Events coordinator

Job Purpose: To support the CHS Alliance secretariat to ensure it delivers professional external events that meet the needs of our key audiences and advance our strategic goals, on time and within budget. Primary focus of this role will be the coordination and logistical management of the General Assembly in December 2024.
Background: The Events Coordinator role sits within the Network Engagement and Communications department and works closely with staff across the CHS Alliance, including those working on CHS outreach, HR/Governance and the Executive Director, on events organisation and delivery.
Main Responsibilities:
Event coordination
1. Coordinate the team and workplan to support smooth and timely delivery of key CHS Alliance events, with particular focus on the General Assembly (GA) taking place in Bangkok 5-6 December 2024.
2. Prepare and attend event working group meetings (e.g. set agenda, organise doodle polls, book conference rooms, take notes, etc.)
3. Overseeing and updating the event workplan (e.g. gannt chart), flagging upcoming milestones and deadlines to event lead
Event logistics
4. Assist in identifying service providers by providing quotes and completing any other tasks requested by the line manager or event lead.
5. Procure supplies for event and ensure all material needed on site is prepared and up to date.
6. Follow up with the venues; liaise with the venue prior to, during and after the events.
7. Assist with all logistical aspects linked to catering, refreshments, room equipment (incl. audio visual), stationery, signs and identification (badges, etc.), and trip booking (hotels, flights, visa) where required, etc.
Communications & IT
8. Set up events on relevant platform (e.g. Zoom, CHS Alliance website)
9. Prepare and update registrations and participants’ lists
10. Draft and send communication materials to participants, using software like Mailmerge or Mailchimp
11. Assist with speaker outreach and briefings as appropriate.
12. Manage the Alliance’s Zoom account as an administrator
Reporting and monitoring
13. Monitor and report on project progress and related expenses according to the CHS Alliance financial policy and procedures.
14. Manage and maintain an external events calendar for the CHS Alliance, to assist staff with horizon scanning and scheduling.
15. Carry out any other relevant activities as required.

Your first-rate understanding of orchestral repertoire and a range of contexts and markets will enable you to devise compelling programmes and concert formats in response to and driven by themes which connect classical music with the world of today and meet box office targets. This is a new role for the Circuit, replacing a volunteer. In designing the position, the Circuit has aimed for maximum flexibility to secure the best candidate for the role. Initially, the person will need physically to attend some meetings to familiarise themselves with the Circuit's operations and ensure a smooth hand-over. For the right person, though, there will be considerable flexibility about how the duties are fulfilled in the longer-term. The Richmond & Hounslow Circuit comprises seven churches in southwest London. As with all Methodist circuits, these churches function autonomously yet collaborate closely in their ministry and mission efforts. The Circuit oversees joint resources, including staff and property. Presently, it employs four full-time ordained ministers, one full-time lay pastor, and a part-time administrator. As a part of the Methodist Church, its mission is “to respond to the gospel of God’s love in Christ and to live out its discipleship in worship and mission”. To fulfil this mission, the Circuit fosters a broad spectrum of ministry within its congregations, focusing on worship but also engaging in outreach to the homeless, asylum seekers, new parents, and various other groups. As a Youth Tech Abuse Lead you will provide specialist support to Refuge’s children support workers and frontline staff to ensure children, young people, and protective parents are using technology safely and positively in our refuges. You will increase understanding and awareness of your colleagues on tech-facilitated abuse and how to identify and respond to risks. Approximately 40% of the role focuses on working directly with children and young people and their parents in empowerment workshops, and 60% of the role will focus on capacity building and training frontline staff.
You will work closely Senior Programme Manager – Children and Young People, deputising for them in ensuring the voices of children and young are central to the development of services and Refuge’s systemic change initiatives.
The role does require a particular focus on supporting survivors of tech-facilitated abuse under the age of 18, this would require developing and delivering tech-facilitated abuse and online safety workshops to children, young people, and protective parents in refuges across London.

The Role
Month-end tasks
Process supplier invoices and staff expenses and prepare weekly payment runs in Sage 50 Accounts software.
Send remittance advice to suppliers.
Import staff expenses transactions from Expense's into Sage and reconcile staff accounts to Purchase Ledger in Sage.
Reconcile supplier records within the Purchase Ledger ensuring it is accurate and up to date.
Working with the Database & Insights Officer, post monthly bank receipts and income journals to Sage 50.
Monthly reconciliation of bank, Stripe and PayPal accounts to bank statements.
Reconcile credit card statements monthly.
Prepare and post monthly prepayment journals to Sage.
Prepare monthly reconciliations of income in Sage against Fundraising figures, explaining any variances.
Prepare monthly cashflow statements for review by the Head of Finance.
Reporting
Support the Development team with Donor reporting.
Prepare monthly budget vs actual reports for project teams.
Produce Sage expenditure reports for the Development and Program teams upon request.
General
Monitor the Accounts Payable mailbox responding to emails and requests in a timely manner.
Support the HoF and Development team with any other ad hoc tasks as required.
The Candidate
Extensive experience working in Finance to officer or senior officer officer level

What is the role?
Joining the organisation at a pivotal time, with various exciting upcoming projects, you would be reporting directly into the CEO. Main responsibilities include but are not limited to:
- Overseeing the entirety of the Finance department and four direct reports
- Acting as a business partner for the Finance department; liaising with various stakeholders at a number of different levels, communicating financial information effectively
- Budgeting, forecasting and long-term financial planning to ensure maintained financial health of the Church
- Responsibility for the year-end accounts and audit liaison
- Ensuring all financial processes and governance within the Church adhere to up-to-date regulations; developing new policies where necessary
What do you need to succeed?
- A full accounting qualification (ACA, ACCA or equivalent)
- Experience, or desire to be working within a charity finance function
- Demonstrable, extensive post-qualification accounting experience, having managed teams and interacted with Senior Leadership Teams, The Board, etc.
- Confident user of Excel and other accounting systems
- Strong communication skills with the ability to communicate with a variety of stakeholders at differing seniority
