This role is central to the smooth running of our new regional programme. As Programme Coordinator, you’ll work closely with the Programme Manager to support delivery, coordination, communication/engagement and administration.

As a Database Administrator you will help manage one of our biggest investments, our Fundraising CRM. Reporting to the Database & Insight Manager, you will play a key role in ensuring our fundraising database is effectively maintained and up to date.
You will assist with the administration and processing of donations, month end reconciliation, gift aid processing, and maintaining database records. You will manage day to day support and improvement of the database by completing regular housekeeping tasks that ensure data integrity and consistency is maintained.
The person will:
· Process income on the CRM database from a variety of sources, including online platforms (LHC website, JustGiving, Give as you Live, etc.) and BACS donations.
· Maintain accurate Gift Aid information and help prepare data for Gift Aid claims.
· Utilise Microsoft Excel to manage the import and export processing for internal and external data sets.
· Assist with monthly financial reconciliation support as needed.
· Ensure high standards for all supporter data entry and help to ensure data is kept accurate and up to date on the CRM with a focus on supporter preferences, change of addresses, etc.
· Ensure we are compliant with the UK's data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
The successful candidate will have:
· Previous experience working with data management using CRM systems.
· Excellent IT skills and be confident and proficient in working with Excel, Word, Publisher, PowerPoint and CRM systems.
· Have an excellent understanding of marketing consent and GDPR
· Have a resourceful and logical mind with great attention to detail and high standards of accuracy

SCOPE OF WORK
1. Grantmaking Due Diligence & Onboarding
-
Coordinate the collection, review, and secure storage of due diligence documentation from prospective grantees.

Assist with risk screening checks and internal reviews in alignment with Purposeful’s grantmaking policies.

Prepare grantee onboarding documentation, including grant agreements and orientation materials.

Track submission of required onboarding documents (e.g., bank forms, MoUs, safeguarding policies).

Monitor and keep track of the grants due for payment.

Respond to grantee and applicant inquiries and proactively update them on the status of their grant awards.
2. Grant Compliance & Documentation

Monitor compliance status of all active grants, flagging outstanding requirements and follow-up needs.

Ensure that compliance-related deadlines (e.g. reporting dates, grant conditions) are met and documented.

Maintain clean, well-organised, and accessible digital grant files, using existing tools or systems (e.g., Google Drive, Netsuite, Salesforce, etc.) to ease retrieval and generation of reports.

Support internal checks to ensure that funds are disbursed in line with compliance protocols and funding agreements.
3. Finance Coordination

Liaise with the finance team to prepare and verify payment documents, banking instructions, and payment schedules.

Support alignment between grant budgets and payment disbursements.

Track the movement of funds across grants, ensuring appropriate documentation is in place for each transaction.
4. Donor & Internal Reporting

Assist in preparing compliance-related sections of donor reports and internal grantmaking summaries.

Track reporting obligations by donor or partner, and ensure all documentation is collected and filed on time, including any relevant country-specific compliance requirements.
5. Audit & Policy Support

Prepare documentation for internal and external audits, including sampling, document summaries, and data extractions.

Assist in developing and maintaining internal tools (templates, checklists, trackers) related to grant compliance.

Contribute to ongoing improvements in Purposeful’s compliance systems, bringing in lessons learned and audit feedback, and emerging regulatory or legal considerations relevant to our work.

In this role, you’ll work closely with and report to our Digital Manager to support the delivery of our digital strategy and improve how we track and measure our impact. You’ll help maintain and enhance our digital tools, particularly Salesforce, and use data insights to improve how we engage with charities, volunteers and under-represented talent. Key Skills and Experience:
We don’t necessarily expect you to have any specific qualifications for this role; instead, we’re seeking someone who can demonstrate the following skills.

Demonstrable passion for digital, with two to three years’ experience in digital or a related field

Excellent organisational skills, with the ability to prioritise tasks, manage multiple projects, and meet deadlines

We are seeking a highly motivated part-time Data & CRM Officer to lead the implementation and ongoing development of our new Salesforce CRM and to integrate it with our full digital stack using tools like Zapier.
You will play a crucial role in enabling our small Marketing & Communications (MarrComm) team to access accurate, actionable data for our emergency appeals, recurring giving campaigns, petitions, and legacy engagement.
