Rays of Sunshine, recognised in The Sunday Times Best Places to Work 2026, is looking for an experienced and proactive Executive Assistant to the CEO to join our small, ambitious and collaborative team.
This is a varied part-time role at the heart of the organisation, working closely with the CEO to provide high-quality executive support and help coordinate governance, projects, organisational priorities and key operational activity.
You will be joining Rays of Sunshine at an exciting point in our development, with a clear focus on strengthening how we work, delivering our ambitions well and continuing to grow our impact for seriously ill children and their families.
This is much more than a traditional diary-management role. You will work closely with the CEO across a broad range of priorities, helping to create structure, maintain momentum and ensure important actions are followed through. The role will involve coordinating meetings, briefings and actions; supporting Committee and governance processes; helping to keep key organisational projects on track; and providing practical support across operational activity.
You will also play an important role in the wider rhythm of the organisation, helping to coordinate team meetings, collaborative sessions, away days, staff engagement activity and actions arising from staff feedback.
We are looking for someone who is highly organised, calm under pressure and confident working independently. You will need excellent judgement and absolute discretion, with the ability to handle sensitive and confidential information appropriately. You will be someone who can anticipate what is needed, take ownership of tasks through to completion and build strong relationships with colleagues, Trustees, advisers, partners and suppliers.
Our team is small, values-led and ambitious. We value collaboration, kindness, accountability and a willingness to get stuck in. Because of our size, everyone has a visible impact, and this role will suit someone who enjoys being at the centre of an organisation, understands how to keep things moving and takes pride in doing the small things exceptionally well.
Experience in governance or the charity sector would be helpful but is not essential. We are more interested in finding someone with strong EA or senior coordination experience, excellent judgement and the ability to bring structure and pace to a busy environment.

The Role

This is an essential car user post. The applicant must hold a current UK driver’s licence, with no more than 6 points, have access to a car and be able and willing to drive UK wide as required.
This senior role requires flexibility in working hours and location. It is primarily offered on a hybrid basis with a minimum of 2 days in our Amersham, Buckinghamshire, office each week. As part of the role, UK and overseas travel is necessary, which may on occasion include early morning and/or evening working and sometimes overnight stays. The Environmental Funders Network (EFN) is a community of funders, philanthropy advisers, and fundraisers working together to transform environmental philanthropy and support more impactful funding for the environment in the UK and around the world. Through its research, networks, convening and programmes, EFN helps the environmental funding community to learn, connect and act effectively together, strengthening collaboration and increasing the scale and impact of environmental funding.
EFN is now seeking a new Executive Director at an important moment. Environmental philanthropy has grown significantly, creating a larger and more diverse funding community and real opportunities for greater impact. At the same time, environmental action and those who fund it are operating in an increasingly complex and contested political and public environment. The Programmes Executive plays a central role in making our weekly Drop-in a welcoming, well-organised and valuable space for homeless and vulnerably housed adults.
The Drop-in is the primary focus of this role. It is a hands-on operational and frontline position, with responsibility for helping the Drop-in run smoothly from preparation through to close. This includes managing deliveries and donations, ensuring the venue and kitchen are properly set up, organising resources, coordinating and briefing volunteers, working with security and overseeing the practical flow of the evening.
The role is about more than logistics. The Executive will be a key guiding presence in the space, helping to shape its structure, atmosphere and culture. They will be visible and approachable, build positive relationships with guests, anticipate and manage issues, support volunteers and help ensure that the Drop-in is calm, welcoming, safe and respectful.
The Executive will also listen to what is happening on the ground, identify what is working and what could be improved and feed this back to the wider team. They will help guests understand and access relevant RESTART LIVES programmes and opportunities. They will be an important part of the Programmes team, supporting essential data and reporting, researching and sourcing facilitators, helping with programme logistics, contributing ideas for new activities and opportunities for guests and attending selected sessions. As part of this, they will run or help to run some activities such as Zumba, film club and board games before the main Drop-in service. These provide another opportunity to build trusted relationships with guests and encourage engagement with wider support.

About the role
Following the launch of our new strategic approach, our Operations and Membership Lead will provide the operational, financial and administrative backbone of the organisation — keeping our finances and governance on track, and coordinating our network of over 70 member organisations.
Finance, operations and governance (70%) — manage bookkeeping in QuickBooks, coordinate banking, prepare management accounts, support grant financial reporting, maintain internal systems (SharePoint, IT), lead on policy compliance (safeguarding, GDPR, health and safety), and support Board governance and statutory filings.
Membership coordination (30%) — manage the end-to-end membership process from enquiries to renewals, coordinate member surveys and data, and organise our events — quarterly member meetings, roundtables and webinars.

About you
You have experience in an operations, finance or administrative coordination role within a non-profit or membership organisation, including managing the full financial cycle within a charity and a working knowledge of charity fund accounting. Executive support to the CEO
· Provide administrative support to the Gestalt Centre CEO, ensuring effective diary management, scheduling, and administration of commitments.
· Organise and coordinate meetings, including supporting the drafting of agendas, collating papers and ensuring all necessary information is available in advance.
Leadership and governance coordination and support
· Coordinate Leadership Team, Board and sub-committee meetings, ensuring smooth end-to-end administration.
· Prepare, collate and circulate papers, working with the CEO and Leadership Team to ensure accuracy and timeliness and maintain good records.
Workstreams and projects coordination
· Coordinate and support projects and workstreams led by the CEO, including the short courses programme, marketing campaigns, organisational policies, business development and fundraising activities.
· Act as a central point of contact for cross-team activities and support priority initiatives by coordinating meetings, actions and follow-ups.
