About KLS’ Future Foundations education team 

Future Foundations is an education programme of Katherine Low Settlement. Since 2004, KLS’ Future Foundations education team of 10 part-time staff and over 100 volunteers, have supported young refugees and their families in Battersea and the London Borough of Wandsworth to thrive in their education. Through mentoring, family support, casework and homework clubs, we provide the tailored support each young person and their family (if they have one) needs to overcome the barriers to education they face at home and school.

Working with the Senior Caseworker and Team Manager your role and responsibilities include: 

•Support staff to liaise with families/carers to communicate information regarding our work

•Support staff to keep and maintain robust recording and monitoring systems

•Maintain, collect, edit and store documentation of our work including photos, case studies for Newsletters, funding reports and other records

•Support our senior case workers with weekly drop-in advice sessions at KLS, including completing forms with families, general admin tasks etc.  

•Support casework team with making and following up on internal and/or external referrals, signposting whenever relevant and according to adequate referral pathways and in response to the young people’s/family's needs – with support and guidance from staff

•Add information to our database – guided by team leads/managers - log all cases; monitor progress and ensure all identified actions are taken

•Support with casework tasks, guided by senior caseworker and manager, from initial contact to resolution, maintaining confidentiality throughout

•Liaise with external agencies and organisations on behalf of clients

•Respond to enquiries by telephone, email, referring on internally or externally organisations when necessary

•Ensure records are kept and information managed confidentially in line with the data protection legislation

•Supporting Refugee team with general admin, database, evaluation data

•Maintain excellent safeguarding practices

Teamwork and reporting

The following skills and experience are required for this post:

Essential

·      Fluency in Arabic (spoken and written) to effectively support Arabic-speaking service users and families

Job Description

This is a responsible position managing the accounts and payroll of a medium-sized West London youth charity. The role is central to maintaining the charity’s financial wellbeing and thereby enhancing opportunities for young people.

It is a part-time role, with plenty of flexibility. Working from home and coming into our office at least once a week, you can spread the weekly hours across 3, 4 or 5 days – whatever works for you. You’ll be working closely with the Treasurer, Chief Executive, Fundraiser and Programme Director as well as our HR Manager and Operations Manager, with whom you will share some admin support.

Role Requirements

· Manage day-to-day financial operations including accounts payable, accounts receivable/grants claims, bank reconciliations, general accounting functions.

· Perform monthly journals and reconciliation of balance sheet/control accounts, including accruals, prepayments, deferred income and fixed assets.

· Claim monthly the Gift Aid that has not already been collected through donation platforms.

· Produce timely and accurate monthly reports for budget holders to help them effectively manage their budgets, ensuring that spend is being properly tracked and allocated against programmes and grants/donations.

· Hold regular meetings with budget holders following the production of the monthly reports.

· Work with the CEO, Treasurer, Fundraiser and programme/operational budget holders where necessary to:

o Provide the Finance Committee with a monthly dashboard

o Co-ordinate the annual budget process, and produce quarterly financial forecasts.

o Manage cashflow projection

· Support the Monitoring and Evaluation manager with donor reports

· Liaise with the auditors throughout the audit process, providing supporting schedules and  grant documentation in support of the TB figures provided.

· Prepare the statutory annual accounts for review by the auditors.

· Manage payroll (30+staff), pensions and the allocation of project personnel costs. This includes liaison with the HR and programme managers to ensure the Employment Hero payroll system is processing HR information and timesheets correctly.

· Process improvement – work with key stakeholders to ensure that finance processes are fit for purpose and implementing change where improvements can/should be made.

· Ensure the Avenues has appropriate internal controls in place and is meeting all tax and audit obligations.

· Preparation and maintenance of a finance manual.

· Deal with general finance queries, both externally and from members of the team

· Co-supervise the finance and operations administrator

Person Requirements

· Accountancy qualification eg- ACA/CIMA/ACCA/AAT Professional Level or QBE

· Demonstrable experience of working in a similar role.

· Previous experience in the charity sector would be highly desirable although not essential.

· Good knowledge of QuickBooks system and proficient in the use of Microsoft Excel.

· Experience of process improvement and system implementation an advantage.

· Strong communication skills well versed in speaking finance with non-finance colleagues.

· Ability to adhere to deadlines

· Confident in holding self and others to account

· Ability to work to high standards, without needing detailed supervision

JOB TITLE: Grants & Charitable Partnerships Manager

JOB FUNCTION: To lead the day-to-day delivery and development of the Foundation’s grant-making and charitable partnerships portfolio, acting as a key relationship owner for grantees and charity partners. The role will ensure high-quality stewardship, support, governance and impact reporting across existing grants, while also playing a key role in the design, development of new grant programmes aligned to the Foundation’s strategic priorities.

KEY RESPONSIBILITIES:

Grant-making & Portfolio Management

• Support the delivery and oversight of the Foundation’s grants portfolio, acting as a key point of contact for funded organisations and ensuring high-quality stewardship.
• Lead on the organisation of regular review meetings, check ins and programme visits where appropriate.
• Help to identify where Chelsea Foundation can support partners beyond funding by identifying opportunities for added value including visibility, in-kind support and shared learning.
• Manage all core elements of the grants lifecycle, from application, due diligence and grant agreements to monitoring and review processes.
• Ensure grants are delivered in line with agreed objectives and timelines, identifying and escalating risks where appropriate.
• Support the development and implementation of new grant programmes aligned with the Foundation’s strategic priorities.

Impact, Learning & Communications

• Work with Impact & Evaluation and Finance colleagues to support monitoring, evaluation and learning across the grants portfolio.

About Rockinghorse Children’s Charity

Rockinghorse Children’s Charity supports sick and disabled children across Sussex. We support babies, children, and young people, along with their families, at The Royal Alexandra Children’s Hospital and The Trevor Mann Baby Unit in Brighton and all the specialist children’s wards and baby units throughout Sussex. 

We deliver and fund projects that enable doctors and nurses to do more. All of projects are led by the needs of children and young people and their families – the lifesaving medical equipment, the support for parents and families, the toys for children spending time in hospitals across Sussex, the environments and spaces that help children feel more at home when they are in hospital and additional staff to make sure children get the best possible care when they are unwell. 

Originally set up in 1967 by Dr Trevor Mann, we have been supporting children for more than 55 years, and in that time, we have supported nearly a million children and their families. As the official fundraising arm of the Royal Alexandra Children’s Hospital, including the Trevor Mann Baby Unit, we work with the NHS, charity partners, and the Sussex community to ensure children can be children no matter now sick they are.

About the role

Rockinghorse delivers more than 70 impactful projects each year to support sick and disabled babies, children, and young people across Sussex. As our programmes grow, we are seeking a highly organised and proactive Project Coordinator to support the day‑to‑day delivery of our projects and services.

Reporting to the Senior Projects Manager, this role will play a vital part in ensuring our projects run smoothly on time and on budget. You will work closely with NHS Champions (doctors, nurses, and healthcare professionals), internal colleagues and external partners to help coordinate activities, gather information, maintain accurate records, and support the successful delivery of all our projects.

This is a hands‑on, operational role, offering an opportunity to develop project management skills within a friendly and impactful children’s charity. You’ll play an important part in ensuring our projects make a meaningful difference to children and families across Sussex.

The location of this position is a mixture of office and site visits within Sussex.

Duties of the role 

Delivering incredible projects that save and improve lives.

Rockinghorse delivers and funds around 70 projects per year – supporting sick and disabled children in hospital.

Project Delivery & Day‑to‑Day Coordination

· Support the administration, coordination, and delivery of Rockinghorse projects across Sussex.

· Maintain project schedules, trackers, documentation, and communication logs.

· Organise meetings, site visits, check‑ins, project reviews, and installations.

· Coordinate logistics for small projects, including ordering items, liaising with suppliers, and arranging deliveries.

· Ensure accurate filing and record‑keeping across all project documentation.

· Prepare project reports for internal use.

· Support the Senior Projects Manager on the scoping out, development and implementation of new areas of work and projects for the charity.

Our Facilities team works hard to ensure that every guest visiting Woodrow has a safe and memorable visit. You will be working alongside the wider team to maintain all buildings, including our Grade II listed Manor House and Leisure Centre, and the outside grounds and activity areas, to ensure the site is welcoming, tidy and safe for all. You will assist the Facilities Manager in ensuring we remain compliant with relevant Health & Safety legislation; and will be involved in various duties that contribute to the wider success of the Centre and London Youth. 

What you will be doing 

The Facilities Assistant provides logistical and maintenance support for the Woodrow estate and holds the following core responsibilities. This is not intended as an exhaustive list, and the job may change over time to reflect the changing needs of our centre, as well as the personal development needs of the post holder. 

Grounds upkeep: 

• General upkeep of the 26-acre estate grounds e.g. pruning, mowing, planting, tidying gardens. 
• Keeping grounds, paths and hard surfaces safe and free of ice, snow, leaves, weeds, etc. 
• Maintaining the 3G astro pitch, cycle circuit and outdoor activity areas.

Building maintenance: 

• Undertake day-to-day minor repairs, e.g. patching, painting, leaky taps, hinges, caulking, etc. 
• Undertake cyclical / seasonal jobs e.g. clearing gutters, drains, drain gratings, etc. 
• Support with biomass boiler maintenance and receive woodchip deliveries. 
• Support with basic utilities issues as they arise, e.g. heating, plumbing, electrical, etc. 

Health and safety: 

• Undertake routine safety/compliance checks of all facilities including, among other things, legionella temperature aduits, emergency equipment inspections and tests, etc. 
• Support the FM with risk assessments and work procedures relevant to the role. 
• Maintain accurate records of all work carried out using systems in place for auditing. 

General duties: 

• Basic joinery, carpentry and build projects done in house, under direction of the FM. 
• Supervise outside contractors to ensure all jobs are carried out to agreed standards. 
• Supervise corporate volunteer groups who support us with gardening or build projects. 
• Support with setup and occasional on-the-day attendance at various events. 
• Undertake other duties as reasonably requested by London Youth's management that ensure the ongoing success of the charity and delivery of excellent customer experiences. 

What you bring to the role 

Experience, Knowledge & Skills 

We do not expect candidates to have expertise in all areas, but at a minimum experience of minor buildings repairs and maintenance and groundskeeping work is essential to this role. Training will be provided to address some gaps where necessary and relevant. 

• Experience with grounds maintenance including tree and lawn care, gardening, etc. 
• Experience of maintenance in heating, plumbing, electrical systems. 
• Demonstrable good practical DIY skills, including decorating, joinery, carpentry, repairs, etc. 
• Experience using power and maintenance tools, including small tractor with mower, jigsaws, strimmers, etc. 
• Demonstrable understanding of Health & Safety regulations relevant to this type of role; the importance of compliance, evidencing and contributing to this. 
• Hold a good level of fitness and able to work outside in variable weather conditions. 
• Experience of conducting regular compliance checks, recording and reporting on them. 
• Able to use digital systems for record keeping, including Microsoft Office and various apps. 
• A current driving licence (tractor experience is also desirable).

Qualifications in the use of a chainsaw, power tools, tractor driving, pool plant are desirable.

We are seeking a full-time Project Manager to support delivery of our new programme, Reading Reboot, funded by the Charlotte Aitken Trust, and to support the SLA to grow its reach and impact. Reading Reboot is being developed to address the reading crisis and restore a love of reading for young people in Year 8, in communities facing the greatest disadvantage. This is an opportunity to lead a flagship national programme with the potential to shape future investment in school libraries, in a supportive, mission-driven team culture within a small but influential charity. 

The Reading Reboot programme will establish librarian-led social book clubs in over 100 under-funded secondary school libraries across the UK and reach more than 6,000 young people directly, alongside librarians, senior leaders and wider school communities. Reading Reboot places school librarians at the heart of delivery, combining new book stock, inspiring author engagement, appealing library spaces, and a robust evaluation to evidence impact and inform future national roll-out.   

The Project Manager will lead on development and delivery, working closely with the CEO, a Project Board and external evaluation team to ensure the programme meets its objectives on time, within budget and to a high quality. They will recruit and coordinate schools and librarians, work with partners and funders, and ensure that learning and impact are captured and shared across the sector. Building strong relationships with all stakeholders, the Project Manager will be the main point of contact for the programme and will support the CEO and Project Board with timely updates, papers and participation in meetings. Successful candidates will have extensive and demonstrable experience of project management in schools or youth settings. Experience of training development and delivery will be an advantage.

Our Second Home (OSH) is the UK’s youth movement for people with refugee backgrounds. We support young people to build community, become leaders, and flourish into adulthood in the place they call home.

Each year, hundreds of young people from dozens of countries and living in London & Bristol take part in our residential programmes, leadership training and youth hubs. Our residentials are often the first step – immersive, relationship-rich spaces where young people connect, reflect and begin to see themselves as leaders. From there, many move into leadership training and take on volunteer roles within the movement.

Our work is youth-led and rooted in lived experience. We are now implementing our 2025–2028 strategy, focused on strengthening quality, embedding learning and ensuring our growth is sustainable and safe.

The Head of Programmes is a senior leadership role, reporting to the CEO and managing two senior colleagues. You will hold responsibility for the quality, coherence and safeguarding of all programme activity.

Responsibilities (abridged - see attached job description)

Programme Leadership & Strategy in Practice

• Lead implementation of OSH’s 2025–2028 programme strategy.

• Oversee the design, quality and coherence of residentials, leadership training and hubs.

• Take operational responsibility for residential delivery, including participant referrals, recruitment of staff and freelancers, programme content and educational standards.

• Attend and lead approximately five residential programmes per year.

• Identify opportunities to strengthen youth engagement and leadership pathways as the organisation scales.

• Ensure programme data is accurately recorded and used to improve delivery.

Team Leadership

• Line manage the Communities Manager and Leadership & Volunteering Manager.

• Provide structured supervision, clear objectives and professional development support.

• Ensure strong coordination between hubs, residentials and leadership pathways.

• Build a culture of accountability, reflection and continuous improvement.

Safeguarding & Welfare

• Act as Deputy Designated Safeguarding Lead and serve as DSL at events as required.

• Ensure safeguarding practice is robust, consistent and embedded across all activities.

• Respond to safeguarding and behavioural issues appropriately and oversee safe recruitment processes.

Partnerships, Budget & Oversight

• Maintain referral partnerships and represent OSH externally where appropriate.

• Hold programme budgets within agreed limits and ensure financial discipline.

• Embed monitoring, evaluation and reflective practice across the programme team.

Experience & Competencies (abridged - see attached job description)

Essential

• At least 5 years’ experience in youth or youth-centred programming, including residential or intensive settings.

• Experience designing and delivering leadership development or informal education programmes.

• Strong facilitation and training skills.

• Demonstrable experience managing staff and developing teams.

• Strong understanding of safeguarding practice and willingness to act as Deputy DSL.

• Experience working with young people from refugee or asylum-seeking backgrounds, or strong understanding of the issues affecting them.

• Ability to balance strategic oversight with hands-on delivery in a part-time senior leadership role.

• Strong organisational skills and commitment to inclusive, youth-led practice.

Desirable

• Level 3 Safeguarding training.

• Experience managing programme budgets.

• Experience contributing to organisational strategy or scaling programme models.

• Familiarity with Google Workspace, Beacon CRM, MyConcern or similar systems.

• Lived experience of migration or displacement.
