The Operations and Volunteer Coordinator is a flexible, part time role and if you are highly organised, enjoy working as part of a small team and making a difference in the local community then this role may be for you. We have three services that we deliver in and around the Winchester area, and this role underpins them all to support and coordinate the charity’s activity.
Friends of the Family Services
- Mum and Young Children's Group which offers group counselling and peer support to mums, whilst their babies and preschoolers are looked after by a team of volunteers.
- 5s to 13s Befriending in which a child aged between 5 and 13 years old is matched with a volunteer who meets them weekly for a year. Time away from chaotic homelives with a positive role model, boosts wellbeing and confidence. Our team provides tailored support to the family.
- Support for dads - counselling and peer support for dads.
What you'll be doing
In this role you will be the first point of contact with all of our wonderful volunteers, who are critical to the success of our work. You will work closely to support the 5s to 13s Befriending Manager and other service leads to ensure smooth delivery of event and training activities. You will also support the wider charitable activity with your strong administrative and operational skills, including organising events, managing our database and general office management. We are continuing to evolve our services within the community, and for the right candidate there is also potential for increased hours in the future.

Role Information
This role reports to the Operations Director, and is part time for 16 hours per week. We offer 28 days annual leave (including bank holidays) plus 3 days over Christmas. The salary is a FTE equivalent of around £27,300. We are a small, flexible team who are passionate about what we do. Hybrid working is available with weekly attendance in the office.

Support Coordinator
We are looking for an enthusiastic and motivated individual to join the Hounslow team in London.
This is an exciting opportunity to work with stroke survivors and their families to support them following a stroke.
Position: S11335 Stroke Support Coordinator
Location: Home-based, Hounslow. However, regular travel will be required as part of this role (will include team meetings or other work-related meetings)
Hours: Part-time, 21 hours per week
Salary: Circa £16,400 per annum (inner London weighting £1,896 per annum or outer London weighting £1,092 per annum may be applied in accordance with where you live) (FTE circa £27,435 per annum)
Contract: This is a fixed-term contract until 31 March 2028. Services are contracted and there is currently funding for this contract until 31 March 2028.

The Role
Reporting to Service Delivery Coach, key responsibilities will include:
- Organise and facilitate effective service communication for the benefit of stroke survivors and carers in understanding and achieving their goals.
- Ensure that timely, confidential and accurate records are kept on the CRM data base and all data is in line with our retention policy and GDPR compliant.
- Develop and manage service volunteers to support service delivery for stroke survivors and carers as required.
About You
You will have:
- Experience of providing person centred support to empower vulnerable people or people with a disability or long term health condition and their carers
- Ability to nurture emotional resilience needed to handle a variety of calls, potentially dealing with complex and challenging situations whilst working in your own home
- Effective listening skills with the ability to communicate clearly and effectively with a diverse audience including anyone experiencing communication difficulties via a combination of face to face visits or meetings, telephone calls, emails or letters, and digital methods (such as video calls)
This role requires regular travel across Hounslow to visit people at home and in community settings. Candidates must be able to demonstrate how they can meet this requirement of the role.

The Key Responsibilities we will entrust you with:
HR administration
- Support Senior Manager, HR & Operations in day-to-day delivery of ISEAL´s HR provision
- Maintain accurate and up-to-date employee files, contracts, and HR records in line with legal requirements in the UK and other locations of employment
- Support onboarding processes, coordinating and overseeing employee inductions, including ownership of keeping Employee Handbook up to date
- Help with and monitor the implementation and administration of all HR policies, procedures and tools
- Develop and deliver guidance and training for ISEAL staff and line managers about HR policies, practices and procedures
- Organise timely review of policies and communication of updates or changes to any such documents and procedures
- Coordinate annual performance review processes, ensuring timely completion of documents
- When required, support recruitment process managed by external consultant
Improvement to Processes
- Input to continued improvement of Learning and Development provision
- Implement move to new HR system, including contributing ideas for how best to use the system
- Support revision of HR policies to ensure all policies are up-to-date and new policies produced if needed

- Improve processes and systems for HR data capture and to ensure consistent and accurate data
- Help identify an appropriate HR system for increased automation of HR processes and employee self service functions
- Analyse employee and HR data and help prepare regular reports
Essential experience, knowledge and attributes
- Experience working in the HR function in a small to medium sized organisation
- Experience working on learning and development function
- Previous experience in an administration or coordination role, working with a variety of administrative systems and tools
- Track record in contributing to improving processes or procedures
- Strong ability to communicate and work effectively with individuals in a partly remote, international environment, including occasional international time-zone calls

The Role:

Your purpose
To support our CEO, Director of Strategic Development and other members of the Senior Leadership Team to engage partners in our strategic planning, including to influence the implementation of the new national curriculum and guidance on oracy and establish a new advisory board to inform our strategy. Your responsibilities
Partner relationships & communications

Ensure that communications to partners are sent in a clear and timely manner, using either automation or other systems e.g. mail merge.

Coordinate processes for partnership meetings and roundtables, e.g. the booking process for participants and arrangements relating to special adjustments etc.

Use our Customer Relationship Management (CRM), SalesForce, to create records and collect and update partner data.
Meeting coordination & delivery

Do you want to join an organisation committed to addressing low literacy levels amongst people in prison?
Shannon Trust are delighted to be working with His Majesty’s Prison & Probation Service (HMPPS) to provide peer-led learning programmes at HMP Drake Hall. Working closely with the prison and their staff, people in prison, Shannon Trust volunteers and mentors, this post will lead the delivery and development of our prison-based reading and numeracy programme, maximising opportunities for people in prison to learn to read.
Ideally you will have some experience of prison settings underpinned by the ability to build relationships and personal qualities that include resilience, determination and a problem-solving approach.
The role will be prison-based. The focus of this role is delivery of support to the fundraising team as well as administrative and financial record keeping tasks. You will be the first point of contact for individual supporters and play a key role in developing and delivering our stewardship and engagement plans. You will be involved in gathering feedback and experiences from our visitors so that we can show our impact. You will have an important role to make sure our database, record keeping and financial systems are accurate and fully up to date. You will assist the Fundraising Manager to generate financial and impact reports for use internally and externally. This is a varied role with plenty of contact with our wider staff team and supporter community and some desk-based work alongside. If you have experience in fundraising roles this would be an advantage.
Key responsibilities:
Supporter care and communication (40%)
· Act as the first point of contact for fundraising enquiries, including in person visits, ensuring a positive, personalised and friendly approach.
· Proactively and reactively thank new and existing supporters, via a variety of channels including phone, email, letter, social media and in person.
· Contribute to the development and delivery of a stewardship plan, with support from the Fundraising Manager.
· In collaboration with the Fundraising Manager and fundraising colleagues, produce materials and resources to support our stewardship of donors and supporters. This will include preparation of newsletters, social media content, marketing/fundraising materials and helping to plan and deliver supporter and participation events.

Working hours and location
