As a Housing Administrator, you’ll:
- Act as the first point of contact — answering phones, emails, and welcoming tenants, families, and professionals.
- Provide housing administration support, including maintaining tenancy records, start and end dates, and issuing tenancy agreements (including easy-read versions).
- Support families and tenants with housing benefit applications, exempt accommodation claims, and related queries.
- Liaise with external agencies such as local authorities, housing benefit teams, and Universal Credit to resolve housing and benefit issues.
- Take and coordinate maintenance queries for Surrey projects and Ashdown, ensuring clear communication with families and tenants.
- Support compliance with data collection requirements for CQC, Capacity Tracker, and commissioning authorities.
- Assist with audits, KPI collation, and performance reporting.
- Support property management and projects teams with document control to meet SCC, WSCC, and Hampshire contract requirements.
- Book meetings, reviews, and professional visits, and provide hospitality when required.
- Order PPE, stationery, and supplies, and support events and social activities.
- Manage the social club and safely oversee the secure handling of client bank cards in line with policy.
- At least two years’ experience in an administrative role within housing, supported living, care, or a related environment.
- Knowledge of housing management processes, tenancy administration, and compliance requirements.
- Experience supporting benefit applications or liaising with external agencies (desirable).
- Strong organisational skills with excellent attention to detail.
- Confident communication skills, both written and verbal, with a warm and professional approach.

About the role:
Porchlight’s Housing Management Team provide a property management service for supported accommodation across Kent, housing people at risk of homelessness. The project Manager will be leading and developing a team of Housing Management Assistants, to ensure an effective and efficient service is delivered.
The role will include but is not limited to ensuring all Porchlight’s owned and managed accommodation is compliant with Legislation and relevant standards, voids are kept to a minimum, risk is managed appropriately, new builds are ready for occupation, tenancy related issues are resolved.
Housing Management is a fast-paced environment requiring the ability to prioritise and meet deadlines. The candidate will need to ensure that working practice meets policy and procedural requirements especially in regard to, safeguarding, health and safety and equality and diversity.

About the role
The role will play a critical role to help deliver an effective and high performing rent collection and recovery service in accordance with legislation, the organisation’s policies, set performance targets and customer satisfaction requirements. Maximise the collection of arrears by having regular meetings with the Team Managers; being proactive in contacting Support Workers or residents, providing them with clear instructions on information requests and repayment options.

To work closely with other members of the Revenue team to manage resident rent and accommodation charge accounts and other former resident debts, on a regular basis identifying trends and patterns on individual accounts and then liaise with Support Workers or residents to rectify income issues and address arrears in line with policies and procedures.

To maximise rent collection in line with targets by making arrangements to recover rent arrears and to enforce related tenancy conditions, ensuring residents’ rent accounts are monitored and prompt actions taken to prevent the accumulation of debt, and to authorise any rent account adjustments and refunds.

Key Responsibilities
General

The post holder will support children who have witnessed or experienced domestic violence and plan and provide stimulating, safe, and appropriate play opportunities.

Main Purpose and Scope of the Job:
Co-Ordinate an individual package of target hardening for clients using Stop Domestic Abuse services which is informed by a full risk assessment, the type and condition of the property and the needs and circumstances of the individual household.
Working collaboratively with existing target hardening schemes within the city including Southampton City Council’s Dove scheme and similar offers from other social landlords and The Blue Lamp Trust.
Participating and contributing in awareness-raising campaigns of domestic abuse issues locally in liaison with local multi agency partnerships, and to participate in training events.
Remaining up-to-date and compliant with all organisational procedures policies and professional codes of conduct and uphold standards of best practice.
Maintaining accurate and confidential records using our secure web-based case management database and contribute to monitoring information for the service by ensuring that evaluation information is properly recorded

Financial administration
Administration of the donations inbox, liaising with current donors and prospective donors for simple queries. Ensuring good organisation of the inbox with a clear labelling system.
Draft donation acknowledgement letters for donors to acknowledge donations received.
Management of donations management system (Raisers Edge), including:
review of potential duplicate donor records
ensuring accurate documentation and declarations for Gift Aid donors
making edits and updates to donor records as and when required.Maintenance of the tracker for Raisers Edge issues to ensure these are managed and dealt with appropriately.
Follow up with donors who have expressed an interest in Gift Aid.
Liaising with the Comms team to ensure maintenance of supporters contact list.
Digital archiving of paper-based records held within the Finance Department.
Support Finance Managers with the organisation of the shared drive and the Sharepoint site.
Management of Finance policy and procedure documents library on the shared drive, ensuring these are up-to-date and accessible to staff.
Scan letters received for finance and deal with these appropriately (sharing with the relevant individual and/or filing on the shared drive).
Download bank statements on a daily basis and save on the shared drive.
Financial controls
Reconciliation of simple balance sheet accounts (e.g. petty cash, debit notes, deposit accounts) on a monthly basis.
Rconciliation of properties bank accounts and deposit accounts on a monthly basis.
Support the Finance Officer (Income) with donations collections and trips to the bank to deposit cash and cheque donations, ensuring all cheques and cash received are banked promptly and securely.
Provide assistance with the annual audit and the preparation of the statutory accounts, particularly with regard the provision of supporting documentation.
Host finance inductions for all new staff members.
Financial processing
Manage the corporate credit card process and user register, including onboarding of new users.
Issue monthly credit card statements to staff members for their expenses submissions.
Conduct first finance review of monthly credit card submissions and collate the supporting documentation submitted, ready for posting.
Collate Out of Pocket expenditure claims and conduct a first review of these before processing by the Finance Officer (Expenditure).
Support the Finance Officer (Income) with quarterly donor pledge statements process.
Post property and Victoria Hall interest, bank sweeps, and charges into Business Central.
Supporting others
Perform any other financial duties and responsibilities as assigned by the Financial Controller, Properties Finance Manager, Head of Finance and Operations.
