We're looking for a motivated, focussed and attentive operations professional to join our team, managing and maintaining the organisational processes of the charity. This is a one year, fixed contract role, with the aim of moving to permanent, subject to funding constraints.

Role Overview

The Operations Manager will be responsible for ensuring the smooth, efficient, and compliant day-to-day operations of Glitch, enabling the effective delivery and adherence to policies and regulation for the charity and team. The role holder will be the charity's data protection officer; they will meticulously ensure we remain fully compliant with all relevant charity regulations, maintaining our integrity and trust with regulatory bodies, funders and donors, and our supporters. This role will also serve as the Board Secretary, attending Board of Trustees meetings 4-6 times a year, taking minutes and managing the process of all documentation for the Board. As the Operations Manager, you will work closely with the Executive Director and our Finance Director in recruitment and hiring, finance and administration, and events support. This role requires some travel.

Our ideal candidate will have experience working with/in small, 100% remote charities; small SMEs; or, nonprofit or nongovernmental organisations. For this role, we are seeking candidates based in the UK, and they will need to provide evidence of their right to work in the UK.

Key Responsibilities

Operations management

• Oversee the charity’s administrative functions, including triaging the general inbox, scheduling team meetings and other ad-hoc administrative work in supporting the ED in running the day-to-day of the charity 

• Maintain and improve existing operational systems and processes including information systems

We are the UK's first Black and Ethnic Minoritised (BEM)-led impact investment wholesaler, dedicated to catalysing opportunities for Black and Ethnically Minoritised communities across the UK. Role Summary

The activities of the Programme Manager are key to the deployment of Dormant Assets funding, in alignment with Pathway Fund’s strategy 2026-2029. Reporting to the Head of Programmes, you will act as an operational lead for the Programme team. In this role, you will build upon and embed the existing structures for end-to-end delivery of Pathway’s funding programmes and oversee the effective management of our investment portfolio, ensuring continuous improvement, timely delivery, high-quality outputs, and robust monitoring, evaluation, and learning. Victim Support Casework Team Lead

About NUM:

National Ugly Mugs (NUM) is a UK-wide charity which delivers a holistic safety, wellbeing and economic support model for sex workers, combining digital harm prevention, specialist casework, mental health support and pathways to economic stability. Activities are delivered UK-wide via a digital platform, remote services, and in-person hubs. We run a wellbeing drop-in service in Glasgow and other in-person services and events in Manchester and London. We have developed Vocational Support Services for those exploring careers both in and outside of sex industries and we run a Racial Justice project and Youth Justice project that makes visible the lived experiences of harm among racialised and young (18-25) sex workers towards systems change. 

NUM values those with lived experience in sex industries and work with them to shape services and responses, conduct research, develop education packages, and participate in policy advocacy to change the conditions that lead to survival sex work, gain rights and recognition, and improve the safety of UK-based sex workers. 

Background and Responsibilities:

The casework team is at the heart of NUM. We provide vital support from assistance through the criminal justice journey to essential emergency financial support. We are looking for a Casework Team Lead to lead our casework team. If you are driven, have a keen eye for detail, can effectively motivate others in a demanding and emotive area of work with the ability to support people in an empathetic and trauma informed way then this could be the role for you. 

This role will specifically focus on the day-to-day running of the casework team alongside carrying your own caseload. The work involves utilising and monitoring our digital platform and CMS maintaining and monitoring the documentation of cases and coordinating responses to ensure sex workers received the high standard of support they deserve, to prevent and recover from violence as well as seek justice and recourse. The Victim Support Casework Team Lead is responsible for maintaining high standards for all digital, individualised and in-person support provided by the casework team. All responsibilities can be grouped under five umbrella categories. The successful candidate will evidence suitability for the role based on the strength areas below:

1) Management: Manage the operations and administration associated with victim and vocational support casework. 

2) Leadership: Lead and motivate the team of national case workers towards service excellence. The best leaders can also be led. The successful candidate will value the lived and learned experiences on the casework team and ensure that everyone works to their strengths and strives for the best outcomes for sex workers. 

3) High Standards: Support good performance and quality outcomes for sex workers.

4) Creative and Innovative: Ability to strategise and problem-solve. Sex workers experience forms of violence before and after accessing support. At NUM, our principle of 'Sex Workers First' means that we work with them to achieve the outcomes that they desire. Sex workers are in control of their healing and recovery, and it will be the successful candidate's job to ensure that lives are improved as a result of contact with NUM. 

5) Well-being Focused: Provide care for the health, safety and welfare of the case work team and the sex workers we serve. 

Day-to-day tasks include but are not limited to the following.

• Managing your own caseload, providing individualised support to sex workers alongside your leadership role ensuring that sex workers are put at the forefront of all services offered. Maintaining our high standard of support.

• Continued monitoring and development of the NUM platform backend functions to find efficiencies and boost productivity. Develop and update Standard Operating Procedures (SOPs) based on new policies and service priorities, new platforms/ procedures, and new innovations or services. 

• Problem-solving to ensure the smooth and efficient operations of the casework team eg, managing resource and rota’s including leave and absences, delegation of task where appropriate to the casework team.

• Audit overview and quarterly reporting to Operations Manager with responsibility for data management and the production of case studies. 

• External communications with practitioners to ensure best practice of utilising NUM service, promoting NUM membership where possible and attending external meetings as a NUM representative where required. 

• Host or contribute to the ongoing meetings of the National ISVA/SWISVA forum and continue to foster useful and productive spaces for SWISVAs (specialist sex work ISVA’s) throughout the UK to share experiences, insights towards delivering quality support services to sex workers with maintaining high service standards and prioritising self-care. 

• Deliver weekly operations meetings, keep them short and concise to discuss operational updates NUM wide/internal. Analyse statistics and case work trends and discuss any issues or take aways with the Operations Manager to inform Casework Team strategy.

• Communicate and collaborate with other work streams and projects at NUM. Contribute to organisational priorities and support initiatives that strengthen National Ugly Mugs’ overall impact. 

• Lead 1-2-1 check-ins and appraisals with staff, acknowledging individual and team success in appropriate ways, motivating the team and resolving conflict and managing team dynamics (with support where needed).

• Onboard and train new members of the casework team.

PERSON SPECIFICATION

Essential Skills and Experience

• Demonstrable casework skills, with experience in delivering advice, information, emotional and practical support and advocacy in partnership with health, wellbeing and criminal justice outcomes for individuals who may have experienced traumatic events.

• Experience managing a team, providing line management support, and managing rotas and team resources.

• An understanding of coordination responsibilities and the requirements of middle management in a fast-paced and ever-changing environment.

• Qualified ISVA or relevant casework support experience.

• Strong interpersonal skills and an ability to work with multiple partners on complex cases.

• Excellent administrative and organisation skills, able to manage both your own and other people’s workloads effectively.

• An understanding of Equal Opportunities, the diversity of sex workers and the impact of criminalisation, stigma, and marginalisation on sex workers and a team comprising those with lived experience.

• Effective communication skills and the ability to deliver training, guidance, advice and support to a diverse range of stakeholders to promote best practice in relation to supporting sex workers when they’re victims of crime.

• Experience of using online communication tools, CMS (Oasis), google workspace, MS suite, slack and other digital platforms to maximise efficiency and productivity of your own casework and that of the casework team. 

• Experience of dealing with internal and external complaints and having difficult conversations.

• Strong empathic and active listening skills.

• Willingness to undertake continued professional development. 

Desirable:

• Experience of the sex work community.

• Experience completing detailed reports on workstream productivity, both statistically and in written form.

• The ability to understand local, regional and national policy and evidence-based research in relation to community safety, health and social inclusion.

• Ability in languages other than English is beneficial but not required.

• Ensure all current and ex staff records are up to date and stored appropriately including contracts and job descriptions.
• Support line managers by ensuring that recruitment, induction, employee development and performance management are carried out in line with SMK policies and procedures.
• Regularly review and update HR policies such as the SMK handbook, in collaboration with our external HR support, and be a point of contact for the team to raise any queries or concerns.
• Manage the Breathe HR system for all types of leave. Monitor team’s absences and be a point of contact for team wellbeing.
• Oversee the organisation of the annual Team Away days and any other team strategic planning days.

Compliance and Risk

• Ensure SMK operates in line with legal and regulatory requirements, seeking external expert support where necessary.
• Work with SMK’s CEO to ensure policies and procedures are reviewed on a regular basis.
• Work with the CEO to ensure SMK is compliant with health and safety practices, GDPR, safeguarding and stays up to date with changing regulation.
• Ensure SMK’s insurance is up-to-date and covers the correct requirements.
• Maintain awareness of risks and changes in the external environment that may affect SMK, managing a risk register to capture the risks and actions to be taken to mitigate them.
• Support staff across the organisation to complete risk assessments where necessary and take responsibility for signing these off in line with our policies.

Office Admin

• Be the first point of contact with the office landlord.
• Look after the photocopier, stationary and other office requirements.
• Be responsible for incoming / outgoing post (when in the office).
• Book meeting rooms and desks for team meetings on Mondays.

IT and Information Management

• Manage the relationship with SMK’s IT service providers.
• Support the team with IT requirements.
• Implement the IT and Cyber Security policy and regularly review and update, providing/signposting staff training where necessary.
• Take a broad overview of systems within SMK, reviewing them and ensuring that they are fit for purpose, including the CRM.
• Lead on ensuring SMK’s digital and offline files are up to date, organised, and stored correctly on SharePoint.

Finance

• Support CEO in liaising with SMK’s accountants, with day-to-day bookkeeping and account management
• Collect and file monthly Credit Card receipts and invoices and share with SMK’s accountants.
• Ensure finance policy and procedures are up to date and answer finance-related queries from the team as required.
• Complete and manage client supplier forms.
• Track the progress of the annual audit and coordinate with the appointed auditors and external accountant.

About you

Having worked in a similar role, you’ll display a proven ability to create, implement or update systems that will increase the organisation’s operational efficiency. You are organised and methodical, with an excellent eye for detail and an understanding of bigger picture joined-up systems. You are able to manage and prioritise a busy and diverse workload, with support from your line manager. You’re responsive, approachable, and will have a solid overall understanding of how organisations work at every level.

You are able to operate in a small interdependent team in the heart of the campaigning community where relationships based on trust.

Essential

• A minimum of 2 years’ experience in a similar role, ideally within the charity sector.

• Extremely organised, with high levels of accuracy and attention to detail demonstrated by excellent record keeping and information management skills.

• Excellent written, interpersonal and communication skills

• Excellent project management skills, with the ability to manage your own workload effectively, maintain flexibility and take the initiative when required.

• Good financial literacy, with a working knowledge of budgets and finance systems.

• Experience of supporting charity Boards and working with trustees, preparing papers, accurate minute taking, overseeing action logs and responding to enquiries. And a working knowledge of charity governance requirements and reporting.

• Experience of leading recruitment processes including creating job packs, promotion, shortlisting and communications to applicants throughout the cycle.

• Experience of drafting, reviewing and implementing organisational HR policy and procedures (HR expertise is provided by an external provider) and working with HR systems (we use Breathe HR)

• Basic training in risk management with experience of writing and implementing risk assessments.

• Good understanding of organisational health and safety requirements, including safeguarding and the knowledge and confidence of how to seek further advice and information when required.

• Experience of negotiating with and supervising third-party suppliers and contracts.

• Excellent IT skills with ability to use Microsoft Office to a high level and support others to do so.

• Experience of general administrative support including logistics, travel and events.

• Experience in CRM database management, preferably Salesforce, and a proven ability to handle and analyse data, and produce reports.
