This is a unique opportunity to join Practical Action at an exciting and pivotal point in our journey. We are seeking an exceptional Executive Assistant to provide dedicated support to our Interim CEO during a period of transformation, growth and strategic development, while we recruit and appoint our permanent CEO.

Working at the heart of the organisation, you will play a key role in ensuring continuity, maintaining momentum and supporting the successful transition to new leadership. This highly visible position offers the opportunity to contribute directly to the next chapter of Practical Action's impact and ambition.

We are looking for an experienced, highly organised and proactive Executive Assistant who can provide outstanding strategic and operational support to the CEO of a respected international development organisation. Acting as a trusted partner, you will enable the CEO to focus on organisational leadership, external engagement, fundraising and the delivery of strategic priorities.

The role encompasses complex diary and inbox management, preparation of high-quality briefings and correspondence, Board and governance support, and coordination with senior stakeholders across the organisation and internationally. You will work closely with colleagues, partners and supporters across multiple countries, cultures and time zones, ensuring the smooth and effective operation of the Executive Office.

This is a demanding and rewarding role that requires exceptional judgement, discretion and attention to detail. The successful candidate will be comfortable operating in a fast-paced, complex environment, able to manage competing priorities with confidence, and skilled at building effective relationships with a diverse range of stakeholders, including senior leaders, trustees, partners and external representatives.

 Accountabilities:

Executive and CEO Office Support

• Proactively manage the CEO's diary, inbox and correspondence, exercising independent judgement in prioritising requests and protecting time for strategic priorities.

• Prepare and commission high-quality briefings, background notes, talking points and presentation materials to ensure the CEO is fully prepared for all meetings and engagements.

• Draft, review and quality-assure outgoing correspondence, reports and communications on behalf of the CEO.

• Coordinate and manage complex domestic and international travel arrangements, itineraries, visas and logistics for the CEO and COO, ensuring efficiency and value for money.

• Manage the CEO and COO’s expense reporting and the Executive Office budget, maintaining accurate records and flagging issues proactively.

• Serve as the first point of contact for the CEO's office, managing enquiries from staff, partners, donors and stakeholders with professionalism and discretion.

• Work closely with the Internal Communications and Social Media team lead to ensure CEO internal and external communications are delivered well.

Board and Governance Administration

• Lead the end-to-end administration of Board of Trustee meetings and sub-committees, including scheduling, preparation of Board papers, agenda coordination and minute-taking, utilising AI. The majority are virtual due to the international nature of the board. In-person meetings take place approx. every 18 months.

• Maintain the governance calendar and ensure all regulatory and statutory reporting deadlines are met in coordination with the Company Secretary, CEO and COO.

• Support the onboarding of new Trustees and maintain up-to-date records of Board membership, terms of office and declarations of interest.

• Build strong working relationships with Trustees, acting as a responsive and reliable point of contact between Board meetings.

• Assist with the organisation of the Annual General Meeting and other governance events.

Leadership Team Coordination

• Coordinate the Global Leadership Team (GLT) meeting cycle, including agenda-setting, papers, actions and follow-up, working closely with the CEO and members of GLT.

• Support the CEO in tracking GLT action items, strategic priorities and key commitments, flagging issues and ensuring accountability.

• Co-ordinate with Regional and Country Directors on the Senior Leadership Team (SLT) meetings, including agenda-setting, papers, actions and follow-up,

• Assist with the preparation of materials for all-staff communications, leadership away-days and organisational events.

• Build effective working relationships across Practical Action's global offices, navigating time-zone differences and cultural contexts with sensitivity.

Stakeholder and Partnership Support

• Support the CEO's engagement with major institutional donors, trusts and foundations, bilateral agencies and high-value partners, including managing contact records and briefing materials, liaising closely with the business development and philanthropy teams.

• Coordinate logistics for high-level external visits, delegations, conferences and events involving the CEO.

• Assist with donor stewardship activities and the preparation of materials for fundraising and partnership development.

• Represent the CEO's office professionally in interactions with government officials, international organisations and peer NGOs.

Project and Research Support

• Take on research and project management tasks as directed by the CEO

• Continue to test and utilise AI tools to increase efficiency and effectiveness and share learnings with other members of Practical Action

• Support the delivery of special initiatives and cross-organisational projects led from the Executive Office.

• Maintain confidential files and records management systems for the CEO's office, ensuring compliance with GDPR and information governance policies.

 

To be successful in this role, the ideal candidate will be able to demonstrate:

 Essential

• Significant experience (typically five or more years) as an Executive Assistant or Personal Assistant supporting a Chief Executive or equivalent senior leaders in a complex and or charitable organisation.

• Demonstrable experience of Board and governance administration, including minuting meetings and managing trustee or director-level relationships.

• Excellent written and verbal communication skills, including the ability to draft high-quality correspondence, briefing papers and presentations to Board or senior stakeholder standard.

• Outstanding organisational skills and attention to detail, with the ability to manage competing priorities, meet deadlines and maintain quality under pressure.

• High degree of discretion, confidentiality and professional judgement in handling sensitive information about people, partners and organisational matters.

• Strong interpersonal skills and emotional intelligence, with the ability to build trust and credibility with senior internal and external stakeholders.

• Experience of coordinating complex international travel and managing logistics across multiple time zones.

• Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), AI tools and the ability to learn new digital tools quickly.

Desirable

• Experience working in an international NGO, development organisation or comparable mission-driven environment.

• Familiarity with funder relationships

• Experience supporting or working in an organisation with offices or programmes in the Global South.

• Knowledge of charity law and UK charity governance, including Charity Commission requirements.

• A second language relevant to Practical Action's programme geographies (e.g. French, Spanish, Arabic).

• Experience with CRM or stakeholder management systems.

Whilst the role is home-based you must live in the South West to ensure easy access for in-person meetings.

Suicide is the leading cause of death of men under 35 and three quarters of those who die by suicide are men. James’ Place exists to save the lives of men in suicidal crisis through delivering clinical services. We are a charity currently offering free, life-saving therapy to suicidal men at our centres in Liverpool, London and Newcastle.
James’ Place was set up by Clare Milford Haven and Nick Wentworth-Stanley in 2008 after their twenty-one-year-old son, James, died by suicide ten days after a minor operation. James had no history of mental illness or depression and had sought urgent help for anxiety and suicidal thoughts but didn’t find it.   
James' Place was set up to make the experience of finding help as easy as possible. We offer men who are experiencing a suicidal crisis a brief, intensive, therapeutic intervention in a safe environment. Men who walk through the door at James’ Place will be in a space where they feel valued and respected. We provide a calm and peaceful environment both inside the centres and in our outside spaces, accessible to men who visit us as well as their friends and families. We have so far treated over 5,100 men who might otherwise have been unable to access the support they desperately need.
THE OPPORTUNITY
This is a new role designed to raise and facilitate fundraising for James’ Place Liverpool and to grow community and voluntary sector relationships across the region to raise awareness of James’ Place to drive referrals to our Liverpool centre.
As part of the Fundraising team, you will take a leading role in building strong networks across Liverpool and the North West, helping to establish our centre as a sustainable source of life-saving support for men in suicidal crisis.
The postholder will spend 50% of their time working collaboratively and taking responsibility for establishing fundraising activity across the North West with appropriate support from centre staff and fundraising colleagues, the Head of Fundraising and Communications, Director of Fundraising and External Affairs and the Chief Executive and Trustees. They will spend 40% of their time building community-based relationships with the aim of raising awareness to drive referrals to the centre, working closely with the Head of Centre Liverpool and the Centre Manager in Liverpool to do so. It is recognised that this will vary week to week depending on the current needs of the organisations.
This opportunity is ideal for an ambitious individual eager to grow their skills and career while helping to secure the funding and relationships needed to achieve the charity’s long-term goals. 

Direct Fundraising Work 50%

• Develop and grow a network of local donors - (including HNWI, corporates, community fundraisers as well as Trusts and Foundations) volunteer supporters and influencers across the North West with a view to increasing the fundraising reach of the organisation.
• Steward existing donors volunteers and prospects to secure long-term multi-year support.
• Support community engagement and attend fundraising events to help achieve the organisation’s fundraising ambitions.
• Identify regional funding opportunities and support with the preparation and submission of grant applications and funding proposals.
• Collaborate closely with internal teams across fundraising, communications, events, and clinical teams to maximise opportunities.

Direct Outreach Work 40%

• Support Heads of Centre to identify and engage with a range of partner organisations across Liverpool and the North West, helping to raise awareness of the charity’s work.
• Build and maintain positive relationships with local statutory, voluntary, and community sector organisations, acting as a professional and approachable representative of the charity.
• Assist with partnership activity, including attending meetings, forums, and events, to share information about services and strengthen local connections.
• Help to coordinate partnership communications and ensure relevant information about the charity’s work is shared clearly and consistently with external partners.
• Work collaboratively with colleagues across the organisation to support joined-up approaches to partnership and engagement activity.
• Identify and feedback opportunities for partnership working that could support fundraising, community engagement, and service awareness.

Administration 10%

• Ensure all fundraising activities are delivered to a high standard ensuring compliance with fundraising regulations and best practice guidelines.
• Maintain accurate and up-to-date records on the CRM database.
• Work collaboratively with both clinical and non-fundraising colleagues within the Liverpool centre and across the organisation, building their confidence and capability in fundraising activities.
• Ensure all fundraising activities are delivered to a high standard, meeting regulatory and ethical requirements.

Working in the Wider Charity

• Represent James’ Place with professionalism, respect, and confidence at all times.
• Participate in review and evaluation processes to support the ongoing development, effectiveness, and sustainability of James’ Place as a respected charity.

PERSON SPECIFICATION

• Proven experience of fundraising in the charity sector, with a track record of achieving results in at least two of the following income streams: Community fundraising, Corporate partnerships, events, major gift fundraising from High-Net-Worth Individuals (HNWIs) and Trusts and Foundations.
• Strong understanding of donor motivations and what drives charitable giving across different audiences.
• Excellent written and verbal communication skills, with the ability to craft persuasive messages and build rapport.
• Confidence and professionalism in engaging and maintaining relationships with stakeholders and partners.
• Excellent time management skills
• Practical, resilient, and flexible, with the ability to adapt to changing priorities.

The postholder will spend 50% of their time working collaboratively and taking responsibility for establishing fundraising activity across the West Midlands with appropriate support from centre staff and fundraising colleagues, the Head of Fundraising and Communications, Director of Fundraising and External Affairs and the Chief Executive and Trustees. Headlines Craniofacial Support is a UK-based charity providing information, advice and support to individuals and families affected by craniosynostosis and other rare craniofacial conditions.  The charity works closely with professional partners, including the 5 NHS Designated Specialist Craniofacial Units across the UK.

• Lead partner visits to City Harvest sites
• Identify touchpoints for SLT, CEO, & Board Engagement for relevant partners
• Support at fundraising events, including challenge events and fundraising events (these could include weekends or evenings from time to time)
• Work collaboratively with the fundraising team to support other income areas as needed

Strategy and Planning

• Monitor and evaluate each partnership to ensure partnership objectives and contractual obligations are met
• Develop maximisation plans for each partner
• Work closely with City Harvest's internal departments, including communications, volunteering, food, and the community team, to create meaningful partnership activities and meet partnerships KPI’s

New Business

• Work closely with the Senior Business Development Manager to support new business wins
• Work closely with corporate volunteering to support converting corporate volunteer groups to partners
• Put together pitch decks and partnership plans for renewals with current partners

Person Specification

Essential

• Minimum 2 years’ experience working in Corporate Fundraising in the charity sector or within a CSR team managing employee fundraising
• Demonstrable experience in managing corporate fundraising partnerships
• Experience building relationships with donors and senior stakeholders
• Excellent writing skills
• Good presentation skills
• Excellent relationship-building skills
• Highly organised
• Experience of using a CRM system for Fundraising.

Desirable

• Chartered Institute of Fundraising – Corporate Fundraising
• Educated to degree level or above
• Experience in managing strategic high-value partnerships
• Knowledge of charitable giving across companies in the UK
• Experience in setting up new corporate partnerships from the outset to ensure robust plans to meet partnership KPIs
• Experience of securing new corporate business wins
• An understanding of the issues of food poverty and food waste

Hospice in the Weald provides care completely free of charge to patients with a terminal illness and those important to them, in West Kent and northern East Sussex. We are there 24 hours a day to help, support and care for patients with an illness where a cure is no longer possible and for those who will at some stage die from their illness, whenever that may be.

It’s not just at the end of life that we can help. We want to ensure that anyone affected by a terminal illness, not just patients but also those important to them, can access the support they need, when they need it. Our care is tailored to each person, helping patients make decisions that are right for them and their loved ones.

We are currently investing in a major refurbishment of our Pembury site, a transformative project designed to offer comfort, dignity and calm for everyone who stays with us. About the role

This is a fantastic opportunity to step into a senior leadership position at one of the region’s most loved charities. Reporting to the Income Generation Director, you’ll lead a team of 11 staff (three direct reports) and multiple volunteers, taking ownership of seven income streams: individual giving, in-memory, lottery, events, community, business partnerships, and data/supporter care.
