About CoppaFeel!
CoppaFeel! are the UK’s only youth focused breast cancer awareness charity, and we’re on a mission to get every 18-24 year old checking their chest. We educate people on the signs of breast cancer and encourage them to check their chests monthly, so that if they notice something unusual they are empowered to contact their GP and advocate for themselves.
We do this because when diagnosed early, breast cancer treatments are more effective and survival rates are higher. Early detection can save lives.
Breast cancer does not need to be detected late, and as long as we are here and continue to be supported by people like you, we will do all we can to make sure this doesn’t continue to happen.
The Role
CoppaFeel! is looking for a Health & Services Assistant to provide day-to-day administrative and coordination support across our health and services work.
Sitting within the Education Team, this role will work closely with the Health & Services Manager and Health & Services Executive to support the delivery of CoppaFeel!’s portfolio of resources, materials and reminder services. They will support the smooth running of health engagement activity, systems and processes and champion equity, diversity and inclusion across health engagement work.
This role focuses on administrative tasks, supporting the wider team to deliver impactful work while developing skills and experience within the charity and health sector.
This role will sit within the Education team and report to the Health & Services Manager.
Duties and Responsibilities
Administrative and coordination support
- Provide day-to-day administrative support across health and services activity, including data entry and document management.
- Support the coordination of health and services activity by maintaining systems, calendars and records.
- Assist with the set-up and administration of programmes, initiatives and projects led by the Health & Services team.
- Assist with collecting and logging feedback and data to support impact reporting.
- Maintain accurate and up-to-date records of Education Team contacts on the CRM.
- Support with processing expenses and basic tracking of department expenditure
Health Information, Resources and materials
- Provide support with developments to new and existing health information.
- Provide administrative support for the development, promotion and distribution of CoppaFeel!’s portfolio of resources.
- Organise and collate resources and materials for events and activities, liaising with the Operations team to manage storage and stock.
- Act as a first point of contact for education and healthcare materials enquiries, processing requests and orders.
- Correspond with key external stakeholders in the development and promotion of our resources.
- Support with the administration and day-to-day running of CoppaFeel!’s SMS reminder service.
- Supporting with reviewing and updating resources, materials and health information.
Events and communications support
- Assist with the set up of healthcare professional events and webinars, both in person and online when necessary.
- Co-ordinate deliveries and postage from the CoppaFeel! office.
- Attend healthcare and service delivery events to promote CoppaFeel!'s work.
- Support the scheduling of newsletters, social media and routine communications.
- Coordinate responses to general health and services enquiries, escalating more complex issues where needed.

About this job
The MS Society has made a huge investment in technology to implement a new CRM system to enable us to improve in use of our data and to streamline contact with the MS Community, including Services, Fundraising and directed communications. This is the Organisation’s key, central system.
90% of all funding for the charity is processed through the CRM system including Gift Aid, regular giving and special events, Direct Debits. This role is critical and responsible for the end-to-end processes working and, therefore, the income being processed and collected in a timely fashion.
The role will be part of a CRM team responsible for managing and supporting functionality and data integrity within the CRM system. The role is also responsible for managing key internal and external relationships at all levels.
The role is also responsible for delivering the 1st, 2nd line support of the CRM system as well as building import templates, workflows and that data within is clean, accessible and available.
The successful candidate is expected to be an expert in their field.

General Overview
FearFree delivers services across the Southwest for victims, children and perpetrators of domestic abuse, sexual violence and stalking, with the aim to break the cycle of abuse and support all to live free from fear. We provide trauma responsive support, and this post will be fundamental to ensuring service users, stakeholders and partners experience this in our daily delivery.
The aim of the Interpersonal Trauma Response Service is to improve the health, wellbeing and safety of people who have been exposed to trauma arising from sexual violence and abuse and/or domestic abuse.
You will work across a specified number of GP practices across South Devon, to offer support to health professionals working in practices, people who have experience of interpersonal trauma arising from sexual violence and abuse and/or domestic abuse, as well as a service for people at risk of perpetrating abuse.
You and the team will provide training to GP surgeries to improve identification, enquiry, and response for patients. You and your team will also support adults and children who have been impacted by interpersonal trauma with emotional and practical support, focusing on trauma stabilisation. The team will be responsible for facilitating timely access to further appropriate support services where needed.
FearFree is committed to flexible and hybrid working and this role will be a mix of home based with requiring travel to GP practices and for multi-agency meetings and other deliverables. Occasional travel to the FearFree office in Exeter and other locations will also be required.
This role may include evening and weekend work when required.
Key Responsibilities
- To provide specialist, individual and needs-led domestic abuse and sexual violence advocacy and support to patients who are or have experienced, who are referred from participating practices or self-refer, and to provide onward referrals where appropriate.
- Provide direct assessment, casework support, advice, information, and advocacy through telephone contact, and/or meetings at the relevant practice.
- Provide support to increase people’s personal safety, and that of any children, and inform them of their rights and options in terms of housing, legal and welfare rights.

- Provide in-house training and refresher training for general practice teams on understanding, recognising, and responding to DA and SV.

- Deliver DA and SV training to clinicians and non-clinical staff in participating general practices.

Role Description
Given the part-time nature of the role, priorities wi l be agreed weekly with the Service Manager. Core tasks revolve around CRM/data quality and referral administration. Other duties wi l be delivered by agreement and as capacity alows, so the role remains sustainable and the “must-do” work is completed reliably.
Key Responsibilities
CRM implementation, data quality, workflows and reporting
- Phase focus (first 6 months): Prioritise supporting the implementation and embedding of Cimplify CRM system, including data clean-up and migration, establishing clear ways of working, templates and workflows, as well as supporting the team to use the system consistently and confidently.
- Act as a day-to-day CRM and data champion, supporting staff with basic questions and liaising with the CRM supplier as needed.
- Support data migration and clean-up from spreadsheets and other systems into the CRM, checking accuracy, removing duplication and improving consistency.
- Maintain strong ongoing data quality and housekeeping (e.g. naming conventions, minimum data standards, duplicates, retention/archiving, configuration items, managing users).
- Help design and maintain efficient workflows and light-touch automations (e.g. referral tracking steps, reminders, task prompts, fo low-ups), reducing manual admin and improving consistency.
- Create and maintain dashboards and reporting views for different audiences (service team, CEO, trustees, funders) ensuring data is kept up to date and usable.
- Support the regular flow of insight into team meetings and contribute data/metrics for funder and annual reports in colaboration with the Service Manager, fundraisers and the CEO.
Referrals and service administration (trauma-informed)
- Provide practical programme admin support to the service team, as and when possible.
- Monitor shared inboxes, triaging messages, forwarding appropriately and supporting timely, sensitive responses and follow-up.
- Track referrals and service workflows: scheduling calls/meetings, sending emails, using templates and maintaining accurate records.
- Keep mailing lists up to date (including referrer communications where relevant) and send programme updates as required.
- Maintain confidentiality and handle sensitive information with care, following data protection and safeguarding procedures
Systems, documents and office administration
- Maintain clear filing and information systems (digital and paper), ensuring documents are easy to find and consistently stored.
- Support upkeep of key internal documents and templates (e.g. guidance notes, handbooks, simple policy documents), keeping versions tidy and up to date in colaboration with the Service Manager.
- Arrange meetings and room bookings; take minutes and maintain simple action trackers.

Personal Specification
Essential experience and skills

General Overview
FearFree delivers services across the Southwest for victims, children and perpetrators of domestic abuse, sexual violence and stalking, with the aim to break the cycle of abuse and support all to live free from fear. We provide trauma responsive support, and this post will be fundamental to ensuring service users, stakeholders and partners experience this in our daily delivery.
The aim of the Interpersonal Trauma Response Service is to improve the health, wellbeing and safety of people who have been exposed to trauma arising from sexual violence and abuse and/or domestic abuse.
You will work across a specified number of GP practices across North Devon, to offer support to health professionals working in practices, people who have experience of interpersonal trauma arising from sexual violence and abuse and/or domestic abuse, as well as a service for people at risk of perpetrating abuse.
You and the team will provide training to GP surgeries to improve identification, enquiry, and response for patients. You and your team will also support adults and children who have been impacted by interpersonal trauma with emotional and practical support, focusing on trauma stabilisation. The team will be responsible for facilitating timely access to further appropriate support services where needed.
FearFree is committed to flexible and hybrid working and this role will be a mix of home based and requiring travel to GP practices and for multi-agency meetings and other deliverables. Occasional travel to the FearFree office in Exeter and other locations will also be required.

Key Responsibilities
- To provide specialist, individual and needs-led domestic abuse and sexual violence advocacy and support to patients who are or have experienced, who are referred from participating practices or self-refer, and to provide onward referrals where appropriate.

This is an exciting opportunity to join the Client Services Team which operates within Helen Bamber Foundation’s vibrant, multi-disciplinary team. The duties of a Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to assist with overseeing the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation.
The role will work closely with the Office Manager and Appointments Lead as part of the Client Services Team. You will be at the heart of an exciting team of experts, working as the face of Helen Bamber Foundation and the first point of contact for both external and internal queries.
MAIN DUTIES AND RESPONSIBILITIES
RECEPTION FUNCTION
· Greet clients and visitors and fielding a wide range of queries (in-person, on the telephone, via e-mail and WhatsApp) in a timely manner;
· Ensure all site visitors and staff sign in/out using our Visitor Management System
· Handle the charity’s post ensuring that the appropriate persons receive it daily
· Deal with Walk ins in line with the charity’s policy

We are looking for two dedicated and passionate Advice and Information Worker to join our team based in Hatfield! You will be the first point of contact for anyone needing to access the ‘hyh hub’ and will ensure that all referrals are triaged to identify the most effective pathway for support. The worker will deliver accurate advice and information to young people, parents and professionals, and work undertaken in a coordinated timely manner. You will carry out appropriate assessments, with other agencies where needed, to assess the needs of the family to prevent family breakdown and homelessness.
