight of client journeys, ensuring seamless transitions from crisis intervention to longer term resilience support.
• Monitor performance against contractual targets, quality standards and key performance indicators.
• Contribute to contract monitoring reports and evaluation, ensuring outcomes and impact are accurately recorded.
• Identify emerging trends, unmet need and opportunities to improve service delivery.

Outreach, Innovation and Continuous Improvement

• Promote innovative approaches that improve accessibility, efficiency and client outcomes while maintaining personalised support.
• Support the implementation of new systems, digital technologies and service improvements across the partnership.
• Encourage reflective practice and continuous improvement, identifying opportunities to strengthen processes and remove barriers for clients.
• Keep up to date with changes in legislation, regulation and best practice relating to money advice, welfare benefits and financial inclusion.

Safeguarding and Risk Management

• Ensure safeguarding policies and procedures are fully implemented across the service.
• Provide advice and escalation support for safeguarding concerns and high-risk cases.
• Promote safe working practices for staff delivering home visits, outreach and community-based support.
• Foster a culture where safeguarding, professional curiosity and client wellbeing underpin every aspect of service delivery.

Responsibilities

Finance & Board Administration

• Financial Oversight: Manage invoice creation, process team expenses, have a good understanding of our overall budget, and pull monthly budget reports from Sage for budget holders.

• Reporting: Prepare core financial reports for the board (budget vs. actuals, projections, cash flow charts) and support fundraising financial queries.

• Board Support: Coordinate quarterly board meetings, manage agendas/slides, take action notes (utilising AI tools), and track the risk and action logs.

Operations, HR & Governance

• HR Support: Manage employee onboarding/offboarding, set up equipment, update personnel databases, and prep monthly payroll, working together with our People & Culture team.

• Compliance & Governance: Ensure Companies House records, CIC documentation, insurance policies, and GDPR compliance are strictly up to date, supplier contracts management.

• Team Culture: Plan team-building events, manage co-working events, and coordinate team gifts and milestone cards.

Data Integrity & Digital Championship

• Digital Champion: Act as the internal expert for HubSpot and Wrike, providing staff training and sharing tips on leveraging AI for productivity.

• Data & Copy Editing: Maintain clean data entry in HubSpot (donations, donor tracking, reporting, supporting prospect research, following up on proposals), and serve as the team’s eagle-eyed proofreader for newsletters, reports, and proposals.

• Centralised Knowledge Wiki: set up and maintain an internal knowledge Wiki (Confluence), maintain up-to date information, assure everyone on the team has access to information they need

Support to Co-directors and PV UK team:

• Week-to-Week and Ad hoc support: preparing budget queries, business cases, liaising with the external provider for bookkeeping / accounting etc.

• Further support: creating monthly and quarterly reports in HubSpot

Qualifications

• Exceptional administrative skills to manage everything from HR onboarding and wellbeing scheduling to high-level Board preparation and Director support.

• A strong eye for detail to proofread and edit internal and external communications, ensuring different pieces of content meet grammar, tone, and branding standards.

• Ability to maintain meticulous data integrity in our CRM for programme and fundraising activities.

• Prepared to embrace being a ‘Digital Champion’, helping team members to learn and embrace platforms we use such as Wrike / Hubspot / Gemini.

• Organised and able to hold us to strict legislative timelines or important annual dates (e.g., filing of accounts / updating Companies House records).

• Good financial competency and confidence in liaising with People and Culture / accountants.

• An understanding of basic UK employment processes, Health & Safety, insurance handling, and corporate governance (e.g., Companies House).

About the role

The Academy runs some of the most valued grant schemes and development programmes in UK biomedical and health research. Springboard Awards help researchers establish their independence. Starter Grants keep talented clinicians in research alongside their clinical work. Leadership programmes like FLIER develop people who can work across academia, healthcare and industry to tackle real-world challenges, and alongside these sit opportunities to spend time working in industry, the NHS or government. Moving between sectors should be a normal part of a medical research career (it is not yet), and much of our work is built with that belief: a more connected and mobile workforce is better able to turn discovery into benefit. Between them, these schemes change the course of people's careers, and the research they enable reaches patients across the UK and beyond.

This role leads that portfolio. The heart of the job is excellent delivery: schemes that are well designed and well run, and that make a real difference to the people they reach. You will work closely with the Fellowship, whose expertise and generosity run through the whole portfolio, and you will make sure the schemes serve the whole of the medical sciences community (across the devolved nations and the regions, in industry as much as academia), not just those already inside the most established institutions. And science is global, so this work is too: the portfolio draws on evidence and partnerships from around the world, and the mentoring and networks around the people we support reach well beyond the UK.

Today much of the portfolio's focus is research talent and careers. That will always be a substantial part of the portfolio, but over time we plan to expand it further. That expansion could go in several directions, and what matters is that we are taking an evidence-based approach to ensure that our efforts are responding to what the medical sciences sector needs. Whatever we launch next, the same principles apply; good design, sound funding, proper governance and solid evaluation, with our effort concentrated where it delivers the most impact. So, the job is twofold: run today's portfolio brilliantly and build the future portfolio. It is a role where you can see your work land in people's lives, with real scope to shape what comes next. And none of it stands alone: what we learn from the people we fund sharpens our policy voice, the community our programmes build strengthens our engagement and public trust work, and insight flows back the other way to shape what we design next.

As a member of the Senior Leadership Team, you will share in the leadership of the Academy as a whole, working closely with the other directors: the Chief Operating Officer and the Directors of Policy, Communications and Engagement, and Translation and Enterprise. The relationship with Translation and Enterprise matters especially. That team will shape new partnerships and initiatives that your team is best placed to deliver, so the two of you will work in very close partnership.

What we are looking for

These are the six areas we will explore with candidates. They match the six parts of the role above, so you can read straight across — and your supporting statement can follow the same structure if that helps. We do not expect anyone to arrive with every part fully formed, but the strongest candidates will be convincing across most of them.

1. Excellent delivery

A strong track record of running grant schemes or of significant programmatic delivery. Much of this is operational: holding an annual cycle to time and budget, catching problems early and getting stuck things moving again. It is also about making sure the portfolio adds up to a coherent whole rather than a collection of separate schemes, with the governance discipline — sound contracts, clean compliance, rigorous oversight — that sits behind delivery done well.

2. Building partnerships and negotiating well

A track record of building and sustaining partnerships with funders, delivery organisations and industry, and the skill and pace to turn them into agreements where appropriate. We will want to hear how you have handled a complex negotiation and brought it to a close. The Chief Operating Officer leads the Academy’s income strategy, so we will also explore how you develop partners in concert with colleagues.

3. Range and credibility across the community

This role runs from Fellows (some of the most eminent scientists in the country) to researchers at the very start of their careers, and from government and funders to industry partners. We are looking for someone with the range to work well across all of them, and the credibility to be taken seriously at every level. We will also explore how you have widened access and drawn talent in from beyond the usual places.

4. A focus on impact

A commitment to looking at what difference the portfolio you lead makes. We are looking for someone who treats evaluation as a source of learning and uses what it shows to decide what the Academy should do next, keeping sight of the people and patients the work is for.

Global Head of Philanthropy

We are seeking an experienced philanthropy leader with a strong understanding of US giving to grow major donor income and lead an international Development Team.

About the role

This is an influential, hands-on fundraising role within an international charity protecting cultural heritage and supporting artisan communities.

Reporting to the COO and working closely with the President, you will develop and deliver a multi-year philanthropy strategy, with a particular focus on generating major donor income in the United States. You will also steward relationships across the UK, Europe, the Middle East and other emerging markets.

Key responsibilities include:

• Managing an established portfolio of major donors and prospects, typically giving between four and seven figures
• Personally securing major gifts through relationship building, tailored proposals and direct asks
• Supporting the President, COO and other senior leaders with high-value donor relationships
• Maintaining a strong major donor pipeline and delivering agreed income targets
• Mobilising Board members and ambassadors to strengthen networks and fundraising opportunities
• Leading and developing a small Development Team
• Setting clear objectives, priorities and performance measures

About the role

The Volunteer Coordinator is responsible for coordinating the recruitment, onboarding, engagement and retention of volunteers across Woman's Trust.

Working closely with managers across the organisation, the postholder will oversee the end-to-end volunteer journey, ensuring volunteers receive a positive, inclusive and well-supported experience from application through to departure.

The role will coordinate recruitment for all volunteer opportunities, including volunteer counsellors, facilitators, administrative volunteers, finance volunteers, fundraising volunteers and other volunteer roles as required. We are seeking a motivated and inquisitive Data Analyst to join our Translational Research team.

This role will support the generation, interpretation, and communication of research insights derived from a range of healthcare, clinical, patient-reported, and real-world datasets. Office management and administration

·Experience with document control and shared filing systems (e.g SharePoint), including version control and maintaining audit-ready records.

·Experience undertaking structured research tasks and producing clear summaries/recommendations for non-specialist audiences.

·Highly organised with strong attention to detail; able to manage multiple deadlines and stakeholders.

·Strong systems aptitude: able to document processes, apply data standards, run checks, and support colleagues to use systems consistently.

·Ability to produce clear reports/briefings and summarise research into practical recommendations.

·Confident with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint) and comfortable learning new systems.

·Discretion and good judgement when handling confidential/sensitive information.

Desirable

·Experience working in the charity, international development, or faith-based sector.

·Salesforce administration training/qualification (or equivalent CRM certification).

·Training in research methods, MEAL, data analysis, or quality/process improvement

·Experience in grants administration, governance support, programme/project support, or compliance-focused roles.

·Experience supporting QA, audit, MEAL, or learning processes (e.g., file reviews, indicator tracking, learning events).

·Ability to build and maintain Salesforce reports/dashboards and/or familiarity with basic Salesforce admin concepts (profiles/permissions within delegated scope).

·Familiarity with MEAL concepts (monitoring, evaluation, accountability and learning) and how they support quality and learning in programmes.

·Understanding of grants governance, restricted funds, and/or donor intent in a charity setting.

·Experience working in a distributed/remote team environment.
