The Executive Assistant will play a key role in supporting and enabling the Chief of Staff to lead strategically by managing their diary, information flow, communications, and oversight of all aspects of Bishopthorpe Palace. They will be expected to take a hands- on approach in supporting the Chief of Staff in their operational responsibilities and wider engagement, monitoring workflow, preparing briefings and other writing, and assisting in monitoring and preparing budgets and budget reports. They will manage the Accounts Manager, the Team Administrator (F/T) and the Team Administrator (P/T) and help ensure that office support functions run smoothly and efficiently. This position combines high-level executive support, senior stakeholder management and supporting aspects of key functions at Bishopthorpe Palace.

The postholder will work independently and in collaboration with the Chief of Staff, supporting their delivery of the operational effectiveness and strategic priorities of the Archbishop's Office. This role is central to maintaining the rhythm and focus of the Archbishop's ministry and ensuring its alignment with the Gospel values of humility, service, and sacrifice.

It is important that the postholder demonstrates a diverse skills set, encompassing strong organisational and time management abilities, excellent research, interpersonal and communication and listening skills, and being proficient in using IT and office software. The person must be able to work within a wide-ranging team, be committed, have discretion, be proactive and be able to adaptability and take initiative.

You will be working as part of the Marketing Team at animal welfare charity, Worldwide Veterinary Service (WVS), helping to raise awareness of the charities work, which in turn will mean more animals receive life-saving veterinary care.

As our new Social Media Executive, you will take the lead on communication through our social media platforms for both WVS, and for our Mission Rabies project, including Facebook, Instagram, LinkedIn and YouTube. You will work closely with our Senior Marketing Executive to create content tailored for each channel to ensure high levels of engagement, and audience growth.

This is a new role and offers a great opportunity for the right candidate. There is some flexibility for working at home, but the role will require 1-2 days a week at the Head Office in Cranborne, Dorset.

At Worldwide Veterinary Service (WVS) we champion animal welfare around the world. We send vets where they are needed most, provide expert veterinary training in hard-to-reach places, and ship urgent aid supplies worldwide, every day of the year.

We deploy teams of vets and vet nurses, send equipment and supplies to help struggling organisations on the front line of animal welfare, and train vets at our international training centres in India, Thailand, Malawi, Cambodia, and the Galápagos Islands.  We also work on strategic one health projects such as rabies elimination campaigns with Governments and NGOs all over the world. Our Mission Rabies project runs mass canine vaccination and community education in the world’s worst hotspots for the disease. Last year, WVS helped an animal every 14 seconds. We trained over 4,800 vets, deployed teams of vets all over the world, and sent over 1,700 parcels of veterinary supplies to 261 charities in 71 countries.

Main Duties & Responsibilities

• Work with the wider WVS team to produce engaging and informative content for social media, including producing day to day content plans and supporting on campaigns.
• Create content that is tailored for maximum engagement on each platform and analyse engagement data to provide insights and continuously improve our communications.
• Work with the Senior Marketing Executive on audience growth campaigns as part of the wider marketing strategy.
• Manage the social media accounts on a day to day basis, including responding to comments and messages.
• Identify and liaise with influencers, brand ambassadors, and collaborators.
• Support our international teams with social media content and guidance.

Paid Media

• This is a vital and rapidly growing area for the charity, and this role will manage all paid-for digital marketing, including lead generation and acquisition (Meta, Google, etc.).
• Create advertising campaigns and ensure effective tracking, monitoring, improvements, evaluation, and reporting of campaigns.
• Oversee our Google Ads grant (PPC) and (CRO) Google Tag Manager.
• Manage our main Google Ads account and launch Search, Display, and YouTube advertising for our digital-first Pancreatic Cancer Awareness Month campaign.
• Deliver detailed advertising reporting using Looker Studio or other similar digital dashboards.

Digital content

• Manage and maintain the content calendar, including planning and scheduling content that aligns to both Pancreatic Cancer Action and project objectives.
• Create and manage the sourcing of high-quality content for blogs, website pages, social media posts, email content and for all other digital channels.
• Write, edit and proofread content to ensure clarity, accuracy, and alignment to Pancreatic Cancer Action’s Text and Brand Guidelines.

Social media

The Programmes and Projects Executive will play a key role in supporting our community of primary and secondary schools throughout the school year. You will help design and deliver Bite Back in Schools, ensuring a positive and engaging experience for young people, their teachers and their schools — and making sure the programme achieves meaningful impact.

Alongside day-to-day programme delivery, you will contribute a range of projects across the organisation, including supporting an exciting new collaboration with other school food charity partners and helping to coordinate and support wider organisational initiatives.

The Programmes and Projects Executive will join a friendly and ambitious Programmes team to support schools and local authorities to deliver high-quality programmes and maximise impact, making canteens and high streets healthier, happier places.

RESPONSIBILITIES

Relationship management 

• Provide ongoing support to both primary and secondary schools throughout their time on the programme, building strong working relationships with participating schools. 

• Support communication with all primary schools, providing a point of contact for the coordinator and lead teacher in each school. 

• Support monitoring and evaluation through creation of surveys, ensuring completion of baseline and end of year surveys, and analysis of data submitted (working with our Impact & Evaluation Manager).

• Provide timely responses to school queries and alert the Programmes Manager of any potential risks.

• Schedule and organise visits to schools, agreeing agendas with the schools in advance to include elements including meeting pupils and teachers, leading feedback sessions and focus groups and supporting the development of their social action campaigns.

• Ensure schools submit invoices on time as part of their grant funding, providing support where needed and coordinating with the finance team to ensure prompt processing.

• Book and arrange assemblies, coordinating between schools and our Bite Back Ambassadors.

• Support the School Ambassadors with travel logistics as they deliver assemblies in schools across England and Scotland.

• Maintain and regularly update programme management software and associated data to ensure accurate and up to date information for all participating primary schools.

• Ensure successful end-to-end support for the 10+ primary schools participating in the programme throughout the next school year.

Project support 

• Provide support to Programme Manager in the delivery of projects, ensuring projects are delivered on time, within budget and scope.

• Coordinate our relationship with our partners in The School Food Project, including Chefs in Schools, School Food Matters, Food Foundation & Jamie Oliver’s Group.

• Support the national rollout of the Bite Back in Schools Primary programme by contributing to the design, development, and refinement of engaging, age-appropriate resources for primary settings, building on insights and proven impact from two successful pilot programmes.

Neotree: The Charity

The UK charity was established by core members of the University College London (UCL) Neotree research project to maximise the impact of their research on the quality of newborn care and newborn mortality. After five years of rapid growth and proven clinical impact, Neotree is seeking a visionary Executive Director to lead our next chapter. Having evolved from an innovative research pilot into a multi-country digital health intervention, integrated into routine neonatal care in Malawi and Zimbabwe, Neotree is poised for national-scale rollout and scale up, alongside rigorous ongoing monitoring and evaluation.

The Opportunity: Impact at Scale

By 2030 the ambition is for Neotree to be a fully integrated, sustainable standard of care across Malawi and Zimbabwe, having been handed over to, and owned by, their respective Ministries of Health. The incoming Executive Director will lead this transition, shifting the organisation from a research-led implementation partner to one able to scale up a digital public good (currently a DPGA Nominee with a full submission for DPG designation under review).

While the technological landscape, and specific delivery modules, will evolve, the Executive Director will ensure Neotree remains a safe, cost-effective, equitable, and evidence-based system that is successfully embedded within national digital health infrastructures.

The Executive Director's success will be measured collaboratively, focusing on KPIs related to impact and sustainability, and they will work alongside experienced clinical, technical, and academic leads.

4.3. Tech Strategy & Interoperability: Lead the development and execution of Neotree's digital strategy. A key focus will be driving the roadmap for system interoperability to ensure Neotree is a future-proofed platform. This includes FHIR compatibility and integration with national systems, such as DHIS2 and national EHRs, to support seamless data exchange.

4.4. Fundraising Strategy: Design and deliver a diverse fundraising strategy that further moves the organisation toward financial resilience and reduced dependence on major academic grants.

4.5. Partnerships & External Relations: Serve as one of the primary ambassadors for Neotree, alongside our Principal Investigators and co-founder Professor Michelle Heys. Key Priorities for the First 12-18 Months

The new Executive Director will focus on the following key priorities during their initial 12-18 months:

1. Successful Project Delivery & Ministry of Health Partnerships. Ensure successful delivery of the projects currently in flight, in both Malawi and Zimbabwe. This includes partnerships with the Ministries of Health in both countries to build and hand over neonatal modules in their EHR systems based on Neotree, and support their successful rollout.

2. Strategic Plan Development. Develop a 3-5 year plan with the Board, academic partners, and wider project team to build on our existing foundation to expand Neotree – including addressing research gaps, using AI to improve clinical decision support, and finding ways to expand the adoption of the technology in Zimbabwe, Malawi, and beyond. Sustainability is a core part of that strategy.

3. Strategic Plan Execution. Execute on that plan, including securing funding, building partnerships, and further developing the Neotree team.

At Worldwide Veterinary Service (WVS) we champion animal welfare around the world. We send vets where they are needed most, provide expert veterinary training in hard-to-reach places, and ship urgent aid supplies worldwide, every day of the year.

The Trustees of John Wesley’s New Room seek an Executive Director to lead the organisation into the next exciting phase of its development. This role will suit someone who is a generalist, comfortable turning their hand to a variety of tasks and is equally happy contributing at a board meeting or engaging with visitors in the chapel. John Wesley’s New Room is the oldest Methodist building in the world (Grade I listed) and is a small but busy place where no two days are the same. Offering a chapel, museum and cafe by day, we also have meetings rooms and event spaces for hire, and welcome visitors both local and international on a regular basis. An important piece of Bristol’s history, the New Room is where Methodism started and the museum and collection tell the story of John Wesley. Our outgoing CEO originally came to the UK as a Saïd Foundation Scholar to study at Oxford University and has worked for the Foundation for over six years.  He is leaving to return to Syria.  We are looking for an experienced manager to carry on his work in leading our team, maintaining close relationships with our Trustees, partners and students and ensuring that the Foundation’s programmes are run to the highest standards. 

ABOUT THE SAÏD FOUNDATION

The Saïd Foundation was established as a non-sectarian and non-political charity in 1982 by Wafic and Rosemary Saïd to bring positive and lasting change to the lives of children, young people and the wider community with a focus on the Levant region of the Middle East and on the UK, and on education as a powerful tool to make change.  It is governed by a Board of Trustees and the Board’s Student, Projects, Audit and Investments Committees.  Khaled Saïd has just become Chair of the Board. 

Since 1984, our longest-standing programme, the Scholarships Programme, has offered opportunities to outstanding individuals with leadership potential to be drivers of positive change within our target countries of Syria, Jordan, Lebanon and Palestine. The Foundation’s founder, Wafic Saïd, is also the founder of Oxford University’s Saïd Business School, now one of the world’s leading business schools.  The Saïd Business School Foundation (SBSF), also an English charity, was established in 1998 to support the development of the School in its pursuit of excellence. Its Strategic Development Fund  provides grants in support of initiatives that will have strategic value to the development of the School.  SBSF is funded and administered by the Saïd Foundation.

In recent years, the Foundation has also worked to promote better health outcomes for people everywhere by making grants to innovative and impactful projects at world-leading medical research institutions based in the UK and known to the Saïd family. 

JOB DESCRIPTION

Job purpose:

To lead a small, motivated team in the best-practice implementation, monitoring and evaluation of the Foundation’s programmes and grants and to build strong relationships with the Foundation’s Trustees, partners and scholars.

Responsibilities:

1. Programme and grant management

a) To oversee the management of the scholarships programme, ensuring the selection of outstanding students from the Levant region and the Foundation’s duty of care to them while they are in the UK.

b) To oversee the Foundation’s grant-making programmes, ensuring that grants agreed by the Trustees are informed by rigorous due diligence and are monitored effectively.

c) To provide guidance as necessary to the Board and staff of the Saïd Foundation for Development in Syria on governance and project management matters.

d) To oversee the evaluation of the scholarships programme periodically, and grant-funded projects as necessary, to ensure they achieve their intended objectives and apply learning to their improvement.

2. Organisation and staff management

a) To devise and implement annual plans for implementation of the Foundation’s work, define the level and timing of human and other resources required to deliver the plans and develop key performance indicators to report progress against plans to the Board.

b) To foster a supportive work culture, managing staff in line with best human resource practice and ensuring high levels of motivation and strong performance.

c) To recruit staff, when necessary.

d) To oversee the effective operation of all office systems, including IT and the scholarships platform and database, and introduce improvements (for example, in the use of AI).

e) To ensure that health and safety aspects are taken into account appropriately when the Foundation’s staff, students and Trustees are travelling in connection with the Foundation’s activities.

3. Governance and Trustees

a) To meet regularly with the Chairman to ensure he is fully informed of developments and to support planning for Board and Committee deliberations.

c) To oversee rigorous internal controls for the Foundation’s payments and receipts.

d) To support the Investment Committee in ensuring the effective management and secure custody of the Foundation’s financial and property assets and monitoring of the performance of these investments.

5. Saïd Business School Foundation (SBSF)

a) To ensure that all Strategic Development Fund (and other) grants meet the objectives agreed with the School and monitor the impact of the grants through the School’s reporting.

b) To oversee high-quality reporting to SBSF’s Board of Directors and its Committees including on the overall development and performance of the School.

c) To monitor the continuing fulfilment of undertakings made to SBSF by Oxford University so that any departure from these undertakings can be assessed by the Board.

d) To ensure that all SBSF’s accounting and other regulatory requirements are met.

About the Role
We’re looking for a proactive, highly organised Executive Assistant to support to the Director of Fundraising and Director of Strategy & Impact. You’ll manage complex schedules, coordinate meetings and committees, prepare key documents, and support strategic projects.

This is a role for someone who thrives on responsibility and variety. You’ll:

· Act as secretary for key committees, preparing agendas and taking minutes.

· Liaise with senior stakeholders internally and externally.

· Ensure smooth communication across the organisation.

· Have the opportunity to volunteer for events, meet with beneficiaries and visit RAF Stations.

What We’re Looking For

· Exceptional organisational and communication skills.

· Ability to take initiative whilst providing timely and consistent support to Directors.

· Ability to manage multiple priorities with discretion and professionalism.

· Confidence engaging with senior internal and external stakeholders.

The Head of Operations is responsible for the effective and efficient delivery of all operational functions of the Foundation to enable achievement of its global mission and strategic objectives.  The Head of Operations ensures that systems, people, processes and resources are aligned to support programmes across multiple countries while maintiaing high standardds of governance, risk management and financial stewardship.

This is a senior leadership role, working closely with the CEO and Members of the Foundation around the world, acting as the key bridge between strategy and delivery.
