We are looking for an experienced finance professional to join the Senior Management Team and provide confident financial and organisational leadership. Working closely with the CEO, Treasurer and wider Board, you will lead budgeting, forecasting, management reporting, financial controls, funded-programme finance, risk and the year-end process. You will also provide proportionate leadership across people systems, governance, contracts and organisational operations.

This is a senior role, but it is also genuinely hands-on. 

Alongside this, we are looking for someone who will thrive on helping to lead the operations of a busy, vibrant cultural centre, ensuring that the systems, people, contracts and resources underpinning our programmes, studios, building and events work smoothly, safely and effectively. 

You will provide oversight of health and safety, compliance, organisational risk and business continuity, working closely with the colleagues and external specialists responsible for day-to-day delivery. This is a senior role, but it is also genuinely hands-on.

We are seeking an enthusiastic and highly motivated Chief Executive to assume overall responsibility for the management of HMC. The purpose of this senior leadership role is to lead the organisation in fulfilling its purpose of supporting migrants in Hackney and the wider London community, ensuring they can access their rights and overcome injustices in the immigration and social welfare system.

The Senior Funding Operations Officer is a key role in the Finance and Funding Operations team, that provides operational and financial support across the organisation. 

The role is responsible for: 

·       Grant and contract management activities, ensuring all grants and contracts are progressed appropriately and systems are kept up to date

·       Liaising with teams, both inside the organisation and externally, to ensure the smooth running of grant processes

•       Managing complex operational administrative issues

•       Assuming joint responsibility with the rest of the Finance and Operations team for: maintaining the accuracy and integrity of the grants management system; preventing fraud; providing cover for absent colleagues when required; and performing any other tasks as may reasonably be required for the team to operate effectively.

Key Responsibilities

Grants management (for Impact on Urban Health, NHS Charities and Special fund grants)
 

·        Managing the process of ensuring ongoing grant requirements (such as reports and milestones) are met, including producing monthly reports of outstanding requirements, supporting Funding Operations Officers with requesting conditions/reports and following up on these requests when not received, and liaising with internal grant managers regarding persistent issues. 
 

·        Managing the post-award workflow for grants, including production of grant documentation and working with grant managers to establish payment and reporting schedules and updating grant management systems. 

·        Carrying out due diligence checks on grant applicants. 

·        Producing and actioning reports to ensure that grant records are accurate and properly reflect the stage each grant has reached, in particular, ensuring grants are closed appropriately and any outstanding funds are written back to enable further grant funding. 

·        Provide assistance to the Funding Operations Officers with queries regarding post-award processes. 

·        Support grant managers with the monitoring of complex grants and portfolios, ensuring compliance with terms and conditions. 

·        Ensuring clear audit trail of approval of awards and conditions to ensure efficient execution of grant agreements and payment of grant instalments. 

·        Reviewing investment papers for Impact on Urban Health projects

·        Processing of all charitable spend ensuring compliance with grant agreements
 

Contract management

·        Carrying out due diligence checks on new contractors. 

·        Maintaining appropriate records in relation to service contracts, including adding and updating contract records on internal systems. 

·        Processing of all charitable spend ensuring compliance with signed contracts

Special purpose fund management

·        Supporting communications with fund holders, including writing and distributing newsletters, and drafting key messages as required. 
 

·        Providing assistance to Funding Operations Officers with complex queries and management of spending commitments and related invoices. 

·        Managing queries from Guy’s and St Thomas’ NHS Foundation Trust Finance staff and fundholders in relation to invoice payments. 

·        Authorisation of Special Purpose Fund expense claims and invoices in absence of Funding Operations Manager. 

 General

·        Providing cover for the Funding Operations Manager, as appropriate. 

·        Deputising for the Funding Operations Manager at Executive Investment Committee meetings to contribute to the Funding Operations perspective on discussions about grant applications, due diligences and awards. 

·        Assist with the development of Salesforce, new or improved processes, and new ways of working through user testing and development of guidance. 

·        Ensure grants and contract records are accurately maintained. 

·        Creating and maintaining reports to support effective management of grants and contracts

·        Provide absence cover for other Funding Operations team members as agreed from time-to-time. 

·        Support induction of new colleagues across the Foundation, and development and dissemination of guidance. 

·        Liaising with Guy’s & St Thomas’ NHS Foundation Trust finance staff to ensure all charitable payments for the Trust are made in an accurate and timely way and provide regular updates and reports regarding payments due and invoices received. 

·        The post holder will be working in a developing environment and will therefore be expected to undertake other appropriate duties as required for the effective operation of the Foundation.

You will support organisations through the grant making process and use your knowledge and experience to make evidence informed judgements. You’ll manage key relationships with grant holders, responding to their needs, providing advice and considered feedback and be willing to have challenging but constructive conversations.

As a Funding Officer you will:  

• Support enquirers, applicants and grant holders through our funding processes, assessing and managing a caseload of applications and grants of varying value and complexity.

Working across teams, the Operations Lead helps ensure the organisation is resilient, efficient and well-equipped to achieve its goals.

You will be part of the LRU staff team alongside 15 other staff, who work with members to build the power of the union by organising, campaigning, training and facilitating peer support and member solidarity actions.  We expect staff to uphold the union’s values, and work together to implement collectively agreed strategies.  Each staff member has a line manager, and the staff team are accountable to the elected member Coordinating Group, and to each other.

Key decisions are held by the elected member Coordinating Group and subcommittees, with staff inputting into and facilitating these decisions.

Job description 

This role is varied, and can look different month-to-month.  This job description outlines some activities that you will be doing every month, and some activities that you will only do from time-to-time.

Building collective capacity

• Convening the line management team, organising monthly meetings and ensuring actions are being completed
• HR administration, including holding new starter induction processes; ensuring annual reviews are completed; supporting line managers when conflict or performance issues arise; and ensuring policies are reviewed and kept legally compliant
• Overseeing financial management, including processing invoices and expenses, annual budget development, and holding the relationship with our external accountant.
• Overseeing fundraising including prospecting, bid writing, reporting and fundraising strategy development with the fundraising team
• Overseeing office and resource management
• Overseeing formal compliance and risk management, including insurance, GDPR, and engagement with Companies House
• Inputting into staff decisions and LRU strategy discussions
• Taking part in team meetings
• Joining staff working groups when capacity allows

Building leadership

• Providing support to the elected member Staffing and Finance, and Information and Knowledge subcommittees

Building the power of the union

• Overseeing digital infrastructure, working with the Database Support Officer, and engaging external support when needed.
• Supporting member onboarding process, working with the Union Coordinator – Membership and Democracy.
• Participating in cross-staff calls sessions at least once a month.
• Attending and taking on roles at cross-union meetings, events, trainings and gatherings or other project meetings, across the year as capacity allows.
• Monitoring and responding to messages in main inboxes and carrying out other administrative tasks related to our membership system.

Person specification

• Experience coordinating the day-to-day operations of an organisation, ensuring systems, processes and priorities are effectively managed.
• Strong planning and problem-solving skills, with the ability to improve processes and identify practical solutions.
• Experience supporting people management processes, which can include recruitment, induction, performance management or employee relations, with the ability to work sensitively and maintain confidentiality.
• Experience overseeing organisational finances, including budgets, invoices and expenses, and working confidently with external finance professionals.
• Experience managing organisational compliance and governance, including risk management, data protection and maintaining accurate organisational records.
• Strong ability to build positive and effective relationships with a range of people, who have different experiences and positionalities
• Excellent written and spoken communication skills, with the ability to communicate clearly with a range of people to confidently explain processes and decisions
• Confidence using and overseeing digital systems, with the ability to support others in using them
• An ability to work independently, exercising sound judgement – and work collaboratively as part of a small team.

As a leadership role within a Church of England parish, there is an occupational requirement for the post-holder to be a Christian and enthusiastic about the vision and values of St Barnabas with Christ’s Chapel.

Oasis Hub Waterloo is looking for an experienced and ambitious fundraiser to lead the next chapter of our fundraising journey.

For over 20 years we’ve been serving our local community through an integrated model that brings together education, community services and church. As our new Head of Fundraising, you’ll play a key role in making that vision possible.

You’ll develop and deliver a sustainable fundraising strategy, building income across trusts and foundations, major donors, corporate partnerships, statutory funding, community fundraising and individual giving.
