Role Summary 

The Programme Officer UK will be instrumental in providing administrative support for the successful delivery of our three programme strands across the UK. Reporting to the Joint Head of Programmes (Nations Lead), this role ensures the smooth and efficient running of projects by managing key organisational tasks, providing high quality customer service and supporting specific activities including data driven targeted work. Working closely with Programme Leads, Programme Coordinators and the wider team, the Programme Officer UK will play a vital role in maintaining seamless administration activities, contributing to the successful delivery and impact of our programmes.   

Main Responsibilities: 

• Provide administrative support for the delivery of cross-programme activity in all four nations, including training for teachers and careers professionals, workshops, conferences and events.
• Meet regularly with each of the nations’ teams to ensure a joined-up approach and understanding of the place-based programme activity and requirements in each area.
• Oversee and support the management and maintenance of the CRM database of nations’ place-based activity across the UK, ensuring data is accurate and up to date.
• Assist with data collection and evaluation for reporting to funders by ensuring accurate data input and collection from relevant stakeholders including liaison with the Research and Data Coordinator. 
• Collaborate with the Marcomms team to assist in promoting the programme across all communication channels, including signups to our training programme for educators, entries to our filmmaking competitions, the Into Film Awards, and bookings for the Into Film Festival, Spring Screenings and other events for our Screen Careers programme. 
• Work with Marcomms and Programme Coordinators to run targeted marketing campaigns to increase and drive engagement in our place-based targeted areas across the UK.
• Assist in desk-based research to identify partners and organisations (including schools) to engage underserved and underrepresented young people in our programmes, sourcing relevant external information from across the education, youth and film industry sectors. 
• Working with Programme Leads to support the development and delivery of our Youth Advisory Council and Education Ambassador initiatives.
• Undertake additional general administrative tasks to support the smooth running of the team including but not limited to customer support cases, equipment and materials inventory and orders, booking travel, processing invoices and regional social media channels, 
• Represent Into Film at conferences and events as required.
• Any other reasonable duties assigned by Into Film.

General Responsibilities: 

• Commitment to quality internally and in all dealings with Into Film’s stakeholders including teachers, children and young people, industry partners, funders, supporters, parents and carers, and members of the public. 
• Commitment and active participation in helping Into Film live its EEDI values and ethos through everything it does. 
• Contribute to long term planning to ensure growth in line with demand and resources. 
• Contribute to the regular monitoring and evaluation of Into Film’s work. 

Person Specification: 

• Experience in administrative support, with strong organisational and time management skills and the ability to prioritise a busy workload. 
• Confidence using CRM systems for accurate data input, analysis and reporting. 
• Clear and effective communication skills (both written and verbal), with the ability to work collaboratively across teams. 
• Good understanding of the UK education landscape and how film can be used in educational settings, along with awareness of the UK screen industry. 
• Strong digital skills, including familiarity with Microsoft Office and general confidence with online systems and tools. 
• Ability to support or contribute to marketing activity, such as email campaigns or targeted outreach. 
• A proactive, adaptable and detail-focused approach, with the ability to work remotely. 
• An interest in film and a commitment to engaging and supporting young people through creative opportunities. 

Minimum Requirements: 

• Experience, knowledge and understanding of using CRM for analysis, insights and reporting.  
• Proven track record and demonstratable experience in an administrative role.
• Excellent project and time management skills, an ability to prioritise a busy work schedule and to work remotely as required. 
• Strong communication skills (verbal and written).
• Awareness and good understanding of the education market, curricula and how teachers can use film across the UK.
• Awareness and understanding of the screen industry landscape across the UK.  
• Experience of cross-team working. 

Desirable: 

• Experience of developing and implementing email campaigns.
• Experience working within an education or arts charity context
• Familiarity with the Microsoft Office suite 
• A love and knowledge of film 

All Into Film staff work in a hybrid pattern, combining home working with attendance at their local and national office when required, along with some travel across the UK, as appropriate to the role.

• Supporting the mobilisation of new contracts and services.

• Supporting delivery of the Income Generation Strategy, including leading on larger Trust, Foundation and grant applications where appropriate.

• Building effective relationships with commissioners, funders and partners to support business development and market engagement.

• Using quality, insight, outcomes data and carers’ feedback to strengthen bids, inform service improvement and support the development of innovative service models that improve outcomes for carers.

About you

To be successful in this role you will bring a strong mix of business development expertise, Local Authority commissioned contract success, sector knowledge and collaborative working, alongside a commitment to improving outcomes for carers, with;

• A strong track record of securing new Local Authority commissioned contracts and re securing existing contracts, with experience of commissioning and procurement processes in health, social care or the voluntary sector.

• Proven experience of leading bid development activity and bid teams, producing high quality, persuasive proposals within tight deadlines.

• Experience of senior stakeholder engagement and relationship management with commissioners, funders and partner organisations.

• A good understanding of health and care systems, including Local Authority and Integrated Care System priorities and pressures.

• Experience of service design and service improvement, working collaboratively with multi disciplinary teams and people with lived experience.

• Excellent organisational, programme and time management skills, with the ability to manage multiple workstreams simultaneously.

You will join an ambitious Marketing and Communications team focused on raising the Royal Hospital's profile, supporting fundraising, and engaging new audiences. Reporting to the Digital Product Manager, you will play a central role in maintaining the Royal Hospital's digital presence - working closely with colleagues across the organisation to manage platforms in a way that reflects its standards and distinctive character.

What you’ll be doing

You will manage the Royal Hospital Chelsea website and its associated digital platforms, ensuring they remain accurate, accessible, and well maintained.

You will:

• Manage and maintain website content, structure and assets in Drupal
• Act as the first point of contact for website updates and internal requests
• Support digital platforms including ecommerce and ticketing systems
• Support the implementation and ongoing administration of a Digital Asset Management System, ensuring assets are well organised, tagged and used consistently across the organisation
• Monitor website performance using Google Analytics and Tag Manager, supporting campaign tracking, reporting and SEO performance. Experience with Google Ads would be an advantage.
• Coordinate with external suppliers to deliver updates and improvements
• Ensure digital platforms remain compliant with accessibility standards, GDPR and organisational governance requirements

We are looking for someone who:

• Has hands-on experience managing websites in Drupal or a comparable CMS
• Is technically confident, proactively identifies issues and opportunities, and knows when to resolve them independently and when to escalate
• Is organised and methodical, able to manage multiple priorities
• Communicates clearly with both technical and non-technical colleagues
• Takes ownership of day-to-day platform operation, maintaining high standards consistently over time
• Is comfortable working within a structured, heritage-led organisation

It would be desirable if you also have:

• HTML and CSS knowledge
• Experience with ecommerce, ticketing or other transactional platforms
• Prior experience working with a Digital Asset Management System
• Familiarity with Google Ads Manager
• Familiarity with Linux-based or self-hosted web environments, or experience working alongside developers in open-source or managed hosting contexts

1- Purpose:

The P&C Business Partner drives the P&C operational effectiveness in Country Offices, facilitates organisational development and change and provides a framework for best people’s practice and quality standards.  The P&C Business Partner also supports the organization in developing and implementing initiatives that encourage diversity, promote equity, and support psychological and physical safety of the workforce.

2- Accountability & Responsibilities:

Operational delivery (40%)

• Provides advice and influences action on P&C global policies, and in collaboration with local P&C Specialists advices on local policies and employment law to staff and management based in COs.
• Supports the review and localisation of P&C policies and embeds best practice, ensuring local needs and culture are reflected.
• Works with CPCO, P&C  team, Global Directors of Country Offices and Logistics Manager to identity and mitigate people related risks in COs and prevent and resolve issues.
• Supports adherence to safety, security and Safeguarding policies and procedures in COs.

Employee Relations and Employee Services (30%)

• Monitors the whistleblowing line and ensures timely action is taken in all complaints received related to COs.
• Oversees and works with P&C and COs management on the prevention and effective resolution of employee relations issues and adherence to disciplinary procedures. Responsible for maintaining confidential records.
• Conducts investigations and liaises with legal firms and/or investigators to resolve ER cases.
• Identifies trends and areas of concerns based on data channels i.e. surveys and exit interviews and proposes and implements remedial actions.

Quality Assurance (20%)

• Drives efficiency and quality assurance of P&C operational practices in COs by conducting assessments and P&C audits and works with P&C Specialists and Country Directors (CDs) to enhance the employee experience, ensure consistency, continuous improvement and enhance People’s capacity in country.
• Supports CDs to ensure compliance and manage P&C risks as per country risk register and audits’ actions.
• Contributes to the data gathering, analysis and presentation of P&C reports, to enable decision making Identifies trends, proposes actions for improvement and instigates implementation.

Consults the CPCO on complex, unclear or long term impact matters.

4- Leadership and Staff management

Provides technical leadership and coaching to the P&C Specialists in COs (10 plus colleagues), also acts as counsel of CDs and senior staff based in COs on P&C policies and strategic shifts impacting staff. Lead the P&C Global Community of Practice and the Global DEIA Committee (GDEIAC).

5-  Information requirement for decision-making

Identifies areas for improvement and implements P&C solutions in COs to ensure a smooth service is provided. Under the guidance of senior P&C staff, updates and embeds policies, processes and other key P&C initiatives. 

Uses the policy framework, organisational and country strategies to guide priorities. Their action is informed by trends and issues identified as a result of the analysis of People’s data reports, surveys and other sources available to mainstream processes and achieve efficiency in the operation.  Policy changes are to be approved by the CPCO.

6- Innovation and Improvements

The incumbent is expected to proactively recommend improvements to policies, procedures and practices based on international P&C best practices.  Working with P&C specialised colleagues introduces improvements across all areas of P&C including workforce planning, safeguarding and Safety and Security.

7- Relationships & Communications: Internal / External:

Internally works closely with the P&C global team, CDs, HQ Country Operations and Finance on the delivery of P&C annual processes and initiatives that drive improvement and effectiveness. Also, works closely with the GDEIAC to deliver the DEIA activities. Externally the role liaises with legal firms, investigators and networks.

8- Expertise (Certifications / Education, Professional Experience)

• Master’s degree in human resources management, Business Administration, Org Behaviour or related field
• Extensive experience of working at HQ or regional level on an international development organization with representation in low and medium income countries
• Experience in management of HR international operations with thorough knowledge and understanding of applicable local laws, donor requirements in a number of countries with the intention of providing similar employee experience across the board
• Experience in delivering HR services through a business partner model
• Experience advising and training P&C professionals, staff and leadership on employee relations issues and best people management practices
• Proficient in verbal and written English and fluent in French, Arabic or Portuguese is preferred
