1. Overview :
Amna, meaning safety in Arabic, is a refugee-centred organisation that supports mental health and community-led healing. We equip displaced communities with the tools to heal, build resilience, and restore a sense of belonging.
Rooted in evidence and lived experience, our global work empowers frontline organisations to deliver trauma- and identity-informed care. Through safe, culturally grounded spaces, we help break cycles of trauma and support long-term recovery.
Amna is currently undertaking a broader organisational strengthening exercise focused on improving operational resilience, financial sustainability, governance, compliance, and readiness for future growth. This consultancy forms part of that wider organisational development agenda and will inform future decisions on systems, processes, structures and investment priorities.
2. Objective
Amna's finance function is now fully resourced, creating the right moment to review and strengthen the organisation's financial systems and processes. This consultancy is commissioned to establish the added value of a review of Amna's finance ecosystem, and to identify practical, costed solutions to support the organisation's next stage of growth.
The objective of this consultancy is to support Amna in diagnosing its current financial ecosystem, whether its financial systems, processes, controls, reporting structures, governance arrangements and operating model are fit for purpose for its current and anticipated scale. Based on this diagnosis and mapping out relevant, costed solutions for a future finance system upgrade and/or procurement, linking Amna's core business activities and income-generating activities with donor compliance requirements and UK charity compliance obligations and strengthen organisational decision-making, grant management, forecasting and organisational sustainability over the next 3–5 years.
2. Scope of Work
The consultancy should not assume that technology is the preferred solution. Recommendations should distinguish between issues that can be addressed through changes in processes, governance, roles and responsibilities, staff capacity or systems, and should prioritise solutions according to value for money, organisational readiness and expected impact
Diagnosis (Consultant-led)
SWOT-style analysis across Finance, SLT, and Programmes
Assess organisational reliance on manual processes and identify key operational bottlenecks and map where time, confidence, or control is being lost
Review alignment and map data flows across Finance, Programmes, Development, MEL, HR, and Operations.
Review how financial information supports and distinguish decision-support needs from compliance/control requirements at management, SLT and board levels.
Finalise objectives, success indicators, and non-negotiables for procurement
Solutions Mapping (Consultant-led)
Recommend an appropriate future-state finance operating model based on different organisational growth scenarios including roadmap and costing model for finance system upgrade. Identify opportunities for automation, integration and systemisation across finance, procurement, grant management and reporting processes.
3-year Financial Systems Improvement Roadmap, aligned with the Operations Systems Roadmap and assess resource implications (people, systems, skills and governance) of each proposed solution. Where relevant, this should address visibility into specific finance workflows such as grants tracking/pipeline and contract management for outsourced finance services.
Risk matrix and pros/cons per proposed solution and recommend governance and control improvements required to support future growth.
Prioritisation against agreed criteria (relevance, cost, efficiency, effectiveness) as a timeline-bound plan
Provide revised Organizational wide financial health KPIs for the next 3–5 years, with calculations, methods of measurement and reporting frequency.
Propose practical, light-touch recommendations to reduce friction in procurement-related steps that touch finance (e.g. purchase requests, approvals) proportionate to effort and scoped as an input to the finance ecosystem, not a full procurement redesign
Present distinct solution categories (e.g. low/moderate/significant investment options), each with an indicative cost range, so Amna can decide what fits best. To be finalised only once diagnosis is complete.
3. Deliverables
Finance ecosystem maturity assessment including (strengths, weaknesses, critical gaps/bottlenecks, benchmark against comparable organizations). A diagnostic report validating and finalising the objectives, success indicators, and non-negotiables (Max 15 pages) .
A data flow map across Finance, Programmes, Development, MEL, HR, and Operations.
A 3-year Financial Systems Improvement Roadmap, including future state operating model options (i.e maintain current scale, moderate growth, significant growth) and suggest required resources/systems/risks/costs per scenario.
Scenario-based, costed solution options, each with a pros/cons analysis.
Identify where technology or automation can simplify existing finance processes and reduce manual effort.
Proposed finance KPIs for the next 3–5 years, with supporting calculations.
A final report and presentation to the Senior Leadership Team and Board (via the Treasurer).
4. Roles and Responsibilities
Operations, Risks and Security Director: Overall accountability for the consultancy, sign-off on deliverables, and escalation to SLT/Board.
Head of Finance, Risk & Compliance: Owns the finance/compliance stream and is the consultant's main technical counterpart, reviewing and approving draft deliverables before they reach the Director of Operations.

The exact fee structure, total budget, currency, and payment schedule will be confirmed with the appointed consultant and set out in the resulting contract.
6. Contract length
The contract shall be effective from September 2026 and shall continue until delivery of the final report and presentation, expected in October–November 2026, unless terminated or extended earlier by mutual written agreement of both parties.
7. Quality Assurance
All draft deliverables will be reviewed by the Head of Finance, Risk & Compliance prior to circulation.
Final sign-off rests with the Director of Operations, following consultation with the Senior Leadership Team and Board (via the Treasurer).
Regular check-in meetings will be held between the consultant and the finance/compliance stream led to track progress against the agreed timeline and deliverables.

Our online and face-to-face meetings offer a safe, confidential and non-judgemental space where people can share openly, listen to others and feel heard. Everything we do is underpinned by high-quality volunteer facilitation, thoughtful training and a supportive community.
As we continue to grow, we're looking for an organised, compassionate and proactive Programme Coordinator to help deliver and develop our programme of peer support meetings, while ensuring our volunteers feel confident, supported and connected.
Purpose of the role
The Programme Coordinator is responsible for the day-to-day coordination of Frazzled's online and face-to-face peer support programme.
Working closely with the Head of Programmes, you'll oversee Frazzled’s meeting schedules, recruit and support volunteer facilitators, coordinate training and onboarding, carry out regular observations and contribute to the continuous improvement of our programme. You'll play a key role in ensuring our services are delivered safely, consistently and in line with the Frazzled model.
This is a varied hands-on role that combines excellent organisation with relationship building, volunteer development and continuous improvement. You'll be equally comfortable organising complex schedules, supporting volunteers through challenging situations and contributing ideas that help our programmes continue to grow while staying true to what makes Frazzled unique.
Frazzled runs meetings from early morning until late evening, seven days a week. As a core part of this role involves observing and supporting facilitators as issues arise, some evening and weekend work will therefore be required as well as regular travel to our face-to-face sites across England.
We ask that you do not use AI to assist you in writing your application, as this role involves lots of written and verbal communication with stakeholders and we want to hear your authentic voice, rather than the same response multiple times.
Key Responsibilities

Coordinate the delivery of Frazzled's programme of online and face-to-face peer support meetings.
Manage facilitator schedules, ensuring meetings are appropriately staffed and volunteers are well supported.
Respond to day-to-day operational issues and work with colleagues to resolve them effectively.
Coordinate new or one-off themed meetings and support the ongoing development of existing programmes.
Maintain accurate programme records, schedules and systems.
Volunteer Recruitment and Support
Coordinate the recruitment and selection of volunteer facilitators.
Manage volunteer onboarding, including DBS checks, induction, training administration and access to systems.
Build positive relationships with volunteers, providing regular communication, encouragement and practical support.
Coordinate volunteer meetings, communications and other opportunities for connection and development.
Training, Coaching and Quality Assurance
Design, coordinate and deliver engaging facilitator training, refresher sessions and development workshops that bring the Frazzled model to life through discussion, reflection and practical learning.
Carry out regular facilitator observations, both online and in person, providing thoughtful and constructive feedback.
Support volunteers to develop their confidence, skills and understanding of the Frazzled model.
Identify and respond appropriately to safeguarding, wellbeing or performance concerns, escalating where necessary.
Help maintain the quality, consistency and integrity of all Frazzled meetings.
Programme Development
Contribute to the ongoing development of Frazzled's programme, systems and volunteer experience.
Review feedback, observations and programme data to identify opportunities for improvement.
Help develop resources, guidance and processes that support volunteers and improve programme delivery.
Help promote Frazzled sessions, both face to face and online.
Contribute ideas for new initiatives, projects and ways of working as Frazzled continues to grow.
Team Contribution
Work collaboratively with colleagues across the organisation to deliver high-quality programmes.
Manage the volunteer and public inbox
Support organisational projects and events where appropriate.
Contribute positively to a small, flexible team, taking ownership of work and supporting others when needed.
Person Specification
Essential
We're looking for someone who has:
Experience coordinating programmes, projects or services.
Experience recruiting, supporting or managing volunteers, staff or facilitators.
Experience delivering or coordinating training, workshops or learning activities.
Exceptional organisational skills, with the ability to manage multiple priorities and competing deadlines.
Strong interpersonal skills and the ability to build trusting relationships with a wide range of people.
Confidence giving kind, constructive feedback and having sensitive conversations when needed.
Good judgement, emotional intelligence and the ability to handle confidential information appropriately.
Experience improving systems, processes or ways of working.
Confidence using digital systems including Zoom, Google Workspace and online scheduling tools.
A commitment to Frazzled's values and an understanding of the importance of peer support, inclusion and psychological safety.
Desirable
Experience working within the charity, mental health or wellbeing sector.
Experience coordinating or supporting volunteers.
Experience facilitating groups or delivering training.
Knowledge of safeguarding in a community or volunteer setting.
Experience using data and feedback to improve services.
Understanding of coaching, learning and development or reflective practice.
Please submit a CV and answer the questions attached to this job listing - we would recommend answers of no more than 200-300 words.
We ask that you attend at least one Frazzled meeting so you can see how our model works - we would welcome you attending and participating, rather than just observing the session to protect the space for other attendees.
We ask that you do not use AI to assist you in writing your application, as this role involves lots of written and verbal communication with stakeholders and we want to hear your authentic voice, rather than the same response multiple times. We look forward to hearing from you!

Hope for the Young removes the obstacles to young refugees and asylum-seekers’ education and wellbeing through mentoring, advocacy, and financial support.
The Mentoring Programme supports young refugees and asylum-seekers aged 16-25 by matching them with trained volunteer mentors who provide weekly one-to-one support tailored to the young people's needs. Mentors can help with teaching English, enrolment advice, study skills, confidence and trust building, and can provide emotional and practical support that will help the young people access new services, adapt and settle into their communities.
The Grants and Advocacy Programme supports young people who, due to their immigration status, have no access to student finance or other financial support to enable them to go to college or university. We provide small grants to pay for tuition fees, living allowances and travel expenses, alongside tailored advocacy support to enable young refugees and asylum-seekers to access education in the UK.
About this role
We are recruiting both a full-time and part-time Mentoring Programme Coordinator to manage our high-quality Mentoring Programme that supports young people seeking safety in the UK to achieve goals tailored to their needs.
