We are seeking an exceptional Executive Assistant to provide dedicated support to our Interim CEO during a period of transformation, growth and strategic development, while we recruit and appoint our permanent CEO.

Working at the heart of the organisation, you will play a key role in ensuring continuity, maintaining momentum and supporting the successful transition to new leadership. We are looking for an experienced, highly organised and proactive Executive Assistant who can provide outstanding strategic and operational support to the CEO of a respected international development organisation. Acting as a trusted partner, you will enable the CEO to focus on organisational leadership, external engagement, fundraising and the delivery of strategic priorities.

The role encompasses complex diary and inbox management, preparation of high-quality briefings and correspondence, Board and governance support, and coordination with senior stakeholders across the organisation and internationally. You will work closely with colleagues, partners and supporters across multiple countries, cultures and time zones, ensuring the smooth and effective operation of the Executive Office.

 Accountabilities:

Executive and CEO Office Support

• Proactively manage the CEO's diary, inbox and correspondence, exercising independent judgement in prioritising requests and protecting time for strategic priorities.

• Prepare and commission high-quality briefings, background notes, talking points and presentation materials to ensure the CEO is fully prepared for all meetings and engagements.

• Draft, review and quality-assure outgoing correspondence, reports and communications on behalf of the CEO.

• Coordinate and manage complex domestic and international travel arrangements, itineraries, visas and logistics for the CEO and COO, ensuring efficiency and value for money.

• Manage the CEO and COO’s expense reporting and the Executive Office budget, maintaining accurate records and flagging issues proactively.

• Serve as the first point of contact for the CEO's office, managing enquiries from staff, partners, donors and stakeholders with professionalism and discretion.

• Work closely with the Internal Communications and Social Media team lead to ensure CEO internal and external communications are delivered well.

Board and Governance Administration

• Lead the end-to-end administration of Board of Trustee meetings and sub-committees, including scheduling, preparation of Board papers, agenda coordination and minute-taking, utilising AI. The majority are virtual due to the international nature of the board. In-person meetings take place approx. every 18 months.

• Maintain the governance calendar and ensure all regulatory and statutory reporting deadlines are met in coordination with the Company Secretary, CEO and COO.

• Support the onboarding of new Trustees and maintain up-to-date records of Board membership, terms of office and declarations of interest.

• Build strong working relationships with Trustees, acting as a responsive and reliable point of contact between Board meetings.

• Assist with the organisation of the Annual General Meeting and other governance events.

Leadership Team Coordination

• Coordinate the Global Leadership Team (GLT) meeting cycle, including agenda-setting, papers, actions and follow-up, working closely with the CEO and members of GLT.

• Support the CEO in tracking GLT action items, strategic priorities and key commitments, flagging issues and ensuring accountability.

• Co-ordinate with Regional and Country Directors on the Senior Leadership Team (SLT) meetings, including agenda-setting, papers, actions and follow-up,

• Assist with the preparation of materials for all-staff communications, leadership away-days and organisational events.

• Build effective working relationships across Practical Action's global offices, navigating time-zone differences and cultural contexts with sensitivity.

Stakeholder and Partnership Support

• Support the CEO's engagement with major institutional donors, trusts and foundations, bilateral agencies and high-value partners, including managing contact records and briefing materials, liaising closely with the business development and philanthropy teams.

• Coordinate logistics for high-level external visits, delegations, conferences and events involving the CEO.

• Assist with donor stewardship activities and the preparation of materials for fundraising and partnership development.

• Represent the CEO's office professionally in interactions with government officials, international organisations and peer NGOs.

Project and Research Support

• Take on research and project management tasks as directed by the CEO

• Continue to test and utilise AI tools to increase efficiency and effectiveness and share learnings with other members of Practical Action

• Support the delivery of special initiatives and cross-organisational projects led from the Executive Office.

• Maintain confidential files and records management systems for the CEO's office, ensuring compliance with GDPR and information governance policies.

 

To be successful in this role, the ideal candidate will be able to demonstrate:

 Essential

• Significant experience (typically five or more years) as an Executive Assistant or Personal Assistant supporting a Chief Executive or equivalent senior leaders in a complex and or charitable organisation.

• Demonstrable experience of Board and governance administration, including minuting meetings and managing trustee or director-level relationships.

• Excellent written and verbal communication skills, including the ability to draft high-quality correspondence, briefing papers and presentations to Board or senior stakeholder standard.

• Outstanding organisational skills and attention to detail, with the ability to manage competing priorities, meet deadlines and maintain quality under pressure.

• High degree of discretion, confidentiality and professional judgement in handling sensitive information about people, partners and organisational matters.

• Strong interpersonal skills and emotional intelligence, with the ability to build trust and credibility with senior internal and external stakeholders.

• Experience of coordinating complex international travel and managing logistics across multiple time zones.

• Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), AI tools and the ability to learn new digital tools quickly.

Desirable

• Experience working in an international NGO, development organisation or comparable mission-driven environment.

As Communications Manager you will play a pivotal role in delivering strategic, impactful communications that advance Action for ME’s work, improve understanding and recognition of ME and support fundraising efforts

The Communications Manager will be responsible for the day-to-day delivery of the communications strategy, leading a team of two other communications staff. You will work closely with colleagues across the fundraising, policy, research and services departments, delivering clear and compelling storytelling, and maximising visibility across media, digital platforms and key stakeholder networks.

Key duties

Leadership and Management

• Work to ensure that people with ME are at the heart of everything we do through meaningful engagement and participation to influence all aspects of communications and marketing.

• Contribute to the development of, and then lead implementation of, the Communications Strategy, ensuring the appropriate involvement of key stakeholders, scoping, evaluating, and improving our practice.

• Maintain a data-insight led approach to the communications work providing regular management information and key performance indicator reports.

• Work as a member of the Extended Leadership Team.

• Line manage Communications Team members, supporting them to set and achieve performance objectives through regular one-to-ones and 12-monthly appraisals.

• Be responsible for Communications budget and the relationship with services providers required for the production of the charity’s digital and printed information and support resources.

Communications and Marketing

• Raise the profile of the impact of ME, and of Action for ME and its work, to enable the organisation to reach more people and better support need, by establishing a regular cadence of appropriate but innovative product across all main social media channels.

• Ensure fundraising is supported by embedding clear calls to action around donations and membership growth as a matter of course.

• Under the direction of the Director of Fundraising, develop all website, press and social media content for charity appeals.

• Market the charity’s Support and Healthcare services, including key digital and printed information and support resources, to the ME community and the professionals working with them, working closely with respective service leads.

• Contribute to income generation by working closely with the Director of Fundraising to develop the communication and marketing materials needed to implement the organisation’s Fundraising Strategy.

• Coordinate the charity’s response to any crisis communications, including developing appropriate crisis management plans and working outside of office hours as required.

• Establish effective systems/processes for gathering, supporting, maintaining, and managing case studies for a range of purposes (including press and media opportunities, public affairs and policy work, and fundraising).

• Draft and issue press releases and media statements and ensure appropriate follow-up by telephoning journalists, contacting picture desks etc. as appropriate.

• Alongside the CEO and any commissioned agency, develop relationships with key press, media and communications stakeholders to enhance the charity’s work.

• Oversee the production of the annual report, on budget, to schedule, taking overall editorial responsibility for content.

• Oversee the ongoing development of our digital engagement including our website and social media and being the point of contact on website issues.

• Fulfil the role of brand gateway keeper, ensuring all digital and printed communications, including information and support resources, adhere to brand guidelines, house style and organisational tone.

• Maintain an up-to-date knowledge and oversight of how ME and related key issues (e.g. Long Covid) are discussed in the media and wider ME community.

• Build networks to enhance the charity’s strategic communications and marketing work.

• Build and maintain an effective social media monitoring regime, ensuring fit for purpose rules of engagement are in place and applied consistently.

The Nazareth Trust is one of Scotland’s oldest and largest Christian charities, employing over 900 people in Nazareth, Israel, through its hospital, nursing college, biblical tourism operation, and international volunteer programme.

We are seeking a driven Marketing and Communications Officer with significant initiative and ability to influence through social digital content production.

In this role, you will execute the strategic direction of our communications, by expanding our reach through engaging, persuasive content. Using data analysis, the successful candidate will enhance engagement with the Nazareth Trust’s key audiences on our TNT supporter database.

You will support the Marketing and Communications Manager by researching and leveraging compelling stories that will engage and inspire activism and giving from our existing supporter database.  

An ability to develop working relationships and inspire confidence is essential. Similarly, an ability to research new media outlets. The successful candidate will be proactive in their approach working within an intercultural context where initiative will be required.

This position requires a high level of creativity, as well as the ability to use data-driven insights to write better material. About the Project

Communities Prepared works with volunteers and communities across England to help them build the skills, confidence and knowledge needed to prepare for, respond to and recover from emergencies. This includes supporting communities to plan for climate-related risks such as flooding, storms, heatwaves, and severe weather.

Despite the successes we have had through our programme to date, we are not currently reaching diverse enough audiences and too often there are people missing from the resilience sector. This needs to change. To address this we are now embarking on an exciting new UK-wide partnership programme funded through the National Lottery Community Fund’s Climate Action Fund over the next five years.

The programme responds to growing evidence that climate-related emergencies, including extreme heat, flooding, fire, cold and severe weather, disproportionately impact marginalised communities, while those same communities are often excluded from resilience planning and decision-making.

The programme brings together Equally Ours, Communities Prepared (part of Groundwork South), and the VCS Emergencies Partnership (VCSEP, part of the British Red Cross) to strengthen climate resilience by ensuring that communities experiencing discrimination and disadvantage are at the heart of climate preparedness, response, recovery and policy-making.

Through a rights-based and co-produced approach, the programme seeks to shift climate resilience policy and practice away from models that frame communities as “vulnerable”, and towards approaches grounded in agency, participation, equality and shared responsibility.

Key Responsibilities

As Senior Project Officer, you will:

• Work with the project team to map stakeholders and co-develop a structured engagement plan to recruit and work with marginalised communities.
• Build a collaborative and trusting relationship with the partner organisations and other stakeholders for this project, ensuring this work meets their expectations and complements areas of the work programme led by others.
• Work with project participants and partners to co-design Communities Prepared material and delivery methods that are more accessible and relevant to diverse audiences.
• Lead on the delivery of resilience training and workshop sessions with diverse audiences, both in-person and online.
• Work with project participants and partners to co-design a train the trainer model that will enable diverse audiences to deliver resilience training within their own communities, amplifying reach and impact.
• Work with the core Communities Prepared team to adapt our offer with the long-term goal of the Programme reaching more diverse audiences, especially those seldom heard in this sector.

The role involves regular travel across the UK, with a focus on South West England during the project’s pilot phase.

Essential skills and experience

Salary, benefits, and other key information

IPNEd is hosted by Results UK. The line manager for this role will be IPNEd’s Senior Policy & Advocacy Adviser.

1. Starting date 

The position is available immediately, and is offered as an initial 12-month contract with the intention of being extended if funding permits.

2. Salary 

This role is graded at Results Professional Level Two with a salary of £32,785 per annum.

3. Hours of work

This is a full time role 35 hours a week. These hours will be worked as agreed with the line manager, but some flexibility may be required to meet the needs of the job. There is no paid overtime, but Results UK offers a flexitime system for all staff. 

4. Holidays 

25 days per year plus bank holidays. Holidays increase by one day per year of service to a maximum of 30 days. Holidays are earned in arrears. 

5. Notice Period and Probationary Period

This role has a one-month notice period. The employee will have a probationary period of three months, during which time the notice period is one week.

6. Location

The post is a hybrid role with the expectation that the postholder can work from Results’ office at Clarence Centre for Enterprise and Innovation, 6 St George’s Circus, London, SE1 6FE when required.

Currently, most Results UK staff are combining working from home with time in the office.

JOB PURPOSE

To provide information, advice, support and advocacy work on all  forms  of  gender  based  violence faced by migrant women,  including  forced  marriage,  rape  and  sexual  abuse,  honour  based  crimes  and  related  issues  such  as  immigration/asylum  and  no  recourse  to  public  funds,  matrimonial  and  children,  housing  and  homelessness,  mental  health  and  financial  matters.  Your  casework  will  focus  on  women  with  complex  needs. 

 

 

MAIN RESPONSIBILITIES

1. Provide  a  professional  high-­quality  VAWG  advocacy  and  outreach  service.

2. Undertake  casework  and  advocacy  (this  will  include  liaising  with  relevant  professionals  and  agencies  such  as  solicitors,  social  workers,  police  officers  etc.) 

3. Provide  practical  support  such  as  accompanying  women  to  appointments  and  courts,  making  reports  to  such  agencies  or  collecting  belongings  and  otherwise  taking  all  necessary  steps  to  ensure  the  general  safety  and  wellbeing  of  women  and  children. 

4. Write  assessment  reports  and  support  letters,  and  under  supervision,  help  to  collect  evidence  and  statements,  as  well  as  undertake  some  basic  legal  representation.

5. Undertake risk assessments for referral to the Multi-­Agency Risk Assessment Conferences  (MARACs) 

6. Establish  links  with  key  partners  [local  authority,  police,  health,  schools,  etc.]  to  ensure  effective  referral  routes  and  information  sharing  protocols.

7. Assist  in  developing  and  meeting  quality  standards  in  relation  to  advice  and  casework.  This  includes  administration  and  IT  systems  for  advice  and  casework. 

8. Cover the helpline as required.

9. Assist migrant women to access immigration advice, and assist in meeting their housing needs.

10. To  undertake  campaigning  and  policy  work  arising  from  the  advice  and  casework  (this  may  involve  some  weekend/evening  work)

11. Where  necessary  to  assist  staff  in  organising  and  running  support  group  activities  and  consultations  for  women  who  are  isolated  and  vulnerable  due  to  their  experiences  of  violence  and  abuse.

12. To  publicise  and  provide  S4S  services,  and  attend,  contribute  and  represent  the  organisation  at  relevant  local  meetings  or  initiatives. 

13. To  support and mentor the Women’s Council.

14. Follow  S4S policies  and  procedures,  and  maintain  IT  and  case  file  management  systems.

15. Contribute  to  S4S  record  keeping  and  provide  information  for  monitoring,  evaluation,  policy,  and  research  and  training  purposes. 

16. Ensure  women  are  referred  to  S4S  projects  and  activities  as  required  for  example,  counselling or group work.

17. Support women residing in the refuge as required.

18. Be  self-­servicing  and  to  assist  other  workers  when  required. 

19. Undertake  any  additional  duties  which  will  contribute  to  the  smooth  running  of  the  S4S services  and  projects.

About the role
We are recruiting for a Participant Experience Officer to join on a full-time basis, working 35 hours per week on a fixed-term contract for 12 months. This is a home-based role, with occasional travel required for in-person team meetings and events.

As Participant Experience Officer you will work across the Events team, supporting the strategic planning, development and implementation of our Event participants’ supporter journeys. This includes working on a wide range of activities such as Memory Walk, Trek26 and third party runs and challenges.

In this role you will both advise on and directly implement multi-channel communications journeys, from the point of registration through to event day and beyond. This will include working with internal and external stakeholders to coordinate owned and paid stewardship channels, such as email, mail, social media, SMS and phone.

You will also support the testing and evaluation of stewardship across Events, ensuring continual development of our participant experience and that we are delivering the best possible experience for our participants, leading to continued engagement and lifetime value.

About you
Joining us, you’ll have experience of supporter experience within the not-for-profit sector, and a good understanding of the role of stewardship, with experience of developing and delivering multi-channel supporter journeys. You’ll be a good communicator with the ability to work collaboratively, influence and inform others.

Crucially, you’ll be able to manage a range of complex projects, meet deadlines and use problem-solving to implement solutions. You’ll also be able to interpret complex data and make recommendations based on analysis.

- Developing robust data analysis and testing processes across events stewardship campaigns.

Pipeline Development & Prospect Research

• Identify a pipeline of new opportunities in trusts, grants, foundations and corporate to secure new income for FareShare Midlands
• Maintain a rolling 12 to 18 month pipeline
• Regular prospect research using databases (e.g. funds online, the charity commission website, idox etc)
• Prioritising opportunities by value, likelihood and strategic fit
• Assisting on project development working with colleagues to build in the needs and preferences of funders to ensure projects can attract support

Funder Stewardship & Reporting

• Professional stewardship of trusts and foundations funders
• Managing funder communications in line with grant agreements
• Working with the stewardship officer and comms team to identify and develop impact stories and relevant data.

Communication

• Writing funder-facing materials
• Ensuring clarity, evidence and compliance in all submissions
• Coordinating case studies and impact data for bids

Compliance, Monitoring & Administration

 Application tracker ownership

• Reporting calendar management
• Income forecasting for trusts & grants
• Document management for funder requirements

Rooted Finance is expanding its team and is looking for a full-time Money Guidance Officer. This is an exciting opportunity to join a dynamic and supportive team at a pivotal moment in our growth.

We are looking for someone who enjoys providing a first-class client satisfaction and support service. You will work closely with our Advice team to ensure clients are accessing support through engagement activities and that they are able to progress their debt advice journey smoothly.

You will be the interface for advisers to ensure documentation and tasks are completed in a timely manner or the clients you are supporting. The post-holder will need to be comfortable interacting with a variety of audiences – advisers, clients and partner organisations, and enjoy supporting people to progress through their advice journey.

You will have strong administrative, research and data skills, excellent communication and critical-thinking skills, and should be flexible and capable of working independently and as part of a team.

JOB DESCRIPTION

Job : Title Money Guidance Officer

Salary: £28,000

Hours: 35 Hours per week

Location: Rooted Finance delivers primarily an in-person service, postholder will be required to attend outreach locations/RF office. Hybrid arrangement with remote working will be incorporated where possible based on business demands.

Purpose of the Job

Rooted Finance provides client focused and impact driven services. The ability to provide first class advisory and casework services that impact individuals, and the communities they live in, is fundamental to the way in which Rooted Finance provides transparent and evidence-based services.

RF is looking for a proven self-starter to support our advice services and preventative initiatives. You’ll be passionate about working with people and committed to delivering a high-quality community engagement and support program. You’ll be adept at delivering comprehensive support to individuals within diverse community settings.

You will be confident in working with community members to grow and develop projects to reach isolated individuals. Working flexibly across dates (including occasional weekend working), times and locations, responding to project and community needs as required.

The successful candidate will have excellent interpersonal skills and be able to work flexibly with clients. You will be meticulous in your work, especially when supporting clients and maintaining case records for continuity of ongoing support. You will be trained and expected to keep up to date with regards to legislation, case law and policy changes relating to debt and a working knowledge of welfare benefits as directed by Line Manager.

Training and development

Rooted Finance will provide internal and external training as appropriate. Continued professional development is fundamental to the values of Rooted Finance in building capacity amongst its team members.

Role Requirements

This role aims to address the additional barriers and needs faced by overindebted individual, ensuring they are supported in navigating these challenges and can focus on the debt advice process effectively. As a Money Engagement Officer you will work across our various community partners, delivering money mentoring support and income maximisation services to local communities with the aim of promoting financial resilience and wellbeing. You will also provide assist in collecting essential documents and information for advisers to progress their cases. You will maintain accurate client and project records and contribute/support Manager(s) with effective project monitoring and reporting. You will capture learning to share with project stakeholders to help inform Rooted Finance’s wider approach to financial inclusion services.

Key functions and impact of the role will include;

Outreach and Engagement: Actively engage overindebted individual through various outreach initiatives such as community events, workshops, and partnerships with local organisations to raise awareness about debt advice to encourage individuals to seek help early and facilitate this through practical 121 support.

Support and guidance: Provide ongoing support needs to keep people with money worries engaged in the debt advice journey. Often people struggling with money worries have additional barriers and needs, this role focuses on the 'support function' which will be available to help people navigate barriers so they can focus on the specialist debt advice needed and offered through Rooted Finance and other support services.

Referral and Collaboration: foster a cohesive relationship to build partnerships and to collaborate with debt advice services, community organisations, and other stakeholders to facilitate referrals and ensure a seamless transition into debt advice services. Maintain strong partnerships with service providers to enhance accessibility and support for individuals in need.

Empowerment and Education: Equip our services users by providing ‘digestible’ financial education, coaching, and advocacy to help them make informed decisions, improve their financial literacy, and build long-term financial resilience. Data Collection and Reporting: maintain accurate records of all outcomes, advocacy and support provided to all individuals, diligently record outcomes to track the effectiveness of the triage process and measure the impact of the engagement efforts on increasing access to debt advice and other services.

Duties & Responsibilities: The main duties will include

1. Work closely with RF advice team in identifying client’ needs to work together to implement a holistic approach to supporting individuals.

2. Manage a joint caseload with debt advisers to ensure successful engagement in the debt advice journey, monitor progress and maintain diligent records across all systems

3. Working closely with advisers to support their more vulnerable clients

4. Delivering both 121 and group sessions to build individuals’ financial knowledge and resilience.

5. Increasing the visibility and awareness of the advice services through external events and roadshows

6. Develop and maintain good working relationships with clients to facilitate engagement in debt advice journey by explaining and outlining what debt advice offers, support to engage in attending debt advice appointment, follow up with obtaining required documents, make effective referrals for additional services and provide on-going support.

7. Draw up a personalised plan supporting clients to access and engage with the extensive range of support available in the community. Actively connect clients with a wide variety of services through signposting for additional help around health, wellbeing, housing, welfare, immigration, social support and financial advice. 

8. Identify aftercare support to help individuals increase their ability around ongoing financial capability and literacy skills and to reduce further and future financial exclusions

9. Working with, and recruiting clients to, our Lived Experience Steering Committee

10. Provide one to one/group sessions to encourage and increase engagement in the debt advice service

11. Develop marketing and creative initiatives to promote and engage with service users to increase uptake in debt advice service and increase full journey completion.

12. Ensure all project monitoring requirements are adhered to and all learning (including risks and opportunities) is captured and recorded in a timely manner.

13. Perform consistent impact measurements on project components, including undertaking financial wellbeing checks before, during and after, beneficiary engagement with RF service in a non-intrusive manner

14. Actively participate in team meetings and work with colleagues and beneficiaries to further develop the project

15. Maintain effective communication between colleagues, stakeholders and beneficiaries at all times.

16. Undertake recommended and self-identified ongoing training and development to ensure gaps in knowledge/skills are acquired to meet requirement of the role and quality assurance processes in timely manner as directed by Supervisor/LM.

17. Work to an agreed work-plan, meeting targets on time and all required KPI

18. Work collaboratively to share good practice in performance and quality improvement with fellow advisers/wider team.

Qualification 

Desirable: Educated to a degree standard or equivalent. 

Essential: Relevant professional qualification (i.e.CMA Connect Money Mentor training)/ or equivalent gained through experience Evidence of continued professional development 

Skills

Desirable: Excellent understanding of the principles and current best practice in debt, financial capability and financial inclusion.

Essential: Knowledge and understanding of the welfare benefit system and experience of advising customers on benefits.Understanding and commitments to the aims, principles, values and quality standards of Rooted Finance services.
