Job Purpose
Sequence ME & Long Covid is one of the most ambitious whole-genome sequencing studies ever undertaken into ME and Long Covid, co-led by Action for ME. Building on the success of DecodeME, this proposed £20 million study will use large-scale, long-read whole-genome sequencing to analyse the entire genetic code of 9,000 people with ME and 9,000 people with Long Covid - making it the world's largest 'long-read' whole-genome sequencing study of any disease.
Current funding supports project mobilisation, partnership development, and the development of the Long Covid arm of the study, including agreeing case definitions and gathering expressions of interest from people with Long Covid. Phase 2 has recently been confirmed, backed by £4.75m from the UK government and a further £174,414 from the WE&ME Foundation, and will focus on sequencing 6,000 ME/CFS samples previously collected through DecodeME using Oxford Nanopore's long-read sequencing technology, running alongside Phase 1.
You will play a pivotal role supporting the Sequence ME & Long Covid project in several different ways. Working closely with the project's management team and other team members, you will help ensure the smooth day-to-day running of this landmark study, providing administrative support to the various people and partners involved in delivering it.

JOB PURPOSE
This is a pivotal role within The Passage’s Fundraising Team, created to help support the transformation of our supporter data systems and ensure we become a more data informed, insight driven organisation and fundraising team. You will be the main contact for the fundraising CRM working with the fundraising team and other teams within The Passage such as finance and IT to ensure the smooth running of all systems and processes.
As the dedicated data and CRM Manager for Fundraising and Communications, you will support colleagues with reporting, analysis, campaign set-up and selections, and data strategy. Your work will ensure our data is accurate, accessible, and GDPR-compliant, enabling smarter decision-making, improved supporter journeys, and to help grow income. You will also be working with the Marketing and Communications team to implement email soft opt-in for our supporters. MAIN DUTIES
1. Fundraising CRM Project Leadership
Manage and maintain the current Salesforce system, ensuring it remains functional, accurate, and fit for the purposes of stewarding donors and maintaining accurate records of donations
Act as the day-to-day lead for the CRM system within the Fundraising and Communications team, ensuring it meets team needs and supports strategic goals.
Document workflows, integrations and processes to ensure the long-term sustainability and usability of the system for vital processes such as donation processing and gift aid
Work with IT and the fundraising team to evaluate onboard 3rd party platforms to support fundraising initiatives. Ensure any changes are approved with senior stakeholders and documented.
Be a custodian of GDPR within the Fundraising team and be the main point of contact with The Passage’s Data protection lead and ensure all policies and procedures are up to date and in line with current fundraising regulations.
2.CRM and Data Management
Work collaboratively with the IT team and procurement team as the fundraising representative to recommend improvements to the current CRM and any other related projects.
Maintain and improve the quality of supporter data through regular cleansing, deduplication, and tagging to ensure accuracy and GDPR compliance.
Ensure ongoing system performance and data integrity by embedding data hygiene routines and best practices.
Work with the Finance team to support integration between the CRM and finance systems for seamless donation and income reporting.
Working with data flows and setting up integrations, ensuring the system runs smoothly on an ongoing basis, making updates, troubleshooting issues whilst maintaining data consistency.
Work on system migrations and leading on maintaining proper process structures and documentation during those transitions. Keep track of installed packages, security keys, and their passwords and related administrative processes.
Be responsible for all data imports from our 3rd party platforms, ensure that data is uploaded in line with regular upload schedule in an accurate manner.

3. Data Selections, Segmentation and Campaign Support
Collaborate with the Fundraising team to perform targeted data selections for appeals, newsletters, stewardship journeys, and events.
Develop and maintain segmentation structures and logic to support personalised supporter journeys and strategic targeting.
Work closely with the Marketing and Communications team to provide campaign-ready data for fundraising, advocacy, and engagement activities.
4. Reporting and Insight
Design, build, and maintain dashboards and reports that provide real time insight into fundraising performance, donor behaviour and campaign results.
Create and deliver regular and ad hoc fundraising analysis to inform strategic decisions and performance tracking.
Proactively identify opportunities to improve donor retention, upgrade journeys and lifetime value through data driven insight.
5. Cyber Security

Role Purpose

This is a hands-on operational role with a strong focus on employee relations, HR processes and compliance, payroll coordination and finalisation, and providing practical people support to managers across the organisation.
The role will directly manage the People Advisor and the Senior Manager - Recruitment & Training Manager, ensuring the effective delivery of recruitment, onboarding, training, compliance, and employee relations. Collaborating closely with departmental leaders, Finance, and safeguarding teams, the People Lead will ensure that people practices, foster a positive employee experience, and promote a culture aligned with the Trust’s values.
Key Responsibilities
Leadership and Team Management
Provide effective day-to-day leadership and management of the People Advisor and Recruitment & Training Manager.
Set priorities, allocate workloads and ensure the People team delivers a high-quality, responsive service across the Trust.

Employee Relations

Oversee and deliver the day-to-day delivery of HR processes across the employee lifecycle, including recruitment, onboarding, contract management, employee changes and offboarding.
Maintain and continually improve HR policies, procedures and systems to ensure compliance, consistency and operational efficiency.
Ensure compliance with employment legislation, safer recruitment practices and safeguarding requirements.
Lead HR compliance activity, including supporting external audits and managing safeguarding-related people processes.
Prepare and coordinate workforce data, people metrics and management information for senior leadership and Trustees.

Payroll and Benefits Safeguarding
Lead the monthly payroll process, ensuring all payroll changes are accurately reviewed, authorised and submitted within agreed deadlines.
Take responsibility for payroll finalisation and sign-off, working closely with Finance and payroll providers to ensure employees are paid accurately and on time.
Coordinate pension administration, employee benefits and life assurance arrangements.
Conduct regular audits of payroll and people data to ensure accuracy, compliance and effective record keeping.
Act as the key point of contact for payroll and benefits queries.
Safeguarding
Build a strong working relationship with the Safeguarding team, ensuring Safeguarding is continually embedded within the Trust.
Work with the Head of Safeguarding on Safeguarding and people initiatives to promote a Safeguarding culture throughout the Trust.
Responsible for Safer Recruitment practices and compliance, including internal and external audits.
Employee Engagement and Wellbeing
Lead employee engagement activities, including staff surveys, pulse surveys and wellbeing initiatives.

Champion wellbeing initiatives and support the delivery of programmes that promote positive mental health and employee wellbeing.

EDI

About the role:

Key responsibilities:

Managing six finance staff working in the UK and overseas.
