What we’re looking for: 

• We are looking for someone with a strong level of experience in managing the financial operations of a small organisation, ensuring that systems and processes are both robust and efficient. This includes experience of financial forecasting, reconciliations and, where appropriate, introducing or improving financial systems. 

• The postholder must be able to communicate financial information clearly to a range of stakeholders with differing levels of financial understanding, both verbally and through written reports or presentations relating to the organisation’s finances and funded projects. 

• Strong organisational and administrative skills are essential. The role requires the ability to manage different aspects of project support, general administration and office management, while keeping the wider team informed of progress on outstanding tasks.

We are looking for an Executive Support Manager to provide high-level assistance to the Chief Executive and oversee the smooth running of our governance and leadership operations. This is a key role that combines strategic project support with the management of the senior leadership office. You'll lead on special projects commissioned by the Chief Executive, including strategic and operational planning support, coordinating research projects, and will be responsible for the administration of the Board of Trustees and its committees. Overall purpose 

Reporting to the Chief Executive, the Senior Team Administrator will take responsibility for managing the administrative requirements relating to the governance of the charity and of the senior staff team, and for ensuring Breaking Barriers operates efficiently as possible, ensuring that the organisation can be effective in delivering its mission.

You will have a strong knowledge of all aspects of charity administration, be able to manage a wide range of tasks, be able to work at a fast pace across all areas of Breaking Barriers’, and be able to drive new ways of working to minimise wasted time and resource, freeing up more staff time to best support our clients.

Key responsibilities 

This is a new post at Breaking Barriers. The initial key responsibilities are described below, and the role will develop according to the charity’s changing needs. 

 Governance and management

· Organise and attend quarterly board of trustee meetings, including room booking and note-taking

· Arrange other meetings with trustees, including regular subcommittee meetings

· Work with the Chair, CEO and other members of SLT to finalise and circulate papers for meetings with trustees

· Manage the annual plan of trustee meetings

· Work with the Chair and CEO to support trustee recruitment, training, induction, and record keeping

The Archbishops' Advisers for Appointments and Vocations (AAAV) team is a key team within the Office of the Archbishops of Canterbury and York, supporting and advising the Archbishops and the wider Church on the nomination process for senior clergy. The team supports the work of the Crown Nominations Commission (CNC) on the nomination of Archbishops and Diocesan Bishops, those involved in nominating Suffragan Bishops and the selection panels who nominate new cathedral Deans, as well as any other appointments involving the Archbishops. The team supports senior clergy in their vocation and discernment, working to develop and equip a diverse pipeline of candidates for senior ministry roles. The team also works in partnership with others to ensure that senior clergy are equipped for leadership in the Church and the vital role it plays in the life of the nation.

The Role

What will I be doing?

You will provide high-quality Personal Assistant support to the Group CFO and the Director of Membership & Inclusion, ensuring their time is managed effectively and enabling them to deliver against the IOP’s strategic priorities.

Your responsibilities will include:

• Managing complex diaries, ensuring effective prioritisation of commitments and forward planning
• Coordinating meeting preparation, including collating briefings and papers to the required standard and timelines
• Providing professional administrative support, triaging communications and tracking actions
• Booking and coordinating travel and accommodation arrangements
• Processing expenses and invoices accurately and in a timely manner
• Supporting meetings through agenda setting, minute taking and action tracking
• Maintaining accurate filing systems and CRM records

Projects you may work on include:

• Supporting the planning and coordination of meetings, events and engagements involving the Group CFO and Director of Membership & Inclusion
• Ensuring accurate and timely preparation of documentation and briefings for internal and external meetings
• Undertaking ad hoc administrative and coordination tasks to support CEO Office priorities

Who will I work with?

You’ll work closely with a wide range of colleagues and stakeholders, including:

• The Executive Assistant to the Group CEO & President and fellow PAs in the CEO Office Team, working collaboratively to ensure high-quality support across the Executive Team
• Members of the Executive Team, Leadership Team and colleagues across the IOP
• Internal and external stakeholders, requiring professional communication, discretion and attention to detail

Ideally, we hope you’ll apply if you bring:

Essential:

• Significant experience as a Personal Assistant or senior administrative support in a fast-paced environment
• Excellent organisational and prioritisation skills, with strong attention to detail
• Excellent written and verbal communication skills, with the ability to produce clear and accurate documentation
• Strong IT skills, including confident use of Microsoft 365 applications (Outlook, Word, Excel and PowerPoint)

Nice to have:

• Experience of working in a governance, membership or similar organisational environment
• Experience using CRM systems and maintaining accurate data records
• A professional qualification as a Personal Assistant or Executive Assistant

How will I be working?

We operate a flexible, trust based working model that gives colleagues autonomy over how, when and where they work, while recognising the value of in person collaboration. You will be assigned a base office, with hybrid working offered as standard. This role does, however, involve regular working every week at our head office. 

You will engage in regular in person collaboration with your team (as operational appropriate), as well as with colleagues across the wider organisation, to ensure effective operational alignment and to support our inclusive approach to working.

As an organisation we meet in person once a quarter at our Head Office in Kings Cross, London.

Job Role: Property Inspector

Salary: £30,230 per year

Location: Traveling to all properties that Julian House manage. Ranging from Bath, Bristol, Exeter, Minehead, Basingstoke, Salisbury and other places in the south west.

About the Role:

We’re looking for a proactive and detail‑focused Property Inspector to join our Facilities and Health & Safety team. You’ll play a key role in helping Julian House maintain safe, high‑quality, well‑managed buildings across our property portfolio.

With around 140 properties across the South West, ranging from residential homes to hostels, retail shops and offices, this role is central to ensuring every building meets required safety and compliance standards.

It’s a great fit for someone who enjoys working independently, has a strong eye for detail, and is confident coordinating their own workload while building positive relationships with colleagues, landlords and residents.

What you’ll be doing:

• Inspecting properties across the portfolio and producing clear, accurate reports.
• Ensuring buildings meet safety and compliance standards, escalating risks when needed.
• Managing your own schedule and attending sites at short notice when required.
• Inspecting new and outgoing properties, ensuring works are completed on time.
• Uploading your findings, track actions, and meeting KPI expectations.
• Working closely with the Maintenance Team and supporting with improvements to systems and staff training.
• Maintaining positive relationships with internal teams, residents and landlords.

Service Coordinator

You will be at the heart of our business, directly coordinating and delivering our service to guardians and to property owners. The fundamentals of this role

Manage guardians

• Ensure guardians meet our criteria and ready for life as a guardian.
• Manage the guardian sign-up and move-in process.
• Be the main point of contact for guardians.
• Liaise with guardians to resolve any issues or concerns, e.g. poor conduct, licence breaches or vulnerability concerns.
• Work closely with guardians when they need to move on from Dot Dot Dot properties.
• Draw on data to gain insight into guardians and to guide support or interventions as required.
• Coordinate or assist with events, partnerships and other activities to promote volunteering and/or community engagement.
• Collaborate with colleagues to ensure repairs are properly reported and dealt with.
• Collaborate with colleagues to fill voids quickly with suitable guardians.

Manage properties

• Collaborate with colleagues ensure that properties are monitored, set up and managed in line with internal standards, client requirements and any relevant licensing or regulatory standards.
• Organise, monitor and manage the handback of properties to clients, ensuring guardian and client relationships are managed professionally and  effectively.
• Monitor budgets and spending on property issues, to make good choices about spending and to inform budget planning and risk management.
• Collaborate with clients on property repairs, major works or other issues.
• Provide clients with reports and information about their property as required.

Provide excellent client service

• Liaise closely with clients (building owners) to understand their needs and to keep them updated and informed about our work.
• Build strong day-to-day relationships with client contacts, working in a collaborative and service- focused way.
• Understand our client agreements and ensure that our service delivery meets the unique requirements of each contract.
• Identify opportunities to add value for our clients, encouraging the best social and financial value for all parties.
