Job purpose

This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.

Responsibilities

Governance and executive support

• Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
• Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
• Organise in-person and virtual trustees meeting as well as other governance meetings as required
• Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
• Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
• Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
• Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
• Provide administrative support around donations and gifts-in-will
• Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary

Project support

• Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
• Arrange associated meetings and events for the awards

General administration

• Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
• Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
• Maintain and develop administrative systems, such as record management and document control
• Update records on our customer relationship management (CRM) system
• Organise and schedule meetings and awaydays, including setting the agenda and taking minutes
• Support the recruitment of new staff, including training and induction
• Provide administrative and project support to the wider RCVS Knowledge team as required

Skills, knowledge and experience

Required

• Relevant experience in an administration or governance support role
• Excellent written communication skills, with experience of writing committee meeting minutes and preparing meeting papers
• An excellent working knowledge of MS Office
• Strong interpersonal skills, with ability to work well with a wide range of stakeholders

You will be joining our Philanthropy Team that's responsible for managing relationships with, and securing donations from, mid and major value individuals and trusts & foundations.  The team has recently transitioned to a new team structure with a new set of ambitions and plans, and more formalised support across the organisation, at all levels, to enable the team to deliver.

As part of these changes, a new role of Fundraising Resource Manager (High Value) has been created, to lead on the operation and resource requirements of high value at Blue Cross, including:

• leading on the development of fundraising opportunities and propositions, including the management of funding opportunity information and case for support resource 
• overseeing the delivery of high-quality prospect research and driving pipeline performance through delivery of prospecting plans and lead generation
• providing insight and performance information to help inform strategy, including the management of CRM, financial, and KPI reporting requirements
• operational delivery of team processes and the events and stewardship programme to support effect donor engagement
• management of a Fundraising Resource Officer, building an effective fundraising resource team for the future

Knowledge, skills, and experience

Experience in some or all of the below:

• funding opportunity portfolio planning and management
• developing supporter orientated propositions and Cases for Support

• developing and maintaining processes for prospect identification, qualification, research, and tracking
• information management and interrogating and analysing data, to draw meaningful insights that support strong fundraising performance

New Horizon Youth Centre runs a busy day centre from Monday to Friday, providing basic needs to young people experiencing homelessness and a one-stop-shop for housing advice, youth work activities, counselling, jobs, education and training support. The Services Manager (Day Centre) is a brand new role for the organisation. They will work as part of the existing Youth Work Team to provide vital additional capacity and expertise to respond to the significantly increased demand we have been experiencing. Richmond Fellowship is part of Recovery Focus, a national group of charities highly experienced in providing specialist support services to individuals and families living with the effects of mental ill health, drug and alcohol use, gambling and domestic violence. The role 

You’ll bring energy and enthusiasm to the team, ensuring financial functions are carried out efficiently, effectively, accurately and in a timely way to enable us to focus on achieving our charitable mission.

The focus of the role will be on managing and improving financial processes, ensuring that the Senior Leadership Team have up-to-date and accurate records for reporting to the Board, supporting the programmes and philanthropy teams with accurate fund reports and preparing the accounts for audit each year.  You will work closely with the whole team of staff and volunteers, but you will work most closely with the Operations Director and the Finance Manager.

You’ll be provided with training on our CRM and IT systems. The successful applicant will always be expected to observe our values and policies and to actively engage with continuous professional development.

Key Areas of Responsibility 

1. Treasury and Investment Management

· Monitor endowment investments and provide calculations and support in relation to total return

· Prepare quarterly investment management report

· Treasury management to maximise our investment returns

2. Bookkeeping and Management Accounts

· Work with the Finance Manager to ensure donations are properly recorded on our CRM and in Sage

· Work with the Finance Manager to reconcile bank accounts monthly

· Preparing monthly management reports, noting significant variances with forecasts

· Monitor outstanding debtors, and with line manager approval, chase overdue debtors

· Prepare fund balances when required by the programmes team to support grant-making

· Presentation of management accounts to board and engagement with board members as required

3. Annual Accounts

· Prepare statutory accounts, working with the Operations Director and CEO to ensure income and costs are allocated accurately across SORP categories

· Participate in the Audit process, engaging with auditors and prepare information for audit and liaise with auditors in the conduct of the annual audit process

· Prepare annual fundholder statements

· Support the Senior Leadership Team in the preparation of the annual budget and cash flow forecast

4. Other Work Required

· Support the Finance Manager and provide cross cover when required

· Attend SCF events as requested, including very occasionally, evenings

· Any other reasonable duties as requested

Person Specification - Skills, Knowledge and Experience

Required

· Ideally at least five years’ experience in a similar role

· Minimum of AAT Level 4, preferably ACA/ACCA or equivalent

· Experience of accounting software, especially Sage Line 50

· Experience of working with databases and Microsoft Office, including Office 365

· Knowledge of charity finance

· Excellent interpersonal and communication skills

· Able to work under own initiative but also able to request support when necessary

· Confident managing a busy and varied workload and able to prioritise effectively

· Good problem-solving competencies

· Please note that our office is in a rural location and that access to a car and a clean UK driving licence are required.

· To have oversight of the monthly and quarterly reports for the services

· The work will include some on call responsibilities on evenings and weekends for the Hospital Discharge Services which an extra payment will be made.

· To work in partnership with other providers and health partners across both boroughs.

· To work within the Bromley Well partnership and maintain contact with BTSE

· To build a strong relationship with the hospitals and NHS staff

· To be responsible for health and wellbeing staff including undertaking supervision, guidance and support, allocation and monitoring of work plans, annual appraisals, identification of training needs and participation in the recruitment of staff.

· To work with the Chief Executive to devise and implement a marketing / publicity strategy to promote primary and secondary interventions and other services for older people.

· To work in partnership with older people, volunteers, statutory, voluntary and other agencies to initiate and deliver a programme of healthy living and recreational activities which meet the needs and aspirations of older people in Bromley and Greenwich identifying and developing new  initiatives and partners.

· To be responsible for ensuring that risk assessments are undertaken of premises, outreach venues, client’s homes and other measures for the provision of a safe environment ensuring that all legislative requirements are met.

· To ensure that evaluation and monitoring of service/project outcomes is implemented, enabling Age UK Bromley & Greenwich to demonstrate the effectiveness and impact of the service delivery.

· To establish and maintain excellent working relationships with clients, work colleagues, volunteers and partner organisations

· To work alongside the Chief Executive to undertake long-term strategic planning of primary and secondary care interventions and other health and wellbeing services.

· To work with older people and with other groups, organisations and agencies in the boroughs to identify potential areas for health, education and social activities that older people want to participate in, and identify funding sources to develop and deliver the new areas of work.

· To be creative and innovative in designing new opportunities and projects for people to get involved across the boroughs in the co-delivery of services.

· To work with diverse and/or hard to reach individuals / groups who are not involved in their community, in particular targeting people who are socially isolated.

· To keep your knowledge up to date with the health priorities and health commissioning strategies in both boroughs to ensure our services are ‘fit for purpose’ and can contribute to the current overarching outcomes agreed between the local Authorities and the ICB.

Main Purpose and Scope of the Role

The Marketing and Communications Manager will be highly motivated, and results driven. You will play a pivotal role in developing and implementing a strategy to enhance Action4Youths profile. This role is key in promoting brand awareness, engaging audiences, driving traffic and will enable the success of increased sales and fundraising.

You will lead on the creation of engaging content plans to promote Action4Youth’s work to multiple audiences, across multiple channels including PR, web, social media, e comms and print to increase engagement amongst partners, supporters and donors.

This job combines management responsibilities with being hands on and will suit someone who thrives in a fast-paced environment and who is practical and able to get things done effectively.

Key areas of responsibility:

Strategy

• Supported by the Development Director, lead on the development and implementation of our marketing and communications strategy to position the charity and influence its many audiences.
• Develop engaging campaigns and events, from inception to implementation, to grow brand awareness, sales of our programmes and facilitate community fundraising.

· Lead on the formation of engaging and creative project plans to activate successful campaigns across all channels.

Marketing

· Take overall responsibility for the production and implementation of creative and compelling multimedia content, including, scheduling, reporting and analysis for driving and improving results.

· Analyse and report performance metrics and insights by producing regular performance, reach, engagement, conversions, and ROI reports in order to monitor the effectiveness of digital activity.

· Ensure the website works for optimum customer and visitor journey to improve analytics and ensure content and pages are easily accessible.

· Create and co-ordinate digital advertising and email marketing activity to support campaigns and organisational goals and provide reports to monitor effectiveness.

• Collate and prepare all marketing materials for a range of print collateral to support the charities work and define distribution and dissemination channels.

Communications

· Be the PR and media lead by planning, developing, and implementing PR and media strategies.

• Generate story-worthy press releases to facilitate coverage, increase awareness of all areas of service provision and elevate campaigns.

· Work collaboratively with the media and build strong relationships with key press and community figures via networking and events.

• Plan press and photo opportunities and attend events to optimise engagement.
• Develop and implement regular E-comms to different audiences by building strong and compelling email campaigns.

Other

· Monitor and report on performance against monthly KPIs and objectives and ensure planned expenditure is within budget.

• Monitor and evaluate the success of all marketing activities and use outcomes to inform and shape the future of our initiatives.

Experience of developing and delivering multimedia campaigns to multiple audiences.

Experience of managing budget planning and allocating resource.

Strong written and verbal skills across all delivery platforms: PR, socials, web and E-comms. With the ability to write creative and engaging copy.

Experienced in using scheduling tools such as Hootsuite and Later (Desirable)

Experience of collating and utilising analytics to inform future development.

Experience of leadership and managing and developing a team.

PERSON SPECIFICATION

Dog A.I.D. is recruiting for the exciting new role of Programme Support and Engagement Officer. The post holder will play a key role across client support and volunteer engagement functions within the charity. They will work alongside our operations and training teams to support and engage our existing network of volunteer trainers and support them effectively to ensure their long-term retention. As well as providing administration for our existing volunteer CPD offer, the post-holder will support the roll-out, administration and evaluation of two crucial new projects, a trainer mentoring programme and an in-house assessor’s course.

The Programme Support and Engagement Officer will also develop trusting and empathetic relationships with our clients, engaging and supporting them as they navigate the Assistance Dog training programme.

This role is person-centred and focused on building great relationships with clients and volunteers. You will often be the first point of contact for volunteers and clients contacting the charity, so an empathetic, diplomatic and professional approach is essential, as well as excellent inter-personal and communication skills. The role post-holder will be expected to undertake a wide array of administrative tasks related to programme support, so it is essential that the right candidate is able to manage and work through a heavy and varied workload efficiently and effectively.

Dog A.I.D. has a small staff team so it is essential that the post-holder is a strong team member who is proactive and self-motivated. They need to be able to see “the bigger picture”, identify priorities and use their initiative to “get on and do” what needs to be done. Dog Assistance in Disability (A.I.D.) is a unique organisation, empowering disabled people to train their own pet dogs, supported by professional dog trainers as volunteers.

Dog A.I.D. was established in 1992 to assist people with physical disabilities, improving their quality of life by helping them train their own pet dogs to provide assistance with day-to-day tasks.

In 1996, the Dog A.I.D. Scheme was launched nationally at Crufts and today has a team of staff, volunteer trainers and assessors based across the country supporting over 168 Assistance Dog partnerships, both in training and fully qualified, with our office base in Shrewsbury, Shropshire.

As of May 2024, there are currently 98 fully qualified Dog A.I.D. dogs throughout the country, with 70 more in training with 95 voluntary Dog A.I.D. Trainers. The training takes up to two years with both dog and disabled owner (‘client’) receiving specialist education from our network of trainers and attaining fully accredited Assistance Dog status through three distinct stages.

Dog A.I.D. is a member of Assistance Dogs UK, a voluntary coalition of Assistance Dog charities that aims to promote the freedom, independence and rights of people with assistance dogs across the UK. All Assistance Dogs UK dogs adhere to the highest training and welfare standards as set out by Assistance Dogs International and the International Guide Dogs Federation.

This is an exciting time for the charity which has a strong team in place led by a new CEO who took up post in October 2023. Last year, the charity developed and launched its new 3-year strategic plan which has an ambitious plan for growth to meet the incredible demand for its life-changing services.
