Job Summary
To manage and ensure control of the funding, financial and corporate resources of the Charity to ensure a financially secure service, delivering value for money.
Work with the Co-Directors to advise and develop the financial strategy, model new projects, prepare annual and project budgets, and report on financial performance, contributing to the overall future strategic direction of the Charity.
Manage the day-to-day finances for the Charity. Ensure all aspects of the financial systems are accurate and up to date, including banking, sales and purchase ledgers, payroll and cash management.
The postholder is expected to foster excellent working relationships with all staff, volunteers, senior colleagues and trustees.

Regularly review and maintain financial policies and procedures.
Review the monthly reconciliations carried out by the SFAO thereby ensuring all transactions are properly and efficiently recorded.
Oversee the management and appropriate allocation of Restricted Funds, ensuring the monies are allocated according to the donor’s wishes and ensure that records are always maintained
Regularly review and make recommendations for improvements to financial controls and ensuring methods are documented and made clear to staff.
Support with funding bids and reports back to donors
Management of all charity bank accounts, acting as authorised signatory with Banks
Payroll, Pensions and Tax Management
Supervise the payroll process carried out by SFAO
Responsible for the effective management Charity’s Pension Scheme
Ensure payments to HMRC are made accurately and on time, and ensure all available allowances are claimed.
Budget Process Management
Take the lead on preparing the Annual Budget, working closely with SLT to capture all spending plans Develop and run a process which is thorough, consistent and inclusive of all managers.
Alongside the Co-Director, present the Draft Budget to Board for approval
Present monthly management accounts and Cost Centre reports for all managers
Work closely with all SLT to ensure they fully understand their budgets and ongoing organisational performance against budget
Monitor variations against spend and integrate within an overall Cashflow analysis
Recommend corrective actions to Co- Directors and/or Board as necessary
Statutory Reporting & Charity compliance
Act as lead member of staff with the Charity’s Auditors
Oversee the preparation of the Annual Accounts plus any supporting papers required to enable an efficient and effective annual audit to take place
Maintain fixed asset register and inventory of all equipment contracts/agreements
Ensure the Charity is fully compliant with statutory bodies and key external institutions, and act as lead on behalf of the charity with the following bodies:

Develop, update and produce long term cashflow forecasts to evidence that the Charity can operate as a going concern.
Provide up-to-date dashboards and reports of the financial position, projections and scenarios, considering the financial implications of alternative business models, advice on new and current business income generation initiatives and analysis of financial risk and performance.
Work with the Co-Directors, to ensure that the appropriate processes are in place for the long-term financial viability of the charity, advising on the financial consequences of proposed actions
Governance support to FING Committee and Trustees
Assist the Chair of FING Committee (Treasurer)
Prepare all associated papers and minutes
Prepare finance papers for Treasurer to deliver to Board of Trustees
Attend Board of Trustees meetings and present information as requested

Postholder to adhere to their relevant Code of Ethics as laid down by their professional body, being mindful that adherence to the code takes precedence over charity policy and practice should a conflict ever arise. [NB Sections A + C of the current professional code are applicable.]
Keep abreast of financial developments across the charity sector and ensure any opportunities for tax reliefs, cost reduction, value for money and more effective systems are seized as appropriate.

The donor experience & stewardship manager will report to the head of fundraising operations & strategy.
We are seeking a creative and driven donor experience manager to join our team on a permanent basis. Working alongside members of the wider team, you will lead on creating and delivering a gold-standard experience for major donors supporting the Royal Free Charity, showcasing the impact their support has across our hospital sites. Each year the Donmar raises around half of its annual income from fundraising, from a combination of individual supporters, corporate partners, and trusts & foundations. The Development team is formed of 11 individuals and Individual Giving is responsible for around half of the Development target.
The Senior Individual Giving Manager plays a vital role, delivering excellent customer service to individual supporters; leading on planning and delivery for the Donmar’s membership scheme; building, developing and maintaining relationships with Patrons up to £6,500, as well as looking after their own portfolio of Major Donors, securing gifts towards our productions and participation programmes.
Working closely with the Head of Philanthropy, this role is also responsible for the smooth and efficient running of the Individual Giving team, working with the Membership Officer and Development Assistant (Individual Giving) to establish processes, and overseeing internal and external communications; building and maintaining a prospect and upgrade pipeline, and leading on the delivery of campaigns. This is a key role overseeing both the day-to-day operation and strategic development of the Philharmonia’s Box Office and CRM function. The successful candidate will play an important role in developing ticketing and customer strategies that maximise sales income, improve conversion and enhance the audience experience.
As a public facing member of staff, the Box Office and CRM Manager will be a key representative of the Orchestra, ensuring customers receive a welcoming, efficient and accessible service whether booking online, by phone or in person. Develop customer journeys, audience segmentation and data-led approaches that improve conversion, retention and engagement across the customer lifecycle
Support the development of sales forecasts, benchmarks and performance analysis, providing insight to inform campaign planning, pricing and decision-making
Work with Marketing colleagues to develop and implement promotions, campaigns and tracking mechanisms
Identify opportunities to improve efficiency, increase conversion and enhance the customer experience through CRM optimisation, automation and process improvements
Ensure CRM processes, reporting and audience data support the Orchestra's strategic priorities and audience engagement goals

Project Management:
Oversee the day-to-day operation of the Philharmonia's Box Office across all performances and events
Lead ticket sales activity across all channels, ensuring a smooth and efficient booking experience for customers
Act as a senior point of contact for customer enquiries, complaints and complex ticketing issues
Lead on set up and implementation of new seasons, events and sales activity
Ensure events, pricing structures, memberships and ticketing offers are accurately implemented and maintained within Tessitura
Maintain high standards of data accuracy and integrity across Box Office and customer records
Review and improve Box Office procedures and customer-facing processes to support operational efficiency and customer satisfaction
Champion accessibility across all ticketing and customer service activity
Leadership & Management:
Work with the Senior Data & Audience Insight Manager as Tessitura co-lead for the organisation, helping to shape CRM best practice and development
Develop and deliver training for staff across departments to ensure confident and effective use of Tessitura and Box Office activities
Create and maintain clear documentation, processes and guidance to support the consistent use of CRM systems across the organisation
Ensure organisational compliance with relevant legislation and industry standards, including GDPR, PCI and data protection requirements
Keep abreast of developments in Tessitura, CRM, ticketing and audience engagement through professional networks, training and sector events, sharing knowledge and recommendations across the organisation
Champion best practice in customer service and audience experience, promoting a culture that prioritises welcome, accessibility and continuous improvement
Skills and Qualifications
Essential
Minimum three years' experience in a CRM, ticketing, audience data or related role
Advanced knowledge and practical experience of Tessitura
Experience managing and maintaining CRM systems and customer databases
Experience producing audience analysis, reporting and business insight
Strong understanding of customer relationship management principles
Excellent attention to detail and commitment to data accuracy
Strong analytical and problem-solving skills

Working closely with the senior high value insight & experience manager, the high value insight & experience manager will help develop a consistent approach to gathering and using insight, shaping engagement across both everyday activity and campaign delivery. The role will collaborate across teams to ensure supporter-facing activity is aligned, high quality and insight-led.
The high value insight & experience manager will play a hands-on role in delivering cultivation, stewardship and recognition activity - supporting events, experiences, communications and key supporter touchpoints. This includes developing a strong suite of engagement opportunities for high value audiences and helping ensure supporters feel valued, recognised and connected to the impact of their support.
