THE ROLE: IT & DIGITAL SYSTEMS COORDINATOR (VOLUNTEER)

As our IT & Digital Systems Coordinator, you’ll research, create and set up the free digital tools that power MINDSET — from cloud‑based CRMs and case‑note systems to impact‑tracking platforms and volunteer management tools.

You’ll configure our Office 365, emails and SharePoint so they’re secure, organised and built for charity use. You’ll lock down our devices — laptops, tablets and phones — so they’re protected, purpose‑built and safe for storing sensitive data.

This role is perfect for someone who loves tech, enjoys problem‑solving and wants to help build a charity from the ground up.

WHAT YOU’LL HELP US BUILD

1. Digital Systems & Infrastructure

• Researching and setting up free cloud‑based CRM platforms.

Key responsibilities: Key volunteer 

Being a Key volunteer includes all the same responsibilities as a shop and till volunteer. However, if you’re interested in taking on additional responsibilities, you can train to become a Key Volunteer, helping the shop manager by:

• Helping supervise the shop and other volunteers.
• Supporting the shop manager to make sure customers have a great experience.
• Opening and closing the shop when needed.
• Cashing up at the end of the day.

The Rebuild with Hope Foundation is a fast growing and impactful charity supporting those facing barriers to work. Due to our continued growth we are looking to increase and diversify our Board membership. We are looking to appoint Trustees, no former experience is required as training will be provided. We are also looking to appoint a Treasurer a long with an experienced Chair of the Board. Role Description

Board Members are jointly and severally responsible for the overall governance and strategic direction of the charity, its financial health, probity of its activities, developing the organisation’s aims, objectives, and goals in accordance with the Constitution, legal and regulatory guidelines. All Board Members should be aware of and understand their individual and collective responsibilities and should not be overly reliant on one or more Members in any aspect of the governance of the charity.

Treasurer Specific Duties

• Liaising, where applicable with the CEO (or other appropriate member of staff)
• Supporting the Board to monitor the financial position of the charity
• Creating in conjunction with relevant financial senior instruments for the control of charity assets
• Ensuring that staff create sound financial instruments for the control of charity assets
• Advising on the financial implications the Charity's Strategic Plan
• Ensuring that the annual accounts are compliant with the current charities’ SORP
• Ensuring close working relationships with the internal audit team and any Committees of the Board
• Ensuring that sound financial management is maintained and ensuring expenditure is in line with the charity’s objects
• Acting as a counter signatory on charity cheques and any applications and receipts of funding (if mandated)

Trustee Duties

• Ensuring the charity complies with legislative and regulatory requirements and acts within the confines of the Constitution and its charitable objects.
• Acting in the best interest of the charity, beneficiaries, and future beneficiaries.
• Promoting and developing the charity to help it grow and maintain its public benefit.
• Maintaining sound financial management and control of the charity’s resources.

About the role

We are currently advertising for a Chair of Medaille Trust. The Chair will ensure the Charity is well-managed and governed, strategically focused, legally compliant, and accountable, whilst also supporting the board and management to achieve the Charity’s mission.

Key responsibilities:

• Leadership and Governance: The chairperson leads the board of trustees and line manages the Chief Executive Officer, ensuring that the Charity operates in line with its governing document, legal requirements, and charitable objectives. They help the board focus on strategic matters rather than day-to-day operations while maintaining oversight.

• Strategic Oversight: The chair ensures the board has regular access to information from the CEO and other key staff, to enable it to make key strategic decisions in the Charity’s best interests, including financial planning, resource management, and long-term goal setting. They help the board distinguish between operational issues and governance matters, keeping the focus on the bigger picture while ensuring they are aware of any risks or complaints the Trust and its management may face.

• Board Coordination and Development: The chair coordinates board activities, works with the secretary to set agendas, chairs meetings, and fosters a positive board culture. They lead trustee recruitment, succession planning, and ensure the board has the necessary skills and diversity to function effectively.

• Policy and Compliance: The chair ensures that appropriate policies and procedures are in place, that the Charity complies with relevant laws, and that reporting and accountability mechanisms are followed. They oversee delegations of authority to staff or committees and ensure these are documented and regularly reviewed.

• Representation and Advocacy: Acting as a figurehead, the chair represents the Charity externally, communicates with religious and other partners, and may on occasion, act as a spokesperson for the organisation.

• Support and Liaison: The chair often serves as a link between the board and the Charity’s CEO, setting objectives, holding regular meetings, questioning, conducting appraisals and providing guidance and support while respecting operational boundaries.

• Safeguarding: The Trust will respond to all safeguarding concerns or allegations that come to its attention. It does this through the implementation of its policies, practices and code of conduct. The Trustees are committed to ensuring this commitment is and remains at the centre of all the Trust’s work.

Location: Board meetings are held in London and occasional visits to Safe Houses across England

Time Commitment: Four Board meetings per year, regular meetings with the CEO, occasional 1:1 meetings with individual Trustees and representing the Charity at various events

We are working to provide refuge and freedom for survivors and fighting to see slavery in all its forms become a thing of the past. As a trustee, you will play a key role in shaping the strategic direction of the BDFA, ensuring strong governance, and helping to improve the lives of children, young people, and families affected by Batten disease across the UK.

The overall role of Treasurer is to maintain an overview of the organisation’s affairs, ensure its financial viability and ensure that proper financial records and procedures are maintained.

As our Treasurer, you will:

• Oversee, approve and present budgets, accounts and financial statements
• Assure that the financial resources of the organisation meet its present and future needs
• Prepare and present financial reports to the Board
• Ensure that appropriate accounting procedures and controls are in place
• Have oversight of and give guidance to BDFA Accounting & Financial Administration Officer
• Attend board meetings
• Present financial overview at the AGM

Ideal Background:

Fully qualified chartered accountant/financial qualifications and experience. Some experience of charity finance and fundraising.

Batten disease is a very rare genetic disorder that affects the brain and nervous system. Symptoms sometimes begin in infancy and sometimes later in childhood, after apparently normal early development. Occasionally it may start in adulthood. In individuals suffering from Batten disease, nervous system function steadily declines, causing a wide variety of neurologic problems, including loss of vision and seizures. The life expectancy of a child born with Batten disease can vary, depending on the form of the disease and the age of onset. Some children die in early childhood, while others may be able to live into their teens or twenties.

The BDFA was registered as a charity in 2001 and our mission is “to enable children and adults who are affected by Batten disease to live life to the full and to provide families with the care and support they need so that they do not walk this path alone.” The BDFA offers informed guidance and support to families and the professionals who work with them, as well as actively raising awareness, and promoting research into the management of Batten disease to improve patient care pathways and ultimately find a cure.

Challenge Adventure Group (“CAG” for short and the operating name of CAG Trust) is a voluntary youth organisation for Knowle, Dorridge and beyond aimed at boys aged 10 and above.

As our name suggests, we provide challenging, adventurous and fun activities and the D of E Award for young people in their leisure time. Taking part in fun experiential activities enables members to develop their physical and mental skills and capacities and reach their full potential of becoming positive, active and happy citizens.

Summary

CAG was formed in 2009 and became a charity, CAG Trust, in 2019.  You will be in charge of CAG’s kit which is kept at various locations, most of which is at the base in Bickenhill.  You will be responsible for advising,  sourcing, acquisition and logging of new kit and supplies and will ensure that it is in an excellent condition to be used for our trips and activities. A key responsibility of the Stores & Equipment Manager is to keep track of all inventory: signing it out for trips / activities and then back in when it is returned.  You will also determine how quickly supplies are being used, and when they may need to be replenished. You will also be responsible for ensuring the kit is repaired and is continually available for use. It is up to the quartermaster to understand what the situation may be and know when inventory is likely to be depleted based on any particular set of circumstances. 

Description

Responsibilities:

• Carry out an annual audit of the kit and liaise with the Treasurer and Secretary to ensure that the insurance is up to date.

• Research and advise the committee and leaders on options for new kit / kit replacement.

• Plan the replacement of old kit acquisition of new kit.

• Keep the storeroom secured, organised and in good order by ensuring everything is in the right place.

• Log out any items and keep track of who has them and where.

• Log in any items after they have been used and check them over for damage / wear and tear.

• Buy supplies to mend any broken items.

• Replace any items that are beyond repair.

• Ensure members / leaders to return kit once they have finished with it and it is returned in good order.

• Ensure that any lost / damaged kit is invoiced out to the member / leader.

• Coordinate kit availability with trip plans and funding / grants.

• Visit offsite venues to check kit stored elsewhere.

• Communicate frequently with the Group Leader and CAG Management Committee to keep them up to date.

The volunteer can partially work from home and will also be required to attend weekly Tuesday night club meetings at Bickenhill to run the store room.

Friends of Refugees London offers befriending and advocacy services to refugees and migrants - we are looking for an organised, friendly Volunteer Coordinator to help manage our volunteer programme, ensuring volunteers and clients have a positive experience from their first enquiry through to being matched and beyond. 

About the role 

This is a varied and rewarding coordination role that is pivotal to the charity’s work. You'll help guide volunteers through every stage of their journey with us, from initial enquiry through to them being matched with a client and throughout the befriending relationship. 

Working closely with our small, friendly group of trustees, you will be the main point of contact to keep our volunteer programme running smoothly through a mixture of administration, communication, and coordination. As a small charity, we're flexible and collaborative, and you'll have the opportunity to help shape how we grow. 

Key responsibilities 

• Respond to enquiries from prospective volunteers and help guide them through the application process.
• Assess volunteer applications and shortlist candidates. 
• Co-ordinate volunteer interviews with trustees. 
• Manage the volunteer onboarding process, including DBS checks, references and training invitations.
• Coordinate matches between befrienders and clients, with support from the wider team.
• Maintain accurate volunteer and client records using spreadsheets and online systems.
• Keep in regular contact with volunteers throughout their journey, answering queries, providing updates, and flagging any issues to the trustees. 
• Support the organisation of volunteer training sessions and other events as needed.
• Support the charity’s internal and public-facing communications.
• Help identify ways to improve our volunteer processes as the charity continues to develop.

PERSON SPECIFICATION
